Design Principles

  • A typical conference poster has a horizontal layout and is often 48 x 36 inches but may vary depending on the conference requirements. To edit the dimensions of your poster in PowerPoint, click on the Design tab. 
  • It is recommended to keep your poster to 3 or 4 columns of content
  • Columns do not need to be the exact same size, yet they should look consistent and evenly spaced.   For example, you might have a larger width column in the middle of your poster, and the two side columns will be smaller but the same size. 
  • Well-designed posters are typically 20-25% text , 40-45% graphics (tables, figures, or images), and 30-40% white space .
  • Think of your poster as a visual abstract that illustrates the essential components of your EBP Project.
  • Do not underestimate the importance of graphics and white space. Too much text in a small font size can be very difficult for viewers when reading your poster. Brevity and synthesis are key when it comes to effective poster design.  
  • Title: 80 pt
  • Author(s): 60 pt
  • Headings: 44 pt
  • Main Text: 32 pt
  • Captions: 28 pt
  • You do not need to be a professional artist to create a stunning poster! 
  • Keep it simple, remember that brevity is key, and do not be overly wordy
  • Remember that your poster is a visual representation and a synthesis of the "greatest hits" of your EBP Project
  • Use high-resolution images and attribute them correctly (see the UToledo Images LibGuide ) 
  • Choose a consistent and complementary color palette (see the UToledo Brand Guide information on Palettes )
  • Type your text in MS Word first, then copy and paste into the PowerPoint template
  • Use a non-serif font (i.e. Arial, Helvetica) for title and headings
  • Use a serif font (i.e. Times New Roman, Palatino) for body text
  • Use high-resolution images
  • Consider copyright when using images
  • Cite and reference your sources in APA 7th Edition Style (if you cannot fit your reference list on your poster, you may include a supplementary handout or provide a QR Code  on your poster linking viewers to your references)
  • Share your poster with trusted peers or classmates for review and constructive criticism prior to having it printed

Original Design versus Template

When it comes to designing your poster, you can do one of two things. You can either make your poster from scratch or download an available poster template. So which one should you choose?

It all depends on what you are comfortable with. If you have the time and patience along with the creativity to create your own poster, then go for it! You can very easily do this with a PowerPoint slide.

If you are not that creative and do not wish to spend a lot of time on the poster design, use a downloadable template. The downloadable templates will be available as a PowerPoint slide for easy editing purposes.

Creating a research poster in Powerpoint is a multistep process. These tips will help you produce a high-quality poster for the URSCA Summit and any other event you attend.

Slide Setup

Your poster will be created on a single slide (ONE). The page size must be your desired print size. You must complete this step before creating the poster. Designing the slide before designating the print size will lead to a low-quality print. To prevent cropping when printing, be sure you have a 1-inch margin around the edges of the poster.

To set the slide dimensions, follow the steps outlined in the  Change the Size of Your Slides  page.

Slide Design

Your poster should read from top left to bottom right like you are reading a page. It is important to maintain a good contrast between the background color and the text. Consider using a light color background and a dark text. A gradient color fill background, especially black, will print poorly; it will have thin, visible lines that you will not see on your computer monitor.

Remember the colors you see on your computer monitor will not reproduce exactly the same on a printed poster, as monitor color settings vary. You can expect a color shift of 2 to 3 shades.

  • Images copied from the web are low resolution (72 dpi) and are not proper quality for a printed poster. Limit image resolution to 150 dpi to ensure printability.
  • All pictures (e.g. tif or gif for transparency, jpg for non-transparent images) should be inserted directly into the Powerpoint, not linked from another program. Jpeg is the preferred image format if you do not need a transparent background.
  • If you have graphs or charts from Excel, simply copy and paste into Powerpoint.
  • Do not enlarge images after they have been inserted into Powerpoint. To adjust an image and retain proper proportion, hold the shift key on your keyboard, click, and drag the corners to scale.
  • It’s best to use a cross-platform font to ensure your poster looks the same in every scenario. If you download an operation system-specific font (i.e., only Mac or Windows), you must embed that font in your PDF.
  • The title should be approximately the entire width of the poster with the main text broken into multiple columns, usually three or four depending on the size of the poster. You may also want to use section headings within the columns.
  • Sans-serif fonts work best for posters, particularly for titles, subtitles, and headers. The most common fonts are Times New Roman and Arial. Other fonts include Arial Black, Franklin Gothic Heavy, Tahoma, Trebuchet, Verdana, Garamond, Book Antiqua, or Bookman Old Style, just to name a few.
  • You may need to adjust the font size depending on the font and the amount of text on your poster. For readability, do not use a font smaller than 18 points.
  • For consistency, make all the headers the same size, and use the same font size throughout the poster for all body text.
  • If your text is in a different file (e.g., in a Word document), be sure it pastes into a text box in PowerPoint so it can be edited.

Font Sizes by Section

  • Title: 72-120 pt.
  • Subtitle: 48-80 pt.
  • Section headers: 36-72 pt.

Body text: 24-48 pt.

Saving to PDF

Be sure to always proofread your poster content and get a second opinion when it comes to content and design.

Goals of a Good Poster:

Visually Appealing:  Must be visually appealing in order attract the attention of the audience and get viewers to stop for a longer look.  

Must Communicate Clearly:  Must be concise and communicate the key findings and implications for practice 

Viewers should be able to get the message in 3-5 minutes and read every word in no more than 10 minutes.  

A good rule of thumb is the word count of text should be about 1,000 words. Try to utilize graphics and minimize text in order to communicate. 

Graphics should be clear and clearly support conclusions.  Do not use graphics just to use them, be sure they are adding value to your poster.

Text and graphics need to be evenly spaced and uncluttered.

Poster Sections

Poster Content :

Title :   No more than 15 words is ideal, be specific, PICO question.

Author(s) : Affiliations then credentials – degree, license then certification.

Acknowledgments : Names or funding sources.

Background : Why is this important, significance of topic?

Methods : 

Research Study:   Detail research design, analysis, and limitations.

Evidence-Based Practice Project:  Briefly detail your search – search strategy, databases/ sources searched, years of search, level(s) of evidence.

Do not copy and paste an entire search strategy into the poster.

In this section, it is also useful to include a table such as the one below.  This table communicates the quality of evidence you found and how much.  This evidence is used to justify the recommendations that may be made for practice change.

Include citations for articles use to draw conclusions on the handout provided when presenting the poster.  Need to be in APA 6 th  edition citation style.

Font/Text Size:

Use Non-Serif or Arial for titles and Serif or Arial for smaller text as it is easier to read. 

Use one font throughout the poster. Create emphasis by using  bold ,  underlining  or limited color. Avoid  italic text  as it is harder to read.

Section Font Sizes:

Title:   48 point or larger.

The poster TITLE should be readable from 20 feet away.

Authors:   32 point

Section Headers:   48 point

Should be readable from several feet away.

Don’t add bullets or colons to section headers.

Section/Body Text:   24 point

Use bullets to differentiate points.

Avoid long blocks of text. Rule of thumb is 10 sentences maximum for a bullet. The less text used the better.

When using acronyms and numbers in body text, reduce the font size of only acronym and font text. This keeps them from overpowering the rest of the text.

Pictures/Charts/Graphics -    Should be visible from 6 feet away

Charts/Graphs: 

Include a brief caption for figures.

Must include a title and labels for each axis.

Make sure the font is easily readable.

It is best to create your charts and graphs in PowerPoint.  If one is scanned from another document the resolution is not the same and will not display well.  

Use .jpg format for best quality and clarity

Make sure the original image  is nice and large so that when it is resized it will continue to be clear.  Be sure to resize proportionally.

A good resolution for printed images is 300 dots per inch (DPI).

Don’t overuse color. It can distract from the message of the poster.

Use a single color for headers and other content.  Never use more than three different colors on a poster.

Be prepared to bring items to hang your poster (Velcro, stick pins, etc.)  to anchor your poster.  These are usually not provided at conferences.

Arrive early in order to have time to hang your poster and understand where it is to be displayed.

Presenting your Poster

Wear professional attire

Make eye-contact and actively greet those who visit your poster and engage them in a conversation.  Look at this as an opportunity to network.

Find a way to explain your poster in 4 -5 sentences.

Be sure to not talk to fast and speak clearly.

Make sure to cover:

What it’s all about.

Why it matters.

How you did what you did.

What are the results?

What is the final/takeaway message?

Be sure to provide print copies of the poster and on the back side of the handout have the references and more tables if needed.  Can also include your abstract if there is room.

When preparing to present a thesis, capstone project , or dissertation , it is best to create an abstract poster. The poster will help you to give potential attendees the information they need to decide if they will attend your presentation.

Nurses, clinicians, and researchers share information on programs they develop or their studies through abstract posters. It aids in sharing clinical wisdom and advancing the knowledge of nursing and other healthcare professionals. Presenting poster abstracts is a common practice in conferences and seminars.

In this post, we will reveal everything you need to know about creating an abstract poster. You should be able to create a brilliant abstract poster when you read this article.

What Is a Poster Abstract?

An abstract poster, aka poster abstract, is essentially an advertisement for a research presentation, and it is prepared by the research author to give potential presentation attendees a glimpse of the research.

A poster abstract is typically 300 words long, and it takes between 30 minutes to 60 minutes. Writing takes longer because it involves summarizing an entire research project into a one-page summary.

A good poster abstract uses a few sentences to capture the essence of a research project perfectly, and it is not and should never be just a basic summary of a research project.

When asked to write a poster abstract for a conference, you will most likely be given some requirements to follow. The requirements will undoubtedly include the format to follow, the word limit, and the deadline to adhere to.

A well-written abstract describes the research questions, PICOT questions, or clinical problems. It also entails the methods used to address the clinical issues and the significance and implications of the results.

Parts of A Poster Abstract

When tasked to write a poster abstract, or if you are doing one for an upcoming nursing or interprofessional conference relevant to your field, you must make sure it includes the following parts:

  • Title and Author (s). This comes in the top section of the poster, and it includes the title and names of the contributing authors. The poster's title should be the same as the abstract, and it should be clear, concise, and in an easy-to-read font. You should include the credentials and institutional affiliations of the authors and add organizational logos if possible.
  • Background: Your poster abstract should begin by providing the background of your research project, and it should do this by introducing the problem you investigated in your research.
  • Methods: Your abstract poster should have a methods section that explains the ?how? of your project. In this part of your poster, you are supposed to summarize how you did your project. One or two sentences are enough for this part; unnecessary words are unnecessary.
  • Results: The results part of your abstract is perhaps the most important since it is where you highlight your most important findings. Highlight your key findings here without offering any interpretations or explanations. Let those interested in the interpretation and discussion part of your research attend your presentation.
  • Conclusion: This should be the last part of your poster abstract. It should present the reader with a brief overview of the conclusions you made in your research, and it should also mention the implications of your study.
  • Future Plans: This section can include a few sentences of recommendations for some research or plans to follow up on the initiative or program.
  • References: List all your references in alphabetical order.
  • Acknowledgments: Acknowledge any contributors, funding agencies, and institutions.

An abstract for a nursing capstone project will slightly differ. It will have the following sections:

  • Purpose and goal statement
  • Framework and synthesis of evidence
  • Practice recommendations
  • Implementation process
  • Outcomes measures
  • Clinical implications

Steps for Preparing a Poster Presentation

Your journey to making an excellent abstract and a poster begins by searching for upcoming nursing conferences or other related interprofessional seminars. You can also ask your colleagues about their experiences and the conferences they have attended. Your mentor can also come in handy but make sure you read the call for abstract posters to know what is expected, such as the scope of the conference and how to design the posters.

1. Do Some Planning

There are various poster pitfalls that you should avoid when making a poster. Some, like avoiding including too much detail or too many images, are a no-brainer. Let?s look at some of the best practices you should consider when making a poster to present your project, capstone, or dissertation.

  • Avoid unnecessary clutter. Restrict your presentation to a few important ideas. Note that presenting a few of your findings well is better than presenting all your findings badly. Arrange the contents of your poster to read from top to bottom and left to right. Frames, lines, and boxes should emphasize the most important points.
  • Use simple lettering. Do not make us of more than three different font sizes; the smallest for text, the medium for section titles, and the largest for the title of the poster. Your smallest font size should be big enough to be read from a distance (24-point font). And for all your lettering, utilize bother lower- and uppercase letters, as words made up of uppercase letters only are hard to read.
  • Use simple colors. Using many colors can be somewhat distracting, while using too little tends to be boring. Make use of color only when emphasizing the most vital elements.
  • Avoid overly long titles. A good title is brief, snappy, and straight to the point. Some great titles ask questions, while others answer them. The title should highlight the subject matter and be big enough to be easily read from a distance, say 30 feet away. Also, the title should not surpass the width of the poster area and should not be entirely in capital letters.
  • Include your names. The names of the authors involved, together with their institutional affiliations, should be included below the title. When doing so, do not use a similar font size as that used for the title; instead, use a smaller font.
  • Never use a small font size for your poster. Avoid using 10-point or 12-point font sizes. Instead, use a font size that can be easily read from a distance of around 4 feet. You want your poster to be easily readable from a distance, don?t you? What?s more, avoid those fonts that are difficult to read, such as Linotext or Helvetica.
  • Lay out the segments of your poster in a logical manner. This will allow reading to proceed linearly. You do not want your readers to have difficulty following your presentation. The best layout to use is the columnar format. This way, the readers proceed vertically from top to bottom and then from left to right.
  • Divide your poster into sections to avoid one long, unending thread. All sections should be well-labeled with relevant titles. Aim to convey your message in a few words and diagrams, as your readers will not spend more than 3 minutes on your poster.
  • Remember that a poster is not a scientific paper, and d o not waste a lot of precious space on irrelevant experimental details. The main areas to emphasize in your poster are the key results, experimental strategies, and the drawn conclusions.
  • Do not forget to include the acknowledgments. You should give credit where it is due. Include a brief acknowledgment section thanking everyone who assisted you in completing the work. Also, include academic references where necessary. Note that your references should be as thorough as those in academic papers. You can also include footnotes, but avoid them if possible.

Steps for Creating Your Poster

These steps are described more fully in each box

  • Write an outline or abstract for your project.
  • Check the poster size guidelines for the conference, meeting, or assignment.
  • Download appropriate size poster template (resource suggestions available below)
  • Use your abstract as a guide to arrange your information in pre-formatted sections.
  • Have poster printed, as needed.
  • Print handouts for attendees if desired.

Writing an Abstract

  • The abstract is what will appear in the conference program.
  • Check the word count limit for your abstract. Abstracts are typically limited to 250 - 300 words.
  • Consider the audience. Who will be reading your abstract? Target the abstract to the audience. (E.g. if you are submitting the abstract to a conference attended by critical care clinicians, emphasize how project results could be used in that specific setting; if submitting to a managerial conference, emphasize results or implications of interest to that group - quality improvements, cost savings, etc.) 
  • Use action verbs when writing
  • Title - be creative, use the title to grab the reader's attention, but it should also clearly and concisely explain your project
  • Background - why is the project important? What are the issues? What is the purpose of project?
  • Methods - setting, population, study design / type, how the data was analyzed (statistical methods used)
  • Results - outcomes, findings
  • Conclusions - summary of why the findings matter, implications for using the research
  • Keep a copy of the abstract for your records
  • The abstract should guide the content for the poster

Poster Content Tips

General Guidelines :

  • The abstract should guide the poster content not be part of the poster itself.
  • Sections should be concise and to the point - avoid extra words. Text should not be more than 800 words in total .
  • Check conference instructions for allowable poster sizes and any required sections.
  • Double check grammar, spelling, and punctuation - then ask a colleague to review

Poster Sections

Header - the header contains the following elements

  • Do not make the title too long - it should be easily readable at a glance
  • Bold and use a large font  - make the title the largest font size of the poster to grab reader's attention
  • Use sentence casing or Title Casing as it is easier on the eye - Avoid all caps (UPPERCASE); it is too hard to read
  • include all who contributed - follow International Committee of Medical Journal Editors (ICMJE) authorship criteria
  • Author Affiliations go directly under author listing and include all institutions or organizations represented by the authors along with the Institution or Center at which the study was conducted if not already included in the listing
  • Contact Information - provide a method for viewers to contact the research team (E.g. email and/or phone number)
  • Logos - optional; can include institutional or organizational logos. Ensure logos do not compete with the title for attention.
  • Should be logically structured, similar to the sections of a research article.
  • Use bulleted points and phrases if possible.
  • Be concise. Wordy posters are overwhelming.
  • Use figures, charts, graphs, tables, etc. rather than words to present the information when possible.
  • Ensure images and graphics are clear and relevant.
  • Save poster space by using a small font size for references and acknowledgements.

Background / Introduction : Why was the project important? Provide just enough information for readers to be able to understand. 4 -8 sentences is ideal (approximately 25 - 50 words).

Purpose / Research Question ( PICO) / Hypothesis/ Aims (for QI projects) : Highlight the purpose by giving it its own section. 1 or 2 sentences will do.

Methods (optional) : Not necessary for a poster presentation unless the method was unique or the instrument, tools or equipment used were uncommon. (approximately 25-50 words)

Results : Include primary, statistically significant, interesting findings. If including multiple results, separate them and provide a descriptive title for each. Prefer figures and graphs over text when possible and include brief explanatory captions. (approximately 100-200 words)

Conclusions and Implications : Briefly summarize results again and indicate how the findings effect practice, policy, or further research. Consider including a statement about whether the project answered the research question or if it supported or disproved the hypothesis. (approximately 100-200 words)

References and Acknowledgments : Include references for 3-5 sources that were crucial to the project or that might be useful for readers wanting more information. Provide acknowledgements for specific contributions like funding. (approximately 25-50 words OR use a QR code to send readers to the reference list).

Poster Design Tips

  • organize the poster elements for intuitive reading: left to right and top to bottom
  • divide information proportionally into 3 or 4 columns - should look visually balanced
  • align the boxes vertically within the columns and horizontally when possible (especially the 1st row of boxes). Misalignment distracts from your content.
  • 1 or 2 lines of text can be centered - 3 or more lines should be left justified
  • open space around tables and images should be even and consistent
  • spacing between boxes should be even
  • do not overcrowd content but also do not leave too much empty space
  • poster should have about 25% open space
  • Text should be readable from 4 ft away
  • title = 72 point
  • authors = 48 point; affiliations = 36 point
  • subheadings = 48 point (1.5 to 2x larger than the body text)
  • text = 24-36 points
  • graph text  = 28 points
  • references = 20 points OR QR code
  • Font style should be consistent in the body and the headings / title - do not mix fonts
  • Text should be easy to read (e.g., Sans serif fonts are easy to see from a distance: Arial, Helvetica, Calibri, Century Gothic, Tahoma, Verdana
  • To emphasize text, use bold or italics. Avoid underlining and ALL CAPS
  • Serif fonts should be used for headings or titles only: Times New Roman, Garamond
  • background color should be light: white, very light grey, light blue, etc.
  • in the poster itself, use 2 colors only - a main color (dark grey or black) and an accent color (that contrasts with white or other background color)
  • Strive for high color contrast: 4.5:1 (there are free color contrast analyzing tools like Color Contrast Analyzer)  
  • prefer cooler colors like blue, brown and green over warm colors like red, orange, pink, etc. Do not use colors that distract from the content

Photos and Graphics:

  • should compliment poster content and add meaning
  • use high resolution images with colors that will stand out from the background colors

Tables and Graphs:

  • use to highlight key points. Bar graphs can be used for data trends and pie charts can help visualize content.

WHAT IS MY MESSAGE?

  • You must be able to state your main point(s) succinctly
  • All visuals and text should relate to those points
  • Abstract can serve as an outline for your poster, i.e., an illustrated abstract
  • Determine specific size requirements; how things will be organized/displayed: on easels, on corkboard with pushpins, tri-fold board displayed on table, etc.
