Essential Elements of a Change of Address Letter

Crafting a comprehensive change of address letter is vital to ensure all pertinent information is conveyed to your recipients. Here’s a detailed breakdown of what to include:

  • Personal and Business Information : Start with your name, and if applicable, your title and the name of your business. This establishes who the letter is from and provides context for the recipient.
  • Contact Details : Include your current mailing address, phone number, and email address. This not only provides alternative ways for the recipient to reach you but also ensures they have the most up-to-date information.
  • Recipient’s Information : Clearly state the name of the recipient, along with their title, the company name, and their full address, including city, state, and zip code. This personalizes the letter and ensures it reaches the right individual or department.
  • Salutation : Use a proper salutation to address the recipient. This sets a professional tone for the letter.
  • Opening Statement and Reason : Clearly state the purpose of your letter in the opening statement. This is where you explain that you are moving and therefore updating your contact information.
  • New Address and Effective Date : Provide the new address details and specify the date from which the change will be effective. This is crucial information that the recipient needs to update their records.
  • Request to Update Records : Explicitly request that the recipient updates their records with your new information to avoid any potential issues in the future.
  • Closing Statement : Conclude the letter with a closing statement, expressing your gratitude for their attention to this matter.
  • Your Name and Title : Sign off with your name and, if applicable, your title to reiterate who the letter is from and to add a final touch of professionalism.

Pro Tip: After sending out your change of address letters, it’s crucial not to just assume that all recipients have updated your information in their systems. Establish a follow-up routine to ensure that your address change has been processed by all relevant parties. Two to three weeks after sending your letters, consider reaching out to key contacts, especially in professional and official capacities, to confirm that they have received your notification and updated your details. This proactive approach can prevent potential issues, such as missed communications or disruptions in services, ensuring a smooth transition to your new address. Remember, a little follow-up can go a long way in maintaining seamless connections!

Important: When updating your address, especially for official documents and crucial services, it is imperative to understand and comply with the specific procedures required by each entity. Some organizations, including government agencies, banks, and insurance companies, may require official forms, identification verification, or in-person visits in addition to a change of address letter. Failing to adhere to these requirements can lead to legal complications and interruptions in services. Ensure you are aware of and complete all necessary steps to maintain the accuracy of your records and prevent any potential issues in the future. Your diligence in managing this process is vital for a smooth and successful address transition.

Key Considerations

When drafting your change of address letter, it’s imperative to strike the right balance in tone, content, and personalization to ensure your message is both effective and professional. Here’s what you need to consider:

  • Maintain a Professional Tone : Regardless of whether you are addressing a personal contact or a business associate, it’s crucial to maintain a professional tone throughout your letter. This helps in establishing respect and ensures that your message is taken seriously.
  • Conciseness is Key : Aim for clarity and brevity. Your letter should be straightforward, providing all the necessary information without any unnecessary embellishments. Clearly state your previous and new addresses, any changes in contact information, and the effective date of the change.
  • Avoid Slang and Jargon : To ensure your message is universally understood, refrain from using slang, jargon, or overly complex language. Stick to clear, plain language that directly conveys your message.
  • Personalize Your Greeting : Whenever possible, address the letter directly to the appropriate person, using their name. This adds a personal touch and shows that you have taken the time to ensure the letter reaches the right individual. If you are unsure of the recipient’s name, a general greeting such as “Dear Customer Service Team” or “To Whom It May Concern” is acceptable, though a specific name is preferable.

It’s advisable to send out your change of address letters at least 2-4 weeks before your actual move date. This gives your contacts ample time to update their records and ensures a smooth transition of mail and communication.

In such cases, addressing the letter to the “Customer Service” or “Accounts Department” of the organization is a safe bet. You can also call the company directly to inquire about the appropriate person or department to send your letter to.

This depends on the recipient. While many organizations and individuals accept change of address notifications via email, some might require a physical letter, especially for legal or official purposes. Check with the specific contact to understand their preference.

Avoid including overly personal or sensitive information in your change of address letter. Stick to the necessary details such as your old address, new address, and contact information.

Utilizing a simple template offers the convenience of crafting numerous change of address letters seamlessly. Examining a sample letter empowers you with a clear understanding of the optimal structure tailored to your specific requirements. This template proves invaluable for a variety of notifications, encompassing personal acquaintances, postal services, educational establishments, and professional contacts. With minimal adjustments, you can easily personalize the content to address diverse scenarios effectively. The comprehensive guide we have meticulously prepared provides insightful tips to elevate the professionalism of your letter, ensuring recipients receive all necessary information to update your details promptly in their systems. This strategic approach guarantees a continuous and uninterrupted flow of mail and notifications, safeguarding your connectivity and communication.

  • A person who is unable to act for themselves: Power of Attorney

Stop or Forward Mail for the Deceased

To submit a change of address request for someone who is deceased, you must go in-person to a Post Office location with documents showing you're the executor or administrator authorized to manage their mail. (Having their death certificate is not enough.)

Managing Mail for the Deceased

International Moves: If you're going to move outside the United States, before you leave the U.S. , you must go to a Post Office location to verify your identity and submit your change of address request in person.

Businesses: If you are submitting a business change of address request in-person at a Post Office location, you must have documentation, like a notarized letter, power of attorney, or letter on company letterhead (signed by someone in a leadership role) that shows you’re an "Authorized Agent" who can submit a change of address request for the business.

U.S. Military Moves: For U.S. military moves, first work with your command ; your AMPS relocation info will automatically be shared with USPS. If you still need to submit a change of request with USPS, you can do so either in person or online. For online requests, if you are moving from a military address, your email address must end in .gov, .mil, or .edu. Important note: If you need to verify your identity in person, you can only do so at Post Office locations in the 50 states and Puerto Rico. If you are outside of the U.S., you cannot verify your identity in-person and won’t be able to submit a change of address with USPS.

Urgent Change of Address Letter Template

Changing your address might seem like a small task, but when it’s urgent, it becomes critical to act quickly. If your move was unexpected or you didn’t have time to send out notices earlier, this letter becomes your best tool for ensuring your mail doesn’t get lost in transit. I’ve seen friends delay informing their banks or healthcare providers, only to face issues with missed bills or appointment notifications.

The key to writing an effective urgent change of address letter is to be concise, direct, and emphasize the urgency of the matter. This will push the recipient to prioritize your request.

Who Should Receive Your Change of Address Letter?

From my experience, knowing who to notify is just as important as drafting the letter itself. A common mistake I see people make is only informing their postal service, but neglecting important parties like insurance companies or subscription services.

Here’s a list of entities to notify:

  • Financial institutions : Banks, credit card companies, loan providers.
  • Government services : DMV, IRS, Social Security office.
  • Utility companies : Electricity, gas, water, internet.
  • Healthcare providers : Doctors, dentists, insurance companies.
  • Subscriptions : Magazines, streaming services, memberships.

This ensures that no important mail is lost, and it also saves you the hassle of dealing with delayed services.

Structuring the Urgent Change of Address Letter

From my experience, the structure of your letter should be simple, clear, and urgent. Don’t overcomplicate it. When I write these for clients, I always focus on the essentials:

  • Subject Line : Clearly state “Urgent Change of Address Notice.”
  • Opening Paragraph : Acknowledge the recipient and state the urgency of the situation.
  • New Address Information : Include both your old and new address, along with the date the new address is effective.
  • Request for Confirmation : Ask the recipient to confirm that they’ve updated your address.
  • Contact Information : Provide a phone number or email for any further inquiries.

Here’s a breakdown in table form:

Urgent Change of Address Notice
Explain urgency and the reason for the letter.
Include old address, new address, and effective date of change.
Politely request confirmation once the change has been processed.
Provide your contact details for any additional questions or clarification.

Tips from Personal Experience

Having written so many of these letters, here are a few additional tips that I always follow:

  • Personalize : Whenever possible, address the letter to a specific person rather than using a generic greeting like “To Whom It May Concern.” This shows that you took the time and adds a human touch.
  • Follow Up : After sending the letter, follow up a few days later to ensure the address change has been processed. This is especially important for urgent matters, such as bills or healthcare correspondence.
  • Send via Certified Mail : If the address change is for something critical (like financial institutions), send the letter via certified mail to ensure it reaches the recipient and provides a record that you’ve made the request.

Final Thoughts

An urgent change of address letter is a critical task during a move, especially when you’re pressed for time. By using the tips and templates I’ve provided, you can make sure your address gets updated promptly and without complications.

My personal experience has shown me how easily things can fall through the cracks, so following these guidelines will help you stay on top of your move and ensure smooth communication.

12 Change of Address Letter Examples (How To Write)

When you have to relocate your business, it is crucial to find a way to inform all the necessary parties about your move and your new address. In addition, it is appropriate to inform all your business contacts using a formal letter to ensure your working relationship continues, as they will be aware of where to find you. This letter is known as a change of address letter.

All parties who relate to your business, such as banks, government authorities, and the post office, need to have this information to ensure that they can easily reach you, either in person or through the mail. You should include your old address and indicate your new address; that is, where you have moved your business operations.

This article will guide you on what you need to include in your letter and the tips you need to observe to write a proper letter.

What is a Change of Address Letter?

A change of address letter is a formal letter written by a business to inform its business and personal contacts about their change of location and provide them with their new address details.

This letter should be written once you have finalized your moving plans to avoid confusion. With this formal letter prepared and sent to all relevant parties, your business is guaranteed not to miss out on any meaningful communication.

Who are the Recipients?

The letter’s recipients are usually different parties relevant to your business operations. They may vary from business to business, but the bank and the post office are essential recipients that must be informed. It would be best if you first informed the post office to ensure all your mail is sent to your new address and does not get lost.

Ensure that your new address is updated online or at the local U.S. Post Office by filling out the change of address form.

You also need to send this letter to the bank. Ensure that you include your bank account number to make identification easier. This is meant to ensure that you receive all of your critical bank documents at your new address.

Other recipients who should receive this letter include the following:

  • Business associates
  • Credit union
  • Utility company
  • Other financial institutions, especially where you have taken loans
  • Cell phone/home phone providers
  • Doctors and dentists
  • Magazine subscription
  • Credit card companies

It is essential to send a change of address letter to all the individuals and organizations relevant to your business. This is because it helps notify them about your relocation and provides them with your new address. With this information, these relevant parties will be able to correspond easily with you even after the relocation. Also, providing them with the letter is an effective marketing strategy that will help your business grow without spending time and effort preparing for the strategy.

How to Write a Change of Address Letter?

With the guide provided in this section, you will be able to write the letter quickly. Ensure that you write your letter to make it suitable for different individuals and organizations. You must include your address and the recipient’s address.

Although you need to craft letters that can be sent to different parties without many changes, make sure you choose a tone that suits your recipients. This letter to your clients and customers is different from those you write to financial institutions and other vital organizations.

To ensure you can quickly reach out to all your recipients, create and use a mailing list. You should prepare a list of all your recipients with the following information: their first and last names, complete mailing addresses, and contact details. You can easily use the mail merge function to prepare your recipients’ addresses.

The following information or content should be included when writing your letter:

Start with the subject

The first section of the letter, referred to as the subject, is usually a single sentence that immediately highlights the address change. For a change of address email, the subject should also include the reason(s) for the relocation.

RE: Change of Address

Provide a brief introduction

After the subject, your letter should have a brief introduction where you should include your name, title, or business name. Ensure the statement you include here is short, straight to the point, and directly informs the recipient of the letter’s purpose.

With this letter, I would like to inform you that Beauty and Hair Salon will be changing its address soon.

Indicate the date on which the change will occur

It would be best if you also mentioned when your business would move to the new address. This way, your recipients will know exactly where to find you after moving. Since your recipients have to come to your new address whenever they need you, ensure that you have provided them with enough advance notice to update their address records and reach out to you quickly.

My business’s relocation will happen within two weeks, which will be on May 7, 2022.

List your current and new address

Ensure that you include the new address your recipient will use to communicate with you in your letter. The best thing to do is write your new address the way it will appear on an envelope. You can include the old address and direct them to change your business address details to the new address. Ensure that you write the correct information to avoid confusion.

I would like you to change the address details of my business in your records from my old address to my new address.

Old address Kimberly Richards 345, Around Here Avenue, Messing, SD 23096

New Address Kimberly Richards 456, Over There Avenue, Messing, SD 23037

Include reasons why the business decided to move

These recipients are essential individuals and organizations contributing to your business’s successful operation and growth. Therefore, it is necessary to include why the business decided to move. In addition, you should inform them if your business will be temporarily shut down during the transition from one location to another. Ensure you include all the proper details, especially for your vendors and suppliers.

Beauty and Hair Salon is moving to this new address since the location is more central and can easily be accessed by most clients and customers. Because we value you and your input to the business, I would like to apologize in advance for any inconvenience you may face when we shut down temporarily due to the move.

Include any other relevant information

You can also include any other relevant information you need your recipients to know. This extra information may vary based on your reasons for moving and your type of business. It will also depend on the recipient of that particular letter in some cases.

We will be hosting a moving sale to clear out any stocks during the move, including equipment and products. You are invited to the moving sale as we celebrate the new change to the business.

List out local area landmarks to find the location more easily

To make it easier for particular recipients like the post office, vendors, customers, and suppliers to reach you in your new location, you can also list the local area landmarks that make your new location easier to find. These landmarks may be around the residential or commercial area your business is relocating to.

You can easily find Beauty and Hair Salon at Great Plaza on the 5th floor at my new address. The Great Plaza is directly opposite the famous children’s park, Let’s Play Together.

Date and time of any grand openings or special discount offers

Once you have provided the recipient with details of the move and the new address, you should provide them with the date and time of the grand opening. Your recipients need to know when you will be open to resuming business.

We here at the Beauty and Hair Salon will need time to settle in and set up our equipment after the move. You are, however, invited to the grand opening on Tuesday, May 20, 2022. We will celebrate with games where you can win yourself free beauty and hair services. You are welcome.

Thank the recipient

While closing your letter, ensure that you thank your recipient. Write a single sentence about how much you appreciate their contribution to the business. Showing gratitude and appreciation will make your recipients feel special.

Thank you for being a great client, and I appreciate the value you bring to the business. We look forward to seeing you at our new address.

Contact details

Ensure that you also provide your recipients with contact details if they would like to reach out to you with any questions. This can include your phone number or email address. Again, make sure that these contact details are correct to make it easy for your recipients to reach you.

In case of any queries, you can reach out to me at my email address, [email protected].

It is essential to notify your recipient about your relocation in advance. You can do this by providing them with the letter about two to four weeks before the business moves to the new location. This is mainly for local contacts. For international contacts, you should notify them about two to three months before you relocate.

Whether you're moving yourself and your family or relocating your business, you may want to write a formal letter for change of address so all of your contacts have your new address. Particularly if you're relocating your business or writing to business contacts, you want to maintain a particular format. Choose a standard business letter format (mailed from your current address) that includes the date your address change will be effective, your new address, and your contact information to answer any questions. For friends and family members, you may want to send a handwritten postcard rather than using a formal letter. [1] X Research source

Best Address Change Letter Format

Opt for a business letter format with your current address in a left-justified block followed by the date and the recipient’s address in another block. In the body of the letter, explain that you’re changing addresses and list the effective date of the change. Include your new address and contact information.

Sample Change of Address Letters

Formatting Your Letter

Step 1 Look for a business letter template.

  • Use a basic business letter template that has blocks for the date, your address, and the address of the recipient.
  • If you have business or personal letterhead that you plan to use to print your letter, make sure the template you use has room to accommodate that.

Step 2 Create a mailing list.

Mailing List Checklist First and last name of the recipient Complete mailing address Any other contact information i.e. phone number, email address, fax Proofread your mailing list carefully to make sure you haven't made any typos in entering anyone's name or address.

Step 3 Set up address blocks.

  • If you're using mail merge, follow the formatting guidelines set forth in your word processing app. Typically this means enclosing in brackets the name of the column from which you want the app to pull data from your spreadsheet, such as "firstname lastname."

Step 4 Provide a greeting.

  • Avoid using the "Dear" greeting if some of your recipients are organizations, other businesses, or government agencies. Typically this greeting is only used for individuals.

Step 5 Complete your closing.

  • If you're writing a letter for change of address of your business, you'll want a more formal closing, such as "sincerely." However, if you have a mix of personal and business contacts, you may want to go with something less formal, such as "thanks."

Drafting Your Letter

Step 1 Write a brief introduction.

  • Don't get too wordy with your introduction. You want to keep the letter under a page, so it should be brief and to the point.

Step 2 Provide a date when the change will take place.

  • Make sure you're giving your recipients enough time to receive the letter, update their records, and get any letters out to the proper address.

Step 3 List your new address.

Considerations Confusion with old address: You can include your old address as well, for example by saying your address has changed from the old address to the new address. However, keep in mind that this might be confusing. Particularly if you have a lot of business or government contacts to whom you're sending the letter, the wrong information could be copied inadvertently by a clerk. Inform of any other changes: It's also a good idea to let your recipients know what, if any, other contact information will be changing and what will stay the same. This is especially important if they need to get in touch with you during the transition.

Step 4 Include any other relevant information.

Examples of Relevant Information Business closure: If your business will be closing for a brief period to relocate, you need to inform your recipients of this so they can plan in advance, whether they are customers, suppliers, or other clients. Moving sale: If you're having a moving sale, this might be a good place to let your recipients know about that as well.

Step 5 Thank the recipient.

  • For example, if your business is relocating, you might write "Thank you for your attention to this matter. I greatly appreciate the value you add to this company and look forward to continued work with you."

Step 6 Provide a means of contact.

  • This is especially important if your business is relocating. You may want to route all questions or concerns about the relocation to a particular phone number or extension, or to a particular email address.

Step 7 Craft several letters.

  • Consider several letters if you have any relevant information you want to include that only applies to one audience. This way no one is getting any information other than what they need.

Sending Your Letter

Step 1 Proofread your letter carefully.

  • Check the address in particular and make sure it's correct. You don't want to send your recipients a change of address letter that points them to the wrong address.

Step 2 Make sure the recipients' information is correct.

  • Check all the fields and make sure they all match and belong to the same recipient. For example, you want to make sure that the name and address of the recipient in the address box matches the name in the greeting.

Step 3 Print and sign your letters.

  • If you have international contacts, you probably want to provide two or three months' advance notice to allow for the time it takes to send mail internationally.

Common Questions: Utilizing Letters for Change of Address

How do I inform customers of a change of address?

Use multiple channels of communication to ensure your entire customer base sees your change of address. Use formal letters or eye-catching postcards if you have their mailing addresses on file, email blasts to your customer email lists, and social media posts to cast a wide net.

Is mail forwarding the same as change of address?

No. A change of address is required to inform USPS (or the mail carrier in your country) to forward or reroute your mail and packages. When submitting an address change, indicate whether mail for all or only some residents should be forwarded. [18] X Research source

Where should I send a change of address letter?

Send your letter to anyone you want to be aware of your new address. This can include family and personal contacts, business associates, clients and customers (if you’re changing your business address), or businesses you have an ongoing relationship with (like your doctor’s office, for example).

About This Article

Jennifer Mueller, JD

If you want to write a letter to alert your contacts that your address is changing, open it with a brief paragraph that tells the recipient why they’re getting the letter. Try writing “This letter is to advise you that my address will be changing soon.” Your letter should be under a page, so avoid being wordy. After your introduction, let the reader know exactly when your address will change and list the new address in the same format it should be used on an envelope. Next, include any extra information they should know. For example, if your business is staying open during the move, let your customers or suppliers know so they can plan in advance. Finally, close the letter by thanking the reader and giving them a phone number or email address where they can contact you. For more tips, like how to format your letter, read on! To whom do you send your change in address letter?

Changing residences is a complicated process which can be very busy. With all the hustle and bustle involved, you might forget to compose and send a change of address notice to send to specific people and institutions. This would be very unfortunate, especially if people would like to give you a visit but they don’t know that you don’t reside there anymore.

Although the people closest to you won’t need to receive such a letter, there are several personal and business contacts you should notify through a change of address letter.

The same thing goes if you’re changing your business address. You need to send a business change of address letter to clients, customers, and other important entities. If you’re planning to create a change of address template, make sure to send it to your:

  • Credit card companies
  • Credit union
  • Dentists and doctors
  • Magazine subscriptions
  • Mobile and home phone providers
  • Other types of financial institutions
  • Utility company

It’s also essential to notify the post office about your change in address. Provide them with your forwarding address preferably before you move. In doing this, you can make sure that you will still receive all of the mail that gets addressed to your previous residence. When updating information at the post office, you may have to fill out a “change of address form” rather than give a change of address letter.

Proper writing etiquette for your change of address letter

As you compose your change of address letter template, do so in such a way that you can send it to different people and businesses. Do this so that you don’t have to write different change of address notices for different entities. Here is some proper writing etiquette to guide you when writing the letter:

  • Include your name, your previous address, and your new address. Also, include any other contact information which may have changed.
  • If you’re sending a business change of address letter to a bank or other types of financial institutions, include your account number too. Go straight to the point and maintain a formal tone throughout the letter.
  • Address the recipient by name and state your change of address in the first paragraph of your letter.
  • If you’re moving to a different business address, make sure to inform all your clientele along with the other people you work with about your new address.
  • When businesses or companies move, they want to inform their clients about it. In such cases, make sure to include your: previous business address new business address the reasons for your move the date when your new business address will open any local landmarks in the area which will make it easier for your clients to find your new location time and date of your grand opening

How to write a change of address letter?

A change in address letter is very important if you’re planning to move yourself, your family or your business to a different place. Although it’s more important for businesses to send this type of letter, you can also send the letter to your contacts. If you’re finding it challenging to write such a letter, here are some tips to guide you:

  • Especially when you’re writing the letter for business purposes , use a formal template for it. Come up with a mailing list, especially if you’re planning to send the letter to a lot of contacts .
  • Set up the address block as this is an important part of traditional business letters . Include your name, your address, the name of your recipient, and the recipient’s address as well. For your address, use the current address and not the address you’re relocating to.
  • Start your letter with a greeting and salutation. Avoid using the word “Dear,” especially when writing the letter for organizations , businesses , government agencies or companies. Only use this greeting for when you’re writing the letter for individual persons.
  • Write a short introduction to your letter. Start with a brief statement about your letter’s purpose which is to inform them of your change in address. This is a relatively simple type of letter which means that you don’t have to create a long introduction.
  • Typically, a short sentence would suffice for your introduction. Writing an introduction that’s too lengthy or too wordy might confuse the reader and defeat the purpose of your letter. Since you want to keep your letter to only about one page in length, make it brief and straight to the point.
  • The next thing to write is the body of the letter. Also, give the date when you will officially move to the new address. That way, your recipients will know whether they should use your previous address or your new one if they’re planning to send you a letter or a package. Send the letter as early as you can to give your recipients time to receive it, update your information on their records, and use the information you gave appropriately.
  • In the body of the letter, you should also include your new address. Tell your recipients that from the date you’ve specified, they can send all future correspondence to your new address. Format the address the same way you would format it on an envelope to make it easier for your recipients to copy.
  • If needed, include any other important information such as your contact details. Depending on the situation, you may need to include information such as whether you will move by yourself, with your family or if your entire business will move to a different location as well. For businesses, state whether or not your business will stay open during the period of the relocation.
  • Before you close your letter, thank the recipient for reading it all the way to the end. Just like the introduction, keep this short and to the point. If you’re writing to a business associate, also include a statement about how you appreciate and value their business.
  • After that, provide the recipient for a means of getting in touch with you. This can be in the form of an email address or your mobile number so your recipients can get in touch with you if they have any concerns or questions. This is very important, especially if you’re relocating your business. If you think you’ll be too busy to communicate with your customers during the move, provide the contact details of a person that your recipients can speak to regarding any concerns.
  • Complete the closing part of your letter. It would be better for you to compose this part first before drafting the body of the letter. For the closing, the word you will use should depend on your relationship with the recipient/s.
  • If you’re writing a business change of letter address, make sure to use a formal closing like “sincerely” or “best regards.” But if you will send the template you create for both business and personal contacts, you may use a more informal closing word such as “thanks” or “regards.”
  • If you have the time and you need to send the letter to businesses and close personal contacts, craft several templates. Do this so you won’t have to keep on changing parts of the letter each time you print it out. You can make a template for businesses, for financial institutions, for friends and family members, and your clients and customers. Make sure that all these templates contain the important information, especially your new address.

Things to check before sending your change of address letter

Before you send your change of address letter, make sure that all the information on it is complete and correct. Otherwise, there would be no point in sending the letter anyway. So before sending the letter, do the following:

  • Proofread it carefully before sending. You should proofread it before you even print it out. Confirm the correctness of all the information and make sure the letter doesn’t have any spelling or grammatical errors.
  • Also, make sure that the information of the recipient is also correct. Otherwise, the letter might not reach the intended recipient.
  • After you’ve checked and finalized the letter, print it out then affix your signature.
  • As much as possible, compose this letter well in advance and send it to all the important people in your life. It’s even better if you can send the letter before you make a move. After that, include the date when you’ll officially relocate.
  • If you have any international contacts, you need to send the letter even earlier. Do this because it takes a longer time for them to receive the letter than your local contacts.

How To Notify USCIS (or the NVC) About a Change of Address

According to U.S. immigration law, most non-citizens living in the United States must inform U.S. Citizenship and Immigration Services (USCIS) when they change addresses. This does not mean that you must ask the U.S. government for permission to move houses. You just have to make sure you inform them after you move. Beyond complying with the law, this is important because USCIS will have updated address information for you when they have to mail you an important notice. This article explains how to go about notifying USCIS about a change of address and which foreigners have to do this under the law.

Do I Need To Update My Address With USCIS?

If you are not a U.S. citizen, you will likely need to notify U.S. Citizenship and Immigration Services (USCIS) about your change of address. Some U.S. citizens may also need to update their address with USCIS if they are involved in a pending immigration case.

With a  green card  or another approved immigration status, you do not need USCIS’s approval to move to a different residence in the United States. But, you will need to let USCIS know that you have moved to a different location so that they may reach you in the future.

The following groups are not required to submit a USCIS change of address notification:

A visa holders (foreign diplomats)

G visa holders (government representatives of international organizations)

Visa waiver program members (non-immigrants who will be in the United States for less than 30 days)

All other immigration statuses require you to submit updated address information to USCIS. Most foreign nationals and U.S. citizens sponsoring an immigrant have to inform USCIS of any address changes. If you have a pending case, be sure to keep your current address updated with USCIS, as they send essential communications to you over mail.

Conditional and unconditional permanent residents must notify USCIS within 10 days of changing their residential address. Temporary visa holders, such as H-1B employment visa holders, must update their addresses with USCIS no more than 10 days after moving.  U.S. citizens  who are sponsoring immigration applications should report their address change within 30 days of moving.

How To Notify USCIS of a Change of Address

Non-U.S. citizens have two ways to submit a change of address to U.S. Citizenship and Immigration Services (USCIS). You only need to  complete one  of the following two options:

You can submit USCIS’s online Change of Address Form . The form typically takes about five minutes to complete. You may request immediate email confirmation when you fill out the form. You will also receive a mailed confirmation of the address change in the next 15 days. If you filed your original paperwork online, you can choose this option by logging into your USCIS online account .

Another way to register a change of address is to file the paper form Form AR-11 or the “Alien’s Change of Address Card” to USCIS by mail. You must complete the form in black ink and sign the form. The form contains instructions on where you should mail your paperwork.

If you have any non-citizen dependents or other relatives, you must file a  separate  change of address notification for each individual. If you have any pending or recently approved immigration applications or petitions, like  Form I-130  (“Petition for Alien Relative”) or  Form I-485  (“Application to Register Permanent Residence or Adjust Status”), you should also update the old address you listed on those forms. If you update your address online, the USCIS website will give you the option of simultaneously updating your addresses for these applications.

How To Notify the NVC of a Change of Address

Although the U.S. Citizenship and Immigration Services (USCIS) portal gives you the option to update your addresses for pending applications or petitions simultaneously, you will have to directly contact the National Visa Center (NVC) for cases that have already moved to the NVC. For example, if USCIS has approved your  Form I-130  or Form I-129F, Petition for  Alien Fiancé(e) , they have already transitioned your case to the NVC.

You must use the NVC’s  Public Inquiry Form  to inform them of your new address. You should also notify the NVC if your phone number or email address has recently changed.

What Is the Change of Address Process for Victims of Crime?

If U.S. Citizenship and Immigration Service (USCIS) approved your stay in the United States as a victim of domestic violence, human trafficking, or violent crime, you  won’t  file your address change online.

Instead of filing online, you should print out, complete, and use certified, registered, or return receipt mail to send your Form AR-11 to USCIS. You should send your form to the following address:

U.S Citizenship and Immigration Services

Attn: Humanitarian Division

Vermont Service Center

38 River Road

Essex Junction, VT 05479-0001

What Is the Change of Address Process for U.S. citizens?

U.S. citizens who are sponsoring pending applications have three ways to submit a change of address to U.S. Citizenship and Immigration Services (USCIS).  U.S. citizens  will only need to  complete one  of the following three options:

Submit USCIS’s online Change of Address Form . The form typically takes about five minutes to complete. U.S. citizens may request immediate email confirmation when they fill out the form. They will also receive a mailed confirmation of the address change in the next 15 days.

Call 1-800-375-5283 to inform USCIS about an address change.

Submit Form I-865 , the Sponsor’s Notice of Change of Address, to USCIS by mail. All sponsoring U.S. citizen family members must complete this form separately even if they all live at the same address.

In some cases, a sponsoring U.S. citizen spouse may have temporarily moved abroad. Sponsoring spouses must prove to the U.S. government that the United States is their official country of residence. Sponsoring spouses who move abroad temporarily should still provide a U.S. address for all communications from USCIS. They should not provide their temporary address for their stay abroad because USCIS will never send mail to a non-U.S. address.

If a sponsoring spouse cannot receive postal mail in the United States, they should provide USCIS with the address of a close relative or friend. Usually, USCIS only mails notices when they approve  Form I-130 , Petition for Alien Relative, and when they forward green card application materials to the National Visa Center (NVC).

Once the NVC receives a sponsoring spouse’s application materials, the sponsoring spouse must provide any updated addresses to the NVC and not USCIS. They may do so by completing the NVC’s  Public Inquiry Form .

Is a USPS Change of Address the Same as a USCIS Change of Address?

A U.S. Postal Service (USPS) change of address is not the same as a U.S. Citizenship and Immigration Services (USCIS) change of address. When you contact USPS to change your mailing address, USPS does not notify USCIS. A USPS change of address will have no impact on the contact information that USCIS has on file for you. Most USCIS mailings aren’t forwarded by USPS, so you risk missing out on essential communications by not directly submitting a change of address with USCIS.

What Is the Penalty for Not Notifying USCIS of a Change of Address?

If you are a non-citizen who falls under one of the immigration statuses that requires you to notify U.S. Citizenship and Immigration Services (USCIS) of your address change, you must comply. Failing to update your address is a misdemeanor punishable by a fine of up to $200 and up to 30 days in jail.

Green card holders who willfully fail to report a change of address may even face deportation by USCIS. If you are a permanent resident and you fail to provide USCIS with your updated address within 10 days of moving, you risk deportation unless you can prove that:

Your failure to update your address with USCIS was “reasonably excusable.”

Your failure to update your address with USCIS was not “willful.”

Currently, U.S. immigration officials rarely pursue deportation of those who fail to change their address in time, but this may change in the future. You should always be safe by reporting your change of address and not risking your status in the United States.

U.S. citizen sponsors who do not report their address change within 30 days will not face legal prosecution but may cause USCIS to delay processing the immigrant’s application.

Even if you must submit your address change late, you should do so. If you did not submit an address change in the past, you should do so now and each time you move in the future. It’s always better late than never.

Instructions for How to Inform USCIS of a Change of Address

October 12, 2023 Immigration News

Family loads moving van and prepares USCIS change of address

If you are a non-citizen living in the United States, you generally must inform U.S. Citizenship and Immigration Services (USCIS) of an address change. In fact, certain U.S. citizens should also submit a USCIS change of address form when they are involved with an active immigration case. It’s easy, and it’s free. So, there really is no reason not to keep your address up-to-date.

Why Notify USCIS of an Address Change How to Do a USCIS Change of Address Pending Petitions at the National Visa Center U.S. Citizens Should Inform USCIS of an Address Change in These Cases Victims of Crime Have a Different Process

You are not required to seek approval for a change in residence. You’re free to move to a different home while in the United States as a permanent resident or any other immigration status. But it is necessary to inform USCIS of your new location. Only the following types of non-citizens are not required to submit a USCIS change-of-address notification:

  • Foreign diplomats (A visa)
  • Government representatives to international organizations (G visa)
  • Certain non-immigrants who do not possess a visa and who are in the U.S. for fewer than 30 days

Why Notify USCIS of an Address Change

Submitting a USCIS change of address form is essential to make sure the immigration agency has your contact information for communication and because it’s the law.

USCIS may need to contact you regarding a pending application or important information regarding your status. For example, if you have a pending green card application, USCIS may deny the case if they don’t get a response to mailed communications. They will not call you to find out why you’re not responding.

What’s more, the obligation to provide a current address is law. For non-citizens, willfully failing to give USCIS your new address is a misdemeanor punishable by a fine of up to $200 and up to 30 days in jail. In fact, the government can even deport a permanent resident for failing to provide USCIS a new address, unless the green card holder can prove that: (1) the failure to report a change of address was “reasonably excusable” or (2) the failure was not “willful.” While it is rare that the government enforces this, it’s always best to be on the right side of the law.

Why Immigration Visa Wait Times Are So Long

How to do a uscis change of address.

Foreign nationals in the United States should notify USCIS of an address change within 10 days of the change. That means you should submit your address change no more than 10 days after moving to your new address.

However, now most individuals with a USCIS online account may use the USCIS E-COA (Enterprise Change of Address) to update their mailing and physical address with USCIS for pending applications, petitions, or requests in a single place. If you use the electronic system, you will not need to submit Form AR-11, visit an office or call the USCIS contact center. E-COA will automate address changes for almost all form types (the exceptions are listed at uscis.gov/addresschange ). Before getting started, you’ll need to have your new address, old address, A-number (if applicable), and an email address. If you have any pending forms, you will also need the receipt number from each case.

If you file through the USCIS website, you’ll be able to fulfill your obligation and update any pending applications or petitions at the same time. Be sure to list the receipt number for every form that’s pending. For example, a green card applicant may need to submit a USCIS change of address for I-485, I-130, I-864, I-765 and I-131. If the petitioner has a new address, they would only need to submit an address change for the I-130. However, if there are multiple intending immigrants, the petitioner should be sure to list each I-130 receipt number.

File Electronically

Use your USCIS online account if you already have an account number. This is optimal if you have a pending form with USCIS. Anyone else can use the online Change of Address.

Mail Form AR-11

You may prefer to mail your form. Some categories must mail a form. If you mail your form, we do recommend calling USCIS at 1-800-375-5283 to confirm they update your address with any pending cases. You can download the PDF or prepare it at no cost on CitizenPath.

Pending Petitions at the National Visa Center

If you change your address online through your USCIS account, USCIS indicates they will update your pending applications or petitions. However, cases that have moved on to the National Visa Center (NVC) require that you contact them directly.

If USCIS approved a Form I-130 or Form I-129F, it’s likely that they transitioned your case to the National Visa Center. The NVC is part of the State Department. (USCIS is part of the Department of Homeland Security.) Therefore, you’ll need to update your address with the NVC.

To provide your new address to the NVC, use their Public Inquiry Form . Additionally, you should advise them if your email address or phone number changes.

Address change instructions

U.S. Citizens Should Inform USCIS of an Address Change in These Cases

There are at least a couple of situations that U.S. citizens and any petitioner should want to inform USCIS when there is a change of address.

Petitioning a Relative for Permanent Residence

As already mentioned, USCIS needs your current address to communicate with you regarding pending petitions. If you have filed Form I-130 or Form I-129F and the case continues to be pending, submit an online USCIS change-of-address request as soon as you've moved to new address. Or, contact the NVC with your new address.

Already Sponsoring an Immigrant

If at any time in the past you completed Form I-864, Affidavit of Support, to sponsor an immigrant, you are required to report your change of address within 30 days of the change if the sponsorship agreement is still in force. However, do not use Form AR-11. If you, as a sponsor, change your address, you must submit a completed and signed Form I-865 (Sponsor’s Notice of Change of Address) to USCIS.

Victims of crime have a different process.

If you are the victim of domestic violence, trafficking, or other crime, do not use the online change-of-address process to file an address change notification. Individuals in these categories generally include anyone that has filed for or received approval using VAWA (Violence Against Women Act), T or U non-immigrant status.

USCIS recommends individuals covered by these provisions use certified, registered, or return receipt mail to send Form AR-11, Alien’s Change of Address. Mail the form to:
