1. Add a header and contact information

While reading your cover letter, the recruiter shouldn’t have to look far to find who wrote it. Your document should include a basic heading with the following information:

  • Pronouns (optional)
  • Location (optional)
  • Email address
  • Phone number (optional)
  • Relevant links, such as your LinkedIn profile , portfolio, or personal website (optional)

You can pull this information directly from your CV. Put it together, and it will look something like this:

3. Draw them in with an opening story

There’s no need for a personal introduction — you’ve already included your name in the heading. But you should make reference to the job you’re applying for. A simple “Thank you for considering my application for the role of [job title] at [company],” will suffice.

Then you can get into the “Why” of your job application. Drive home what makes this specific job and this company so appealing to you. Perhaps you’re a fan of their products, you’re passionate about their mission, or you love their brand voice. Whatever the case, this section is where you share your enthusiasm for the role.

Here’s an example opening paragraph. In this scenario, you’re applying for a digital marketing role at a bicycle company:

“Dear Mr. John Doe,

Thank you for considering my application for the role of Marketing Coordinator at Bits n’ Bikes.

As with a resume, it’s important to start your cover letter with your contact details at the top. These should be in your cover letter’s header, separated neatly from the bulk of your text.

  • Full Name. Your first and last name should stand out at the top.
  • Job Title. Match the professional title underneath your name to the exact job title of the position you’re applying for. Hiring managers often hire for several roles at once, so giving them this cue about what role you’re after helps things go smoother.
  • Email Address. Always use a professional and easy-to-spell email address. Ideally, it should combine your first and last names.
  • Phone Number. Add a number where the hiring manager can easily reach you.
  • Location. Add your city and state/country, no need for more details.

Then it’s time to add the recipient’s contact details, such as:

  • Hiring Manager's Name. If you can find the name of the hiring manager, add it.
  • Hiring Manager's Title. While there’s no harm in writing “hiring manager,” if they’re the head of the department, we recommend you use that title accordingly.
  • Company Name. Make sure to write the name of the company you're applying to.
  • Location. The city and state/country are usually enough information here, too.

Once you’ve properly listed all the contact information, it’s time to start writing the content of the cover letter.

The first thing you need to do here is to address your cover letter directly to the hiring manager.

In fact, you want to address the hiring manager personally .

Forget the old “Dear Sir or Madam” or the impersonal “To Whom It May Concern.” You want to give your future boss a good impression and show them that you did your research before sending in your application.

So, how do you find out who’s the hiring manager?

First, check the job ad. The hiring manager’s name might be listed somewhere in it.

If that doesn’t work, check the company’s LinkedIn page. You just need to look up the head of the relevant department you’re applying to, and you’re all set.

For example, if you’re applying for the position of Communication Specialist at Novorésumé. The hiring manager is probably the Head of Communications or the Chief Communications Officer.

Here’s what you should look for on LinkedIn:

And there you go! You have your hiring manager.

But let’s say you’re applying for a position as a server . In that case, you’d be looking for the “restaurant manager” or “food and beverage manager.”

If the results don’t come up with anything, try checking out the “Team” page on the company website; there’s a good chance you’ll at least find the right person there.

Make sure to address them as Mr. or Ms., followed by their last name. If you’re not sure about their gender or marital status, you can just stick to their full name, like so:

But what if you still can’t find the hiring manager’s name, no matter where you look?

No worries. You can direct your cover letter to the company, department, or team as a whole, or just skip the hiring manager’s name.

#4. Write an Eye-Catching Introduction

First impressions matter, especially when it comes to your job search.

Hiring managers get hundreds, sometimes even thousands, of applications. Chances are, they’re not going to be reading every single cover letter end-to-end.

So, it’s essential to catch their attention from the very first paragraph.

The biggest problem with most opening paragraphs is that they’re usually extremely generic. Here’s an example:

  • My name is Jonathan, and I’d like to work as a Sales Manager at XYZ Inc. I’ve worked as a Sales Manager at MadeUpCompany Inc. for 5+ years, so I believe that I’d be a good fit for the position.

See the issue here? This opening paragraph doesn’t say anything except the fact that you’ve worked the job before.

And do you know who else has similar work experience? All the other applicants you’re competing with.

Instead, you want to start with some of your top achievements to grab the reader’s attention. And to get the point across, the achievements should be as relevant as possible to the position.

Your opening paragraph should also show the hiring manager a bit about why you want this specific job. For example, mention how the job relates to your plans for the future or how it can help you grow professionally.   • Wrap up any points you couldn't make in the previous paragraphs. Do you have anything left to say? If there’s any other information that could help the hiring manager make their decision, mention it here. If not, just recap your key selling points so far, such as key skills and expertise.
  • Express gratitude. Politely thanking the hiring manager for their time is always a good idea.
  • Finish the cover letter with a call to action. The very last sentence in your cover letter should be a call to action. This means you should ask the hiring manager to do something, like call you and discuss your application or arrange an interview.
  • Remember to sign your cover letter. Just add a formal closing line and sign your name at the bottom.

It is perfectly valid to start with something simple like, “I am excited to apply for the Systems Engineer position at AAA Company I found on LinkedIn.” Then, explain your interest in this particular organization and briefly state what makes you a good fit for the job:

As a longtime fan of your products, I would be thrilled to become part of your team. I firmly believe that my five years of experience in designing and implementing efficient and secure computer systems will be a valuable addition to AAA Company.

In the first two or three sentences, you need to give recruiters a reason to read further. Show them that your candidacy answers both requirements we discussed earlier: you are qualified for the position and likely to stay with a company for a long time.

Step 4. Explain why you are a perfect candidate in the middle section

In the second paragraph, describe your most relevant experiences and achievements, and link them to the position you are applying for. Of course, there is no need to repeat the content of your resume. Instead, expand on the points in your work experience section. Give some examples, demonstrate the measurable impacts you made, or mention the professional praises you received.

For example:

During my previous role at 123 Technologies, I evaluated work processes, developed business requirements, and created use cases and process models. One of my most significant accomplishments was implementing a new contract management system, which reduced the time needed to complete contract-related tasks by 25% and saved the company $350K yearly. Working on large and small projects, I often communicated with people from different departments. My colleagues praised my extraordinary ability to explain complex technical concepts to non-technical specialists while at the same time being able to discuss technical details with developers easily.

The best way to determine what to write in this section is to read the job description carefully and see what the employer wants in an applicant. Then choose two or three points that correlate with your previous experiences and emphasize those in your cover letter.

Step 5. Wrap up by relating your experience to the company’s needs

In the closing paragraph, you can summarize skills that make you a perfect fit for the role, restate that you are excited about this opportunity, and thank hiring managers for their time. It is also important to politely ask them to invite you to an interview. You do not want to come off as needy, though. The final sentences of your cover letter should sound confident and focus on what you can bring to the table instead of what you want to get from the job.

I will be honored to bring my ability to notice opportunities where others might see only obstacles and my passion for improving processes until everything works like a well-oiled machine to AAA company. The last paragraph is also an excellent place to answer any potential concerns proactively. For example, if you currently live in San Francisco but are applying to a company in Atlanta, mention that you are relocating next month.

Step 6. End with professional signoff

The last thing to do is complete your letter with a formal closing. The most common sign-offs include:

If you dread writing cover letters, know you're not the only one. You've put a lot of work into writing your resume , and now you need to sell yourself in a great cover letter.

The task can feel daunting, but it's an important one, so try to approach it one step at a time. Before you know it, you'll have the perfect cover letter to pair with your perfect resume, and you'll be ready to catch the attention of hiring managers.

Let's start with the basics, and then we'll walk you through each section of the cover letter — and even give you an example.

What's a cover letter, and why are they important?

A good cover letter is a brief introductory letter to hiring managers that you attach to your job application along with your resume. A well-written cover letter shouldn't be more than one page, and it's your opportunity to introduce yourself, highlight your most relevant skills and experiences, explain why you're a great fit for the job, and help a potential employer get to know you beyond your resume.

With the formatting, it'll likely end up somewhere between 250 and 400 words — not too long.

You might be wondering if cover letters are required: Will a hiring manager actually read it ? If the job application has a place to attach a cover letter, you'll want to write one. 

Even if the job listing says a cover letter is optional, job seekers should still write one. A cover letter shows you're serious about the job and that you're willing to put the work in to get it.

Cover letters are also a great opportunity to elaborate on aspects of your resume, like an employment gap, a budgetary layoff, or an upcoming relocation. You can also use a cover letter to show your personality outside your resume. 

A professional cover letter could also become a tie-breaker. If the job is between you and another candidate, the hiring team may review your cover letter and resume to help make their final decision.

Writing a cover letter: A step-by-step guide

Although cover letters are fairly short, they can be quite daunting. That's why it's important to approach your cover letter by sections:

Step 1: Address your cover letter

Your cover letter and resume are a package, so you'll want them to match. Start your proper cover letter with your name (formatted like it is at the top of your resume) along with your contact information.

When you search for generic cover letter templates online, you might find ones where you'll fill in a company's contact information. That was relevant when cover letters were sent via snail mail, but these days, you can just leave it off. A hiring manager doesn't need to see the address of their office building.

Below your contact information, add the date you're applying and address your cover letter to its intended recipient. If the job description doesn't include the name of a hiring manager or team leader, here's how to find this information:

If the job listing has an email address, use it to search for a name on Google or through an online company directory.

If the job listing is on LinkedIn, see if you can track down the original poster.

If the job description mentions who the job reports to, search for that individual or position title in a company directory.

If you still can't find a name to address your cover letter to, avoid phrases like “To whom it may concern,” “Hey,” or “Dear Sir/Madam” — these are hated cover letter cliches . Instead, address it to the department that's hiring (e.g. Dear Editorial Team) or the team manager (e.g. Dear Customer Service Manager).

Step 2: Introduce yourself

You'll want to kick off your great cover letter by introducing yourself. This is the perfect opportunity to explain why you're interested in the role and the company and what you can bring to the team. 

This is also your chance to demonstrate you've done your homework, showing you know something about the company or industry. Additionally, if you found the job through a colleague already at the company or through a mutual connection, this is a great place to drop their name.

If you're confident in your writing skills and are feeling creative, you can swap out the standard introductory paragraph with an anecdote that relates to your work. This should grab the reader's attention and also illustrate the most important — and relevant — skills you possess for the job at hand.

Step 3: Highlight your qualifications

After you've introduced yourself, use the second paragraph of your professional cover letter to highlight your relevant skills and qualifications . Instead of simply listing these (you already did that on your resume), use this as an opportunity to illustrate how you are qualified to do this job. Spell out how your professional experience, education , and abilities meet the position's core requirements.

This is arguably the most important section, as it clearly explains to the reader why your application is worth a read. 

Certified professional career coach and TopResume's resident career expert Amanda Augustine suggests identifying three or four core must-have requirements from the job description , listing each in its own bullet within the cover letter and explaining how you meet these requirements.

Don't forget to tie each requirement back to the job itself; you'll want the hiring manager to understand exactly what you can bring to the company.

Step 4: Close with a call-to-action

You're almost done! Now, it's time to wrap up your cover with a specific call to action. 

Rather than merely asking for the hiring manager or recruiter to review your resume, let them know when you will follow up with them about your application. This keeps the ball in your court and gives you a legitimate reason to follow up.

Your closer is also the perfect spot to show your enthusiasm and excitement. Don't go overboard, but don't be afraid to let them know you're excited about this opportunity.

Step 5: Sign off

Once you've thanked a hiring manager for their time and consideration, it's time to sign off.  Think about how the closing salutations you use for your professional emails. Keep it simple with “best regards,” “sincerely,” or “thank you.”

A note on cover letter keywords

As you write your unique cover letter, keep keywords in mind. Just like you added keywords to your resume , you'll want to do the same for your cover letter.

Remember, these aren't just catchy buzzwords. Keywords are the words you see repeated in the job listing. Including these keywords in your cover letter will help ensure it gets seen and prove to the hiring manager you understand the job listing.

Your cover letter is a great place to dive into specific examples of creative problem-solving. Describe situations where you faced a challenge and how a creative thought helped overcome them. If you found a unique way to market a product or solve a logistical issue, for example, these stories highlight your ability to think creatively.

It’s also important to personalize your cover letter to the job you're applying for by linking your creative thinking skills to the company's needs and goals. Explain how your ability to think creatively aligns with the job requirements and can help the company achieve its goals.

During interviews

In interviews , be ready to give concrete examples of your creative thinking in action. Discuss past experiences where your innovative ideas led to successful outcomes. I am often asked whether you still need to write a cover letter to accompany your CV.  It sounds like something from the last millennium. Do people even read them? 

Hard-copy CV cover letters are indeed outdated, but could they still be relevant in their new digital form as cover emails?  Today’s reality is that CV cover letters may not always be read by the person who matters, and online applications often don’t allow you to include a cover letter anyway. So, should you even bother crafting one?

The Recruiter’s Take on CV Cover Letters

As part of my research for this article, I asked several recruiters about the pros and cons of CV cover letters. I was surprised to hear that none of them advised their clients to request them from candidates. Caroline Whiley of recruitment technology company Hireful prefers not to make candidates go through too many hoops to apply for a job. She believes that the days when companies had the upper hand in the job markets are long gone. These days, she says, candidates will readily walk away from a process that is too long-winded. 

But even in markets where competition for roles is high, some recruiters advise against using cover letters. A recruiter in the legal market told me he couldn’t remember the last time he worked with a law firm that required a cover letter. His take is that everything that needs saying should be included in a CV, as employers don’t have the time to read cover letters.

Yet Caroline Whiley also confirmed that some employers still ask for CV cover letters, particularly organisations in the public or non-profit sectors. Where this Is the case, it becomes irrelevant whether you agree that CV cover letters are helpful. You will need to submit one.

My Own Take on CV Cover Letters

As a career coach , I have another angle to this conversation. If you really want a job, why would you not leverage every tool available to make your application stand out, even if there is a chance that your cover letter may not be read? This is particularly relevant to my clients who want to change careers and apply for a job that does not match their current experience. In this situation, your application needs a bit more explanation around why you want the job and why you would be a great candidate, even though your CV is not spot on for the job you are applying for.  A cover letter is a great way to share this information.

Last but not least, it would look odd to attach your CV to a blank email. So, you will need to say something in the cover email, and you can just as well make it meaningful.

What is the Purpose of a CV Cover Letter?

A CV cover letter is your first chance to make a strong impression. Think of it as your personal pitch. While your CV lists your experiences and skills, your cover letter is where you aim to talk directly to the hiring manager and grab their attention. Show them the person behind the CV, highlighting your genuine interest and enthusiasm for the role you are applying for.

First impressions matter immensely. Recruiters often have stacks of applications to go through, and a compelling cover letter can make the difference between your CV getting a closer look or being tossed aside. It’s your opportunity to highlight how your background, skills, and interests align with the job and the company culture. This personalised introduction sets the stage for your CV and can spark the recruiter’s interest to learn more about you.

Moreover, a cover letter allows you to explain your interest in the position and the company in a way that your CV cannot. It shows that you’ve done your homework, understand what the company stands for, and believe you can contribute to its goals. This proactive approach can significantly boost your chances of landing an interview.

Understanding the Difference Between a Cover Letter and a Personal Statement

It’s easy to confuse the personal statement on your CV with what should go into a cover letter. They’re not the same. Your CV’s personal statement, sometimes called a personal profile or executive summary, is a brief section at the top of your CV or LinkedIn profile that summarises who you are professionally. It’s a snapshot of your professional identity and capabilities.

On the other hand, a cover letter is a separate document that goes into more detail about why you are interested in the position and how your experiences and skills make you a good fit. This is your chance to tell a story that your CV can’t convey on its own, providing context to your achievements and career choices. Importantly, avoid repeating what’s already in your personal statement. Instead, use the cover letter to expand on points briefly mentioned in your CV and share new insights about your qualifications.

What to Include in Your Cover Letter

Crafting an effective cover letter means more than just summarising your CV. It should include a personalised greeting, an engaging opening paragraph, a clear outline of why you’re the right fit for the job, and a strong closing statement. Here’s how to do it:

  • Tailor Your Letter : Generic cover letters are easy to spot. Tailor your cover letter to each job application by mentioning specific aspects of the company and how your skills can help achieve their goals.
  • Tone and Format : Keep your tone professional yet approachable. The format should be clean and easy to read, typically not exceeding one page.
  • Essential Elements : Always include a thank you to the recipient for considering your application. Express your enthusiasm for the role and the company, and end with a call to action, like expressing your eagerness to discuss your application in an interview.

Starting Strong: The Opening Lines

The opening lines of your cover letter can determine whether the hiring manager reads on or not. Start with a strong, engaging introduction that piques interest. Personalise the greeting by using the hiring manager’s name, if possible, and avoid overused openings like “I am writing to apply for…” Instead, open with something dynamic and specific to the role or company, such as “I was excited to see your opening for [position] because…”

Showcasing Your Fit for the Role

Link your professional experiences and achievements directly to what the job posting asks for. Use specific examples to demonstrate how you’ve used the required skills in past roles. Show enthusiasm for the position and explain why working at the company appeals to you personally and professionally.

Concluding Your Cover Letter on a High Note

End your cover letter by reiterating your interest in the role and stating that you’d welcome the chance to discuss how your experiences align with the company’s needs. Politely prompt the hiring manager to action, suggesting a follow-up call or meeting.

Keep it Short

All of this may sound like a lot to cover, but you will still need to keep it short, ideally not more than one page.  This means using just one or two sentences to cover each point.

Proofreading and Sending Your Cover Letter

Before sending your cover letter, double-check for any spelling or grammar mistakes—these can be a major turnoff for recruiters. Send your cover letter in a professional format, either as a PDF attachment or directly in the email body, depending on the company’s submission guidelines. Follow up a week after sending your application to keep the line of communication open.

Wrapping it All Up

Investing time in crafting a thoughtful, well-written cover letter can significantly enhance your job application. Remember, a cover letter is your chance to make a personal connection with the hiring manager and stand out from other candidates. A cover letter is a more personalised introduction, a one-page document that accompanies your resumé when you submit a job application. It’s an opportunity to introduce yourself and elaborate on how your background makes you the ideal applicant for the role.

The cover letter’s purpose

How to write a cover letter.

What is the purpose of a cover letter? A cover letter provides an explanation of your professional history, qualifications and interest in the position. It should be closely tailored to the role you’re applying for and addressed to the hiring manager . It’s a formal introduction of who you are and how you meet the job criteria.

Express your enthusiasm

Use your cover letter as an opportunity to set yourself apart from the other job seekers applying for the same position. Rather than just stating that you’re applying for a role, take your time to explain what excites you about the specific position and company.

It can be a good idea to spend a bit of time researching the organisation’s mission, values and recent projects to demonstrate genuine interest and knowledge. This can also come in handy for the interview round of the application process.

Showcase your skills and experience

Your cover letter shouldn’t just repeat your resumé. Instead, select two to three skills or experiences directly related to the job description. From here, you can use the STAR method (situation, task, action, result) to provide examples demonstrating how you’ve applied these skills and achieved results. Consider quantifying your achievements, if relevant, for example: ‘Increased sales over three months by 20%.’ This helps to illustrate the specific value you can bring to the new role.

Tell your story

Use your cover letter to briefly explain your career path and motivations, connecting them to the position you're applying for. Highlight the relevant soft skills that you might not have captured in your resumé, like leadership, teamwork, problem solving and decision-making. While a cover letter is a great opportunity to provide a little more depth and context around your resumé, it’s important to keep it concise; around three short paragraphs.

Address requirements from the job description

Whether you’re writing your resumé or your cover letter, it’s important to pay close attention to the job description. If it mentions specific details to include, like salary expectations or relevant certifications, be sure to address them in your cover letter. Following instructions demonstrates your attention to detail and ability to follow directions, which are both important qualities for any employer.

When it comes to writing a cover letter , it always helps to have a plan. Here are a few steps to help you turn a blank page into an attention-grabbing cover letter for your next job application.

1. Do your research

Researching the company can take a bit of time, especially if you’re applying at several different places, but it’s essential to understand each company’s culture and values. Using company-specific information allows you to personalise your cover letter to suit not just the role, but the organisation too.

It’s even better if you can show an understanding of the problems the company is trying to solve (their main objectives, like expanding into a new market or getting highly skilled labourers). Highlight the experience you bring to the table to help them overcome these pain points.

2. Focus on the future

Use your cover letter to demonstrate how you can contribute to the company’s future successes. It can help to line up your career aspirations and professional goals with the company’s goals. Ultimately, you want to highlight what you can add to the company.

How to stand out from other applicants

Use your cover letter as an opportunity to set yourself apart from the other applicants. Avoid generic openings and start with a compelling introduction that grabs the reader’s attention. You could mention a specific achievement, a mutual connection or something unique about the company that excites you.

Here are a couple of examples of eye-catching email subject lines and letter introductions:

Subject line: Bringing [specific skill] to your [position] team

Dear [hiring manager’s name],

I am thrilled to apply for the maintenance plumber position at XYZ Corp. With 10 years of experience as a commercial plumber, I am excited about the opportunity to bring my skills and knowledge to your team.

Subject line: Excited to apply for [position] at [company]

As a lifelong admirer of XYZ Corp’s commitment to sustainability, I am excited to apply for the environmental consultant position. I believe my recent project at Green Earth, where I led a team to reduce product carbon emissions by 15%, makes me a perfect addition to your team.

These are good examples of email introductions, because they:

  • Connect your abilities to the job ad criteria
  • Quantify related achievements
  • Show specific skills
  • Display professionalism and research skills

Things to avoid

There are also some things you may want to avoid when putting together your cover letter introduction. Here are some examples of what not to write when it comes to your email subject line and introduction.

Example 1: Being vague and generic

Subject line: Excited to apply for the banking consultant position

I am writing to apply for the consultant position as advertised online. I have more than five years’ experience across all areas of commercial banking and believe I could be an excellent addition to your team.

This is an okay introduction, but there are ways it can be improved:

  • It should be addressed to a person or the hiring manager
  • It can be more specific about past experience
  • It should mention the hiring company
  • It could include a quantifiable result

Example 2: Being too casual

Subject line: Please Hire Me As You New Night Manager!

Dear Hiring Manager,

I’m an experienced night manager, with nearly two years of experience in luxury five-star hospitality. I’m an international student with a current work visa for working in Australia, and would be grateful if you could consider my application. I am sure I can do well in your company!

There are a few issues with this intro:

  • There is a typo in the subject line
  • It is too generic about past experience
  • It is too casual, especially for a manager-level role
  • It doesn’t mention the hiring company
  • It should be more concise, i.e. not repetitive or wordy

Emphasise your value proposition

Use your cover letter to identify and articulate your unique strengths . Be sure to connect your skills with the company’s needs to demonstrate the value you could bring to the team.

Convey enthusiasm, but ensure tone is professional

While it’s important to convey your enthusiasm for the position and company, balancing excitement with professionalism is important. For example, replace “I can’t wait to work with you guys” with “I’m eager to bring my skills to your team.” While the first example is too casual, the second example demonstrates your enthusiasm in a professional tone.

Here’s another example of an overly enthusiastic and informal tone, “I’m super excited about this job! I’ve always dreamed of working at XYZ Corp, and I know I’d be amazing in this role!”

Instead, you’d be better off saying, “I am excited to apply for the receptionist position at XYZ Corp. With my strong background in office administration and a passion for customer service excellence, I am eager to contribute to your team.”

Keep it short

Don’t go overboard with your cover letter. Even though your cover letter is meant to provide hiring managers with more information about you and what excites you about the role, it’s important to keep it concise and limit it to a single page.
