Everyone knows how to talk, but only a few know how to  speak . 

The words, however clichéd they might sound, are true. 

As is the fact that, even if you know how to  speak , no one’s really going to recognize it unless you manage to spark enough interest to make them actually  listen to  your speech. 

Listen to. Not  hear . 

Just like the words ‘talking’ and ‘speaking’, there’s a subtle but important difference between  listening to  something and merely  hearing  it. 

Delivering a speech that’s both powerful and persuasive is a tricky job. Add  interesting  to the mix and to most people (especially if you’re an introvert by nature) the task begins to sound downright torturous. 

But, worry not! 

The secret to both, delivering an interesting speech and cooking a lip-smacking dish is the same: it’s not a single ingredient, rather an amalgamation of them that makes it magnificent.

An interesting speech needs not only to pique your readers’ interest but also to sustain it. There are a variety of factors that go into its making, ranging from the length and phrasing of your speech to your skill with storytelling techniques and using props.

Still confused? Stick till the end of this article and I guarantee you’ll be out of your quandary. 

What Makes A Speech Boring?

Before we delve into how to deliver a speech that’s going to leave your audience speechless, let’s skim over the other side of the equation: what makes a speech boring?

Continuing with the lip-smacking dish metaphor, a boring speech isn’t the consequence of a single but multiple elements that go into the making of it. A few of them are:

You’ve messed up the beginning

The beginning of the speech is one of its most important components. It’s also where most people tend to mess up.

While introducing yourself is important, you don’t want to spend a quarter of your allotted time providing information about yourself or telling your life story. Try to get to the point as quickly as possible.

Many inexperienced speakers tend to start off their speech by thanking someone. While showcasing your gratitude as a speaker is important, save your thanks for the end of your speech instead of its beginning.

It’s Too Complex

Another factor that makes a speech boring is making it too long or too complex or worse: both. Try to keep your speech to the time limit or slightly under it. Whatever you do, don’t exceed the time limit.

You haven’t structured it properly

Another common ingredient in boring speeches is the structure. Or rather, a lack of structure. A lot of speakers tend to throw points around without tying them together.

Or they might end the speech abruptly, perhaps after realizing that they’ve run out of time, pilfering the audience of a satisfactory conclusion. Just like beginnings, endings matter too, and this is another area where most speakers tend to make mistakes–or downright ignore it.

There’s nothing unique about it

If there’s nothing in your speech that stands out or makes it unique, then the odds are in the favor of your viewers forgetting about the speech the moment you finish delivering it. You can practice your speech a hundred times, but if there’s nothing distinctive about it, then your efforts are for nothing as nobody’s going to be actually hearing it.

So, next time you’re practicing your speech in front of the mirror, ask yourself: what’s different about my speech than the hundreds of other speeches that are delivered everyday?

No Storytelling

Churning out information without giving it some form of a narrative structure is another factor that guarantees for a boring speech. If you’re simply mentioning facts and figures, you’re going to lose your reader’s interest before it’s even piqued. If you wish to captivate your audience’s attention, then one of the best ways to do it is delivering your speech like you’re telling a story.

After all, who doesn’t like a good story?

Steps To Make Your Speech Interesting

If you’ve ever daydreamed through a drab speech delivered by insert-the-name-of-a-random-authoritative-figure in your school days, you know exactly how long a thirty (or if it’s your lucky day,  sixty)  minute talk can be. 

I’ve been there. You’ve been there. We’ve all been there. 

And I’m certain that none of us want to be there again. 

Especially  not if  we’re  the ones delivering the speech. 

To make sure you land on the sweet spot named ‘the-most-interesting-speech-I’ve-ever-heard’ and keep you from stumbling into the deep, deep pit of ‘a lecture’, I’ve listed out some points for you below. 

1. Keep It Short & Sweet

Studies have shown that the optimal attention span for an audience (that is, the attention span that can be retained by an interested human listening to a speaker) is about twenty minutes. 

This doesn’t mean that people will be unerringly focused on your speech for twenty minutes and then promptly lose interest the moment the time is up. What it means is that you need to structure your speech in such a way that you can optimize your audience’s attention span.

Look, I know that most speeches are going to last longer than twenty minutes. However, you don’t have to necessarily speak for twenty minutes non-stop. To get around the 20 minute barrier, you can break your talk into different components, with each constituent lasting for around twenty minutes. 

Make a smooth transition between the different components by giving your audience enough time to relax and then begin to refocus their attention on what you’re saying. 

This way, not only will you be able to hold their interest for longer, but you will also increase the chances of them remembering important bits of your speech long after you’ve finished speaking. 

2. Choose your words wisely 

“ Injustice anywhere is a threat to justice everywhere.” 

These words by Martin Luther King Jr. are a great example of how a sentence doesn’t necessarily have to be long and employ eloquent language to be powerful. 

On the contrary, concise sentences where no word is redundant but rather every character is handpicked so that it adds to the overall meaning have a far greater impact as well as reach.

I’m not asking you to cut down on important points or to use banal words in order to fit the above description. 

Rather, I’m asking you to ask yourself while you’re writing the speech: is there anything that I’ve said in fifty words that could be better said in ten or five words?

Go through your speech multiple times to make sure that no word or sentence is redundant. If you find a paragraph or sentence that you feel doesn’t really add anything impactful to your speech, cut it out. It may actually be taking something away from your speech, and after deleting the extra part, you might find that your speech sounds better. 

You can also take the use of Thesaurus or other online dictionaries to discover new words or phrases that might help you express your ideas more concisely. 

3. Grab Their Attention In The Beginning 

I’ve got a question for you: how do you decide whether you want to buy a particular book? 

Most people (many more than who care to admit it, anyway) either choose the much-denounced path of judging-a-book-by-it’s-cover or they read the synopsis at the back of the cover or skim through the first couple of pages to glean an idea of whether it’s worthwhile to spend their precious time or money on a particular title. 

Because authors/agents are smart, they know that if they can’t hook you in the beginning, you’re going to drift away. This is why the first line in a book is always an attention-grabber. 

The same rule can be transcribed to a public speech: grab their attention in the beginning or stand to lose it before you even reach the end of the beginning. 

Make the opening lines of your speech one of the most—if not the most—intriguing parts of it. There are many ways to do this. 

You could start with an anecdote, for one. Or you could ask your audience a question. You could even go with a joke or a fun-fact. 

What matters is the shock-value. You want to give the audience a taste of what the rest of your speech is going to be like. You want them to feel like the time and/or money that they’ve invested is going to be worthwhile.

4. Make Them Laugh 

A day without laughter is a day wasted. 

While I certainly agree with Charlie Chaplin’s famous words, I have altered them into my personal motto: a speech without laughter is an opportunity wasted. 

Now, I’m not saying that you want your audience to be rolling on their stomach throughout your speech (unless you’re doing a stand-up comedy). I understand that might be counter-productive. I also understand that sometimes cracking a joke during a speech might not even be encouraged or even appropriate. 

However, if there is nothing to stop you from adding a dose of humor to your speech but uncertainty about your own comic timing, then my friend, you have wasted a glorious opportunity. 

Some of the best speeches in the world, which have been viewed by millions of people all around the globe besides standing the test of time, have humor in them. A majority of the most successful public speakers in the world have natural charisma, charm, and a good sense of humor. 

Take Barack Obama, for instance. Many of his speeches are punctuated with comic jabs and funny anecdotes, and that is a key factor that makes his speeches so interesting to hear, besides making him more relatable—more human, like them—to the audience. 

5. Tell Them Stories  

Who doesn’t love a good story? 

Stories not only help make your speech more interesting, but they might also strike a personal chord with your audience, thus making you more relatable and increasing the chances of cementing your speech in their minds. 

Anecdotes, when used as examples, can also make it easier for your audience to understand a complex message or point. 

Besides, you can use stories as a transition when you’re moving from one important or critical component of your speech to another. This will give your audience a break from the more serious bits of your speech and allow them to return to the next part in a fresher state of mind. 

Stories make you more human in your audience’s mind. Especially if they resonate with the audience’s own experiences, they might make the onlookers think of you as one of  them. 

However, make sure that your transition into storytelling territory is smooth. Don’t randomly add a story to any part of your speech. This will not only make your speech sound awkward but might also throw off your audience and confuse them. 

A good place to add an anecdote is at the beginning of your speech or the end of it (the middle also works, but as I mentioned before, provided that your transition is smooth). If you add a story to the beginning of your speech, it can act as an attention-grabber

If you add it in the end, try to choose something that will resonate with your audience and make your speech linger in their minds long after you’ve finished speaking. 

6. Express Yourself Expressively 

If there’s one thing that’s worse than a sixty-minute uninterrupted speech, it’s a sixty-minute uninterrupted speech with a speaker that is as expressive as a rock. 

Speaking  isn’t the only component of a good speech. 

How  you speak is just as important as  what  you speak. 

Facial gestures, hand movements, body language, the pitch and timbre of your voice…all these are as crucial to the delivering of an interesting speech as the speech itself. 

No matter how intriguing the contents of your speech, if you deliver them monotonously and in an unanimated way, then you can kiss capturing your audience’s attention goodbye. 

To understand, try remembering a speech that really moved you. Now recall the most boring speech you’ve ever heard in your entire life. 

Ask yourself: what makes these two speeches so different? 

Chances are, one of the key points that made the first speech especially interesting and memorable and the second speech especially uninteresting and drab was the manner in which the speaker delivered the talk. 

7. Use Concrete Evidence & Simple Language

An important thing to keep in mind is using concrete evidence. This includes things like numbers, statistics, real-life incidents, facts, photographs, etc. If you don’t ground your story in real life, then it might be too abstract for your audience to connect with. 

While using grandiose language might make you sound impressive, using complex grammar or words plucked from some random page off of a thick dictionary is going to make it difficult—if not impossible—for the general public to connect with you. If they cannot understand what you’re saying, how will they remember it?

Thus, it is always wise to be cognizant of your audience’s intellectual capacity or their familiarity with the particular language you’re going to be delivering your speech in. If your audience is not native to the language, try to keep your word-choice as humble as possible. And even if they are, it’s best not to flaunt your verbosity.

8. Know & Understand Your Audience

What’s your audience going to consist of? Is it going to be mainly comprised of college-going adults or school-going kids? Do a majority of them belong to a minority community or do they share some common privileges?

By doing prior research on your audience, you can structure your speech in such a way as to incorporate things that they are familiar with and will be able to relate to. This will help them formulate a connection with you, the speaker, and thus increase chances of them remembering you in the future.

9. Interact With The Audience

The more involved your audience is in your speech, the greater the chances that they will remember it. People like being made to feel like their opinions—and they—matter. Try to ask questions to your audience, and also to encourage them to ask questions to you. You can do this by adding a question-answer round at the end of your speech.

Tell funny stories and ask them to share their own experiences with you. As mentioned before, cracking jokes is another good way of connecting with your audience. 

10. The Ending Matters Too

The ending of your speech is just as important as the beginning. While the beginning helps set the tone for your speech and give the audience an idea of what to expect from their speaker, the ending is the big takeaway after you’ve finished speaking.

The note that you end your speech at is going to determine whether your audience thinks and discusses about your speech long after you’ve finished speaking or if they mumble a few words and forget about it a couple of moments after it finishes.

Like disappointing book or movie endings, a substandard end to a speech can leave a bitter taste in your mouth—to make matters worse, a bad ending might also ruin everything that came before it. On the contrary, a good ending can have the exact opposite effect and make your story resonate in your audience’s mind long, long after you’ve finished speaking.

7 secret ingredients to spice up your speech

The making of a memorable speech

“Memory is a strange thing. It doesn’t work as I thought it did.”

These lines, enunciated by the amazing Louise Banks in the movie Arrival, perfectly capture the elusive nature of human memory. We remember things we’re supposed to forget. We forget things we’re supposed to remember (like where you kept those goddamned car keys). The human brain works in mysterious ways, period.

Since we’re not yet smart enough to out-smart our own brain (if that makes any sense), how do we side-step the obstacle of the ever-changing nature of memory and cement your awesome speech in your audience’s mind for years to come?

Well, for starters, the above-listed points are a good means to not only make your speech interesting but also interesting enough to be memorable. But there are a few additional things that you can do to increase the chances of immortalizing (or getting as close to it as possible, anyway) your speech in your audience’s mind.

A few other things you can do to make your speech memorable are:

1. Using Props

The apt use of a well-suited propped can add that extra kick that can catapult your presentation from good to awesome. For example, if you’re giving a speech on environmental degradation, you can take the model of a forest with you to physically demonstrate the effects of the degradation of forests.

However, while using props, you need to keep a few things in mind. Make sure that the prop that you use is relevant to the message. Also, don’t use too many of them. Another thing to keep in mind is that your prop is appropriate for and clearly visible to your audience.

2. Playing a game

Adding a short game round in the middle of your speech is another great way of making yourself stand out, besides giving the audience a chance to promote themselves from mere spectators to active members of the event.

However, just like while using props, make sure that the game you choose is appropriate and relevant to the topic. Another thing to keep in mind is to not make the game too long or complicated. Remember that you want whatever game you chose to add to your speech and not distract your audience from it.

3. How about a video?

While you can certainly include an interesting video or clip that you found on YouTube or from the internet, one way to make your speech stand out is to record something beforehand and include it in during your speech.

The video can comprise anything, from a factual documentary to a short movie to a speech that you’ve given in the past to a personal attempt at stand-up comedy! Not only will it give your audience a break from listening, but it will also allow you a chance to breathe and grab a quick sip of water or just a moment to yourself before you dive into the next part of your speech.

4. Using Different Storytelling Approaches

As mentioned before, telling stories are a great way of engaging your audience. You can also take this advice a step further by specifically incorporating various storytelling techniques in your presentation.

For example, the Rags to Riches Approach is focused on portraying a certain character (generally the protagonist) rise from poverty to achieving, not without a good deal of struggle, wealth, and status.

By inculcating this technique in your speech or presentation, you increase the chances of connecting with your audience, as life struggles are something that most people can resonate with. 5. Adding Impromptu Activities

An impromptu game is exactly what it sounds like: it’s a spontaneously chosen game that hasn’t been predetermined by you, the speaker. Instead, any time during course of your speech, ask your audience members to pitch in with any game suggestions that come to their mind.

If there are many suggestions, then go with the one that gets the most number of votes. Let the audience be the decision makers for once!  

6. Use Audience Polls

This is another great way to increase increase the audience’s involvement even further! Not only this, but an audience poll can also help you glean an insight into your audience’s mind! You can use the poll to ask a variety of questions. For eg. if you’re delivering a speech about facing racism at workplace, you could ask the audience if any one of them has faced racism in their own workplace before. 

7. Get People To Join You On The Stage

You can do this in two ways. First, you could invite other experts of or people related to your topic.

For instance, if you’re launching a beauty product, you could invite on the stage people who’ve used your product in the past and can vouch for it. Another way to do this is to invite members of the audience to join you on stage!

This will take your audience’s involvement to another level, as you are inviting them to be a part of the space that’s been traditionally reserved for speakers. You could ask them for their feedback, or ask if they’ve got any questions for you, or even if they want to pitch in with a short speech on the topic themselves!

I’ve linked below videos to some of the most popular speeches in world history. As you watch them, focus on how the speaker is delivering the speech. Note their body language and facial expressions, their hand-gestures, and intonations. Study the videos and try to inculcate what you learn from them into your own speech. 

1. T he Speech That Made Obama President :

Without a doubt, Barack Obama is one of the most gifted orators of our time. This is one of the best speeches that he delivered.

As you watch it, notice how he interacts with his audience, keeping them engaged throughout the speech and making them feel involved in it.

Use what you learned from your observation of the former president to understand how you can keep your audience involved in your speeches and make it a better experience for them overall.

2. Martin Luther King Jr.: I Have A Dream :

This remains one of the most-watched and admired speeches throughout history. And for good reason! The speech employed flawless rhetoric. Not a word used in this speech was redundant. Although it lasted merely sixteen minutes, it got across more information in that time than speeches that last twice as long. Listen to the words used in the speech very carefully.

3. Michelle Obama Final First Lady Speech :

This is one of the best speeches that I’ve heard.

As you watch it, keep an eye on Michelle’s body language and facial expressions throughout the speech. For example, the way she uses hand gestures to emphasize a point, or how her expression changes when she’s talking about something serious versus when the topic is something lighter.

You can use this as a guideline to understand how to effectively employ body-language during your speech to increase it’s impact.

4. Inside The Mind Of A Master Procrastinator :

This is one of the most interactive Ted Talks I’ve come across.

Especially notice how the speaker makes use of comic caricatures and other attractive visual imagery on the screen behind him to make his presentation more engaging.

Also, notice how he keeps involving his audience in his speech, making frequent references to them and mentioning things that are easily relatable, to make it a more lively experience. You, too, can make use of visuals that your audience can easily relate to in order to make it easier for them to connect to what you’re saying.

To sum it up, an interesting speech is a result of a successful combination of factors. These include having a powerful opening as well as ending, the effective employment of language, humor and storytelling techniques, respecting the time limit as well as your audience, and adding sprinkle of uniqueness to make it truly memorable.

Whether in a work meeting or at an investor panel, you might give a speech at some point. And no matter how excited you are about the opportunity, the experience can be nerve-wracking .

What is good speech writing?

Good speech writing is the art of crafting words and ideas into a compelling, coherent, and memorable message that resonates with the audience. Here are some key elements of great speech writing:

  • It begins with clearly understanding the speech's purpose and the audience it seeks to engage. 
  • A well-written speech clearly conveys its central message, ensuring that the audience understands and retains the key points. 
  • It is structured thoughtfully, with a captivating opening, a well-organized body, and a conclusion that reinforces the main message.

8 Public Speaking Techniques to Wow Your Audience

What is the goal of professional speaking?

The goals of professional speaking are to entertain, inform, inspire, and get the audience to take action.

The truth is, in order for your presentation or speech to have its greatest effect you need to be able to entertain and wow your audience.

I’m going to give you 8 presentation skills I use in my speeches to keep my audience on the edge of their seats until the end of my talk.

1) Say Something Right Off The Bat That Connects to The Audience

Let me give you an example of how I open a talk, and you know I’ve given over 5,000 talks and seminars. I almost always open with the same words.

I say, “Congratulations for being here. This means that you are in the top 10% of adults in our society today.”

I say this in Russia, I say it in China, Finland, Canada, and I say it in Atlanta.

“You are among the top 10% of adults in our society today.  Why is that?  It’s because you’re here.  You see, only the top 10% of people in any society ever come to a seminar like this to learn how to be better in some way. The other 90% always have a reason for not being here.”

Then I’ll ask, “How many of you know people who could have been here but had an excuse for not coming?”

Everybody in the audience nods and visualizes and thinks of the person who’s not here, who is usually not a very successful person.

Then I tell them that,

“The fact they are here means that they are in the top 10%.  And by the way, how can you tell who a person really is?  How can you tell what they believe in, what their goals are, and what their hopes, dreams and values are? Can you tell by what they say? Is it what they hope or wish?  No.  It’s only what they do. The fact is that you are here. You’ve taken the actions to be here, and that means you’re in the top 10%.”

Then I’ll say,

“Many of you are thinking that if he knew how much money I’m making, he wouldn’t say I was in the top 10%.  Maybe not, but remember that it doesn’t matter where you’re coming from. All that really matters is where you’re going.  And where you are going is determined by what you are doing at the moment. And the fact that you are here means that you intend to have a great future. Remember that future intention determines present action.”

That’s how I start off.

I’ll even say that I’m going to share some ideas with them, that are practiced by the top 10% of people in this field. I’ll tell them that these ideas can help them to move ahead faster than they ever imagined possible. Then do my best to avoid filler words like um and like, and with this in mind – I launch into my talk.

2) Connect with Emotion

Sometimes when I’m talking to my audiences I will say,  “Tell me, what percentage of people’s thinking is emotional, and what percentage is rational or logical?”

And people will guess for a while, and then they’ll finally say,  “Oh, well it’s 10% logical and 80% or 90% emotional.”

I tell them “No. People’s thinking is 100% emotional.”

What does this mean? This means that people think emotionally and justify logically. The subconscious mind, and our emotions actually function at several thousand times the speed of logic.

For example, you may meet a person and instantly like them. You may find later that there are a lot of reasons for you to instantly like that person. Your emotions acted like a switchblade, instantaneously, but your logic followed after and you figured out the reasons.

3) Tell The Audience How Good They Are

Throughout the talk, I will loop back and say.

“Because you’re in the top 10%, you know this…”

“People in the top 10% like yourself do this…”

“People who aspire to be in the top 10% set goals or manage their time this way.”

So I’m always linking back and telling them that they are in the top 10% and that’s how good they are. Now that’s one way to make it entertaining and enjoyable, because people will all smile and feel happy.

They’re thinking…

“Boy, this guy’s really smart. I didn’t even realize I was in the top 10% until he told me.”

4) Link Back to Your Opening During Your Speech

Starting with a strong opening line or a really good story that you can link and hook your whole talk back into, is very, very powerful.

And I’ve done this year after year.

5) Relate To The Audience’s Self-Interests

What motivates people to be really interested in your talk, aside from the subject, which many of them may have to be there for?

Many people have told me that they were forced to come to my seminar. They didn’t want to come, because they didn’t think they would learn anything.

So they weren’t there because I was such a wonderful person. They were there because they had to be.

The question you have to ask is, what are the motivations that you need to appeal to so that they will really listen?

Truthfully, I’ve found is that one of the great motivations is self-interest.

That’s why I ask how many people would like to double their income.

They all raise their hands spontaneously.

Then I say,

“Well, in the time we spend together I’m going to give you several ways that you can double your income. These are ways that have been tested and proven by people all over the world. They’ve done these things over and over, and I’ve used them myself to go from rags to non-rags. I’ll give you those same ideas. Would that be a good use of our time together today?”

And they all say,  “Yes! Yes!”

I have their total interest.

If you’re speaking on golf, for example, you ask if they would like to reduce their score by five strokes, every single game consistently.

“Well, I’m going to show you how to do that using psychological and physical techniques.”

6) Entertain Your Audience With Stories

The key to entertaining an audience is stories. Stories are the most important part of a good presentation.

Read this article I wrote if you need help with coming up with great ideas for a PowerPoint presentation .

You can tell very short stories, and they can be your stories or someone else’s stories.

If it’s your personal story, that’s even better.

But if it’s someone else’s story that is just fine.

Start by saying, “I heard a story just the other day.”

And then you tell the story.

Or, “Let me tell you a story,” or “This is something I heard recently that really moved me.”

Whenever you start to tell a story, the whole audience pays 100% attention.

When you’re giving facts and figures and details and strategies, methods and techniques, they will pay a certain amount of attention.

But when you tell a story they will listen intently.

And if you can design your talk around three stories, you’ll be amazed at the response.

Design Your Talk Around 3 Stories

When you think about your talk, remember that “Less is more.”

This should be the basic structure of your talk:

  • Your opening
  • Your 3 key points

You have a strong opening, first key point, and then a story.

Transition, second key point, and a story.

Transition, third key point, and a story.

Summarize, and then a close.

The stories link it all together. And you can tell stories that are inspiring, or emotional; that make people feel very strongly. You can tell stories that are motivational; that have to do with greater success and achievement as the result of persisting.

7) Appeal To Patriotism, Loyalty or Personal Gain

You can appeal to certain motivations to gain the attention of your audience.

For example:

“Our country is going through great difficulties today and I’m going to give you five things that we have to do to make America once again the land of the free, the home of the brave, and full of opportunity for you, and me, and for our kids.”

So, you have to ask yourself what are the motivations of the people in your audience.

8) Tell the Audience EXACTLY What They are Going to Gain

Great motivation is a desire for gain.

If you can convey to them that they’re going to gain things from your talk, like time, money, or greater success or prestige in any area, then they will be listening and they’ll want to know how they can do that.

A wonderful way you can open a talk, by the way, is you can say “There are three things you need to do if you want to double your income in the next 12 months.”

Then you pause.

The Power of the Pause

When you pause, do you know what happens?

People lean forward and say to themselves,  “I wonder what it is. They wonder what the three things are.”

Then you say,

“The three things are these. You have to be able to do this, and this, and this.”

And then the question they ask in their mind is,  “I wonder how to do that.”

Now it’s almost like fishing…

You just reel them in.

Using any of these tips can help you entertain an audience throughout your entire presentation, no matter how long it is without feeling any speech anxiety . What do you think?

What this handout is about

This handout will help you create an effective speech by establishing the purpose of your speech and making it easily understandable. It will also help you to analyze your audience and keep the audience interested.

What’s different about a speech?

Writing for public speaking isn’t so different from other types of writing. You want to engage your audience’s attention, convey your ideas in a logical manner and use reliable evidence to support your point. But the conditions for public speaking favor some writing qualities over others. When you write a speech, your audience is made up of listeners. They have only one chance to comprehend the information as you read it, so your speech must be well-organized and easily understood. In addition, the content of the speech and your delivery must fit the audience.

What’s your purpose?

People have gathered to hear you speak on a specific issue, and they expect to get something out of it immediately. And you, the speaker, hope to have an immediate effect on your audience. The purpose of your speech is to get the response you want. Most speeches invite audiences to react in one of three ways: feeling, thinking, or acting. For example, eulogies encourage emotional response from the audience; college lectures stimulate listeners to think about a topic from a different perspective; protest speeches in the Pit recommend actions the audience can take.

As you establish your purpose, ask yourself these questions:

  • What do you want the audience to learn or do?
  • If you are making an argument, why do you want them to agree with you?
  • If they already agree with you, why are you giving the speech?
  • How can your audience benefit from what you have to say?

Audience analysis

If your purpose is to get a certain response from your audience, you must consider who they are (or who you’re pretending they are). If you can identify ways to connect with your listeners, you can make your speech interesting and useful.

As you think of ways to appeal to your audience, ask yourself:

  • What do they have in common? Age? Interests? Ethnicity? Gender?
  • Do they know as much about your topic as you, or will you be introducing them to new ideas?
  • Why are these people listening to you? What are they looking for?
  • What level of detail will be effective for them?
  • What tone will be most effective in conveying your message?
  • What might offend or alienate them?

Creating an effective introduction

Get their attention, otherwise known as “the hook”.

Think about how you can relate to these listeners and get them to relate to you or your topic. Appealing to your audience on a personal level captures their attention and concern, increasing the chances of a successful speech. Speakers often begin with anecdotes to hook their audience’s attention. Other methods include presenting shocking statistics, asking direct questions of the audience, or enlisting audience participation.

Establish context and/or motive

Explain why your topic is important. Consider your purpose and how you came to speak to this audience. You may also want to connect the material to related or larger issues as well, especially those that may be important to your audience.

Get to the point

Tell your listeners your thesis right away and explain how you will support it. Don’t spend as much time developing your introductory paragraph and leading up to the thesis statement as you would in a research paper for a course. Moving from the intro into the body of the speech quickly will help keep your audience interested. You may be tempted to create suspense by keeping the audience guessing about your thesis until the end, then springing the implications of your discussion on them. But if you do so, they will most likely become bored or confused.

Making your speech easy to understand

Repeat crucial points and buzzwords.

Especially in longer speeches, it’s a good idea to keep reminding your audience of the main points you’ve made. For example, you could link an earlier main point or key term as you transition into or wrap up a new point. You could also address the relationship between earlier points and new points through discussion within a body paragraph. Using buzzwords or key terms throughout your paper is also a good idea. If your thesis says you’re going to expose unethical behavior of medical insurance companies, make sure the use of “ethics” recurs instead of switching to “immoral” or simply “wrong.” Repetition of key terms makes it easier for your audience to take in and connect information.

Incorporate previews and summaries into the speech

For example:

“I’m here today to talk to you about three issues that threaten our educational system: First, … Second, … Third,”

“I’ve talked to you today about such and such.”

These kinds of verbal cues permit the people in the audience to put together the pieces of your speech without thinking too hard, so they can spend more time paying attention to its content.

Use especially strong transitions

This will help your listeners see how new information relates to what they’ve heard so far. If you set up a counterargument in one paragraph so you can demolish it in the next, begin the demolition by saying something like,

“But this argument makes no sense when you consider that . . . .”

If you’re providing additional information to support your main point, you could say,

“Another fact that supports my main point is . . . .”

Helping your audience listen

Rely on shorter, simpler sentence structures.

Don’t get too complicated when you’re asking an audience to remember everything you say. Avoid using too many subordinate clauses, and place subjects and verbs close together.

Too complicated:

The product, which was invented in 1908 by Orville Z. McGillicuddy in Des Moines, Iowa, and which was on store shelves approximately one year later, still sells well.

Easier to understand:

Orville Z. McGillicuddy invented the product in 1908 and introduced it into stores shortly afterward. Almost a century later, the product still sells well.

Limit pronoun use

Listeners may have a hard time remembering or figuring out what “it,” “they,” or “this” refers to. Be specific by using a key noun instead of unclear pronouns.

Pronoun problem:

The U.S. government has failed to protect us from the scourge of so-called reality television, which exploits sex, violence, and petty conflict, and calls it human nature. This cannot continue.

Why the last sentence is unclear: “This” what? The government’s failure? Reality TV? Human nature?

More specific:

The U.S. government has failed to protect us from the scourge of so-called reality television, which exploits sex, violence, and petty conflict, and calls it human nature. This failure cannot continue.

Keeping audience interest

Incorporate the rhetorical strategies of ethos, pathos, and logos.

When arguing a point, using ethos, pathos, and logos can help convince your audience to believe you and make your argument stronger. Ethos refers to an appeal to your audience by establishing your authenticity and trustworthiness as a speaker. If you employ pathos, you appeal to your audience’s emotions. Using logos includes the support of hard facts, statistics, and logical argumentation. The most effective speeches usually present a combination these rhetorical strategies.

Use statistics and quotations sparingly

Include only the most striking factual material to support your perspective, things that would likely stick in the listeners’ minds long after you’ve finished speaking. Otherwise, you run the risk of overwhelming your listeners with too much information.

Watch your tone

Be careful not to talk over the heads of your audience. On the other hand, don’t be condescending either. And as for grabbing their attention, yelling, cursing, using inappropriate humor, or brandishing a potentially offensive prop (say, autopsy photos) will only make the audience tune you out.

Creating an effective conclusion

Restate your main points, but don’t repeat them.

“I asked earlier why we should care about the rain forest. Now I hope it’s clear that . . .” “Remember how Mrs. Smith couldn’t afford her prescriptions? Under our plan, . . .”

Call to action

Speeches often close with an appeal to the audience to take action based on their new knowledge or understanding. If you do this, be sure the action you recommend is specific and realistic. For example, although your audience may not be able to affect foreign policy directly, they can vote or work for candidates whose foreign policy views they support. Relating the purpose of your speech to their lives not only creates a connection with your audience, but also reiterates the importance of your topic to them in particular or “the bigger picture.”

Practicing for effective presentation

Once you’ve completed a draft, read your speech to a friend or in front of a mirror. When you’ve finished reading, ask the following questions:

  • Which pieces of information are clearest?
  • Where did I connect with the audience?
  • Where might listeners lose the thread of my argument or description?
  • Where might listeners become bored?
  • Where did I have trouble speaking clearly and/or emphatically?
  • Did I stay within my time limit?

How to structure your speech to make a mighty impression

It was Dale Carnegie (legendary author of the seminal guide ‘How to win friends and influence people’) that gave us this piece of public speaking wisdom about how to structure your speech:

‘Tell them what you’re going to tell them. Tell them. Then tell them what you told them”

Sounds great on paper, and middle managers the world over have followed this formula with decent enough results, so that it has become as ubiquitous as using PowerPoint in every presentation (don’t get me started on PowerPoint!).

But with all due respect to the great Carnegie, a man, who probably forgot more about public speaking than I’ll ever know, his advice is just wrong… or at the very least, outdated.

Winston Churchill did not galvanise a nation during WWII by saying “I’m going tell you about how we must fight them on the beaches… Now I’m telling you that we must fight them on the beaches … And now I remind you that we must fight them on the beaches”

Martin Luther King did not inspire a people with “I’m going to tell you about my dream’… Now here’s my  dream ‘… and finally, let me remind you about the dream I had the other day”.

Even in this modern era of soundbites and short attention spans, it never pays to hit your audience over the head with the same point over and over again. Public speaking research shows  that people retain only 10% of what you say shortly after you have said it – no matter how often you repeat yourself.

As the late great Maya Angelou reminded us:

people will forget what you said, people will forget what you did, but people will never forget how you made them feel.

So, here is a much more effective structure for your next speech that will help you make a mighty impression on your audience. It works for keynote speeches, business presentations, elevator pitches , client meetings and more – and we’ll do it with the help of Olympic winning gymnast, Gabby Douglas (a personal hero of my budding gymnast daughter).

1) An Engaging Opening

How often have you heard a speaker begin with something like…

“Hello ladies & gentlemen, my name is John Smith, and I’m so happy to be here…” or the erstwhile favourite “I’m not really used to public speaking so please forgive me if I make some mistakes…”

The instinct to begin your speech with mild platitudes is often irresistible.

Still, you must resist because you really do not get another chance to make a first impression.

A speech opening, much like the start of a gymnast’s floor routine, must engage.

Don’t apologise or make excuses for yourself, however nervous you feel. You probably don’t even need to introduce yourself (people usually already know who you are if you’re up there speaking).

Just begin on the front foot.

Try a thought provoking question about your subject, a shocking statistic, a poignant quote, or an interesting anecdote.

Your aim is to capture their attention so they become receptive to your message, because before you can persuade, you must engage.

For example, Martin Luther King opened his speech with: “I am happy to join with you today in what will go down in history as the greatest demonstration for freedom in the history of our nation.”  With this simple yet grand pronouncement, the context for his dream was set.

2) A Good Introduction  

Once you have their attention, you want to lead your audience towards the main body of your speech.

Like the gymnast taking her run up before launching into the flips and rolls, your introduction is the set up before the substance. Here you can explore the issues, set the ground work, and frame the context for the rest of the speech.

In Churchill’s speech, he used his introduction to outline the perils and urgent dangers facing the nation at the time, before then detailing the resilience of the British soldiers.

3) Main Body

This is the heart of your speech, where you give the substance.

It is also the most dangerous part of your speech because this is where most speakers lose their audience with mind-numbing detail that serves little purpose other than to fill time.

Like our gymnast delivering her intricate turns and tumbles, this is the point at which you either score points or lose the game.

Keep in mind that the sole purpose of this main body is to support the overall message you want your audience to be left with and the conclusion that you are building up to.

For this main body, you must keep these three factors in mind.

1) Direction – be sure that you are actually heading somewhere with the points you make, and not just speaking for the sake of speaking.

2) Variety – don’t just say the same thing in the same way several times. Add some variation. Think laterally. Can you draw on different points and alternative factors to support your premise?

3) Momentum – keep things moving forward and your audience will stay with you for the whole journey. If it seems like you’re ambling around searching for a good point, they’ll be lost.

In his famous speech, this is actually the point at which Martin Luther King set out his dream. Read the transcript and you’ll notice how varied were the examples of that dream.

This applies even more with business presentations, which can quickly go stale without good momentum.

  4) Conclusion

And now for the grand finale.

This is the climax of your speech, where the overall message and theme of your speech should come sharply into focus.

This is where Churchill promised that ‘we shall fight on the beaches’, where Martin Luther King  declared ‘Let freedom ring’, and where Emmeline Pankhurst of the Suffragettes called for ‘Freedom or Death’.

Like the gymnast delivering her final and grandest set of somersaults, your conclusion will often be the highlight of your speech.

Be clear before you start your speech, on what one message you want your audience to remember, then deliver it here.

This is the very last thing you say to your audience.

Like your opening, it should be meaningful rather than bland.

Like the final affirmative pose of our gymnast, try to round off your speech in a way that feels satisfying to your audience.

If you can reflect your opening in some way (another quote, a different statistic, a concluding anecdote), this will give your speech balance, which will be psychologically appealing to your audience.

We saw how Martin Luther King started his speech (on the theme of freedom), so no surprise that he ended with that same theme: “Free at last, free at last, thank God, Almighty, we are free at last”.

This then is the modern day speech structure:

Opening – Engage

Introduction – Lead In

Main Body – Give Substance

Conclusion – Deliver Meaning

Close – Satisfy

These seven stellar presentation enhancers will help you make any speech more interesting. In this post, Doug Staneart breaks down his public speaking “Impact Ideas” that can be inserted into any speech to really make them come alive.

Below is a list of all seven items.

Bill Cosby (pre-conviction) once asked a friend of his why he did cocaine. The friend replied, “Because it intensifies your personality.” Cosby paused and said, “Yeah, but what if you’re an A-Hole?”

These impact ideas work exactly the same way. If you have a good presentation centered around just a few key points, adding a couple of enhancers for reinforcement will make the speech more interesting. However, if you already have 50 PowerPoint presentation slides and you add additional content, you’ll likely make the presentation worse. So, proceed with caution.

If you are just beginning to design your presentation, start with How to Design Presentations Quickly . As a review, the best way to design a good speech is to start with a great title. Great speech titles lead to great speeches because they explain to the audience the purpose of your speech. The next step in the writing process is to make a list of just the most important points. The body of your speech should contain fewer than five key points. Then, if you want to really capture the attention of your audience and design a memorable speech, use a good story to prove that each of your main points is true.

So before you start adding these public speaking tips into your speech, make sure you start with an engaging speech centered around a central idea, a few key points, and great examples. If you do, then these public speaking tips can help you make your speech more interesting!

7 Stellar Presentation Enhancers that Add Impact to Any Speech.

Below are seven effective ways to move a good speech into a better speech (or fantastic speech.) Since we have covered a number of presentation tips in other posts/podcasts, I wanted to use this episode to cover a powerful tool or two that some of the best speakers (even motivational speakers) use to make the audience feel like they are experiencing something unique. Each of these ideas can be a great way to use humor in your presentation, make a lasting impression, and influence different audiences in a positive way.

As I mentioned earlier, though, these ideas work well if inserted into a well-designed speech. So, there are three additional ways to make a presentation more interesting that aren’t covered here. The reason is that we have other post/podcast episodes about each of these three items. I suggest that you add each of them into your presentation before adding the seven ideas in this post. (The first three are essential to designing a good speech.)

So, if you haven’t seen these posts or heard those episodes, start with those ideas first. Also, remember that when you stand in front of an audience and give too much information, that is even worse than not giving enough information. Then add in these seven tips sparingly. A little impact goes a long way!

#1 – Funny Anecdotes Can Add Impact and Humor to Your Speech.

In other posts, we have covered stories and examples in great detail. (See How to Tell a Great Story in a Presentation .) A personal story or a real-life example from your own experience clarifies the content of your presentation. This technique is also a subtle way to build your credibility on the topic and capture the audience’s attention in a positive way. When you relay success stories from your own experience, your audience realizes that since you have that experience, you are an expert on the topic.

Anecdotes are a little different, though. Anecdotes can be funny incidents (true or fictitious) that help you make a point. Or they can also be 2nd person or 3rd person stories experienced by someone else.

Funny Stories Are Welcomed by Most Audiences.

I’m not a big fan of just telling random jokes in a speech. However, funny anecdotes that make a point are very useful. The great news, today, is that you can pretty much just type the words “funny story about _______” (insert a keyword from your bullet point) into Google, and you will find something. Once you find a funny anecdote, just make sure to tie it in with the point that you are making. (And give credit to the author.) For instance, I typed in “Funny Public Speaking Failures” and I found this gem…

While traveling to to Nagaoka, Japan, I was asked to speak after breakfast about marketing in the U.S. Seeing an opportunity to show off my linguist skills, I asked my interpreter how to pronounce the words on the distant signs for “Ladies” and “Gentlemen.” After practicing to myself, I began my speech with “Good morning, Ladies and Gentlemen” in Japanese. This got quite a reaction from the audience. I delivered a killer 20 minutes of marketing wisdom, and sat down to generous applause. I was quite pleased with myself. If somewhere in your speech, you can make the audience laugh, you have a big advantage. By the way, stories about humorous situations have another positive effect. Your natural facial expressions when you tell these stories create powerful nonverbal communication. So these funny stories take a little more practice to perfect. But they definitely make a speech more interesting.

2nd-Person Stories Allow You to Borrow Credibility from Other Experts.

Although our own personal stories help us build our credibility as an expert on the topic, another person’s story can be more practical in a lot of situations. For instance, if you are a sales representative, your personal experience using your product or service isn’t nearly as credible as a story from one of your customers.

This past week, I had a scientist in my class who studied melanoma. Although her stories of actually doing the research added a lot of credibility, she got more impact by telling stories of patients who had survived cancer based on these studies. Just be careful. When you re-tell a story from your own experience, it takes little practice. However, when you relay a story that you received from another person, you might want to practice your delivery a few additional times.

After a number of miscues, we started discussing a little strategy with the other speakers. We finally came up with the idea to go to the table ourselves and have one of us (they voted that I do it) say, “Just do what I do.” Then, I made a sandwich and explained what I were doing in each step. (We all got an A on the project. So did everyone else who went after us.)

I never forgot this lesson. It is a whole lot easier to show someone what to do than to just tell them what to do. This type of visual aid is critical when teaching someone how to use software or how to use a tool.

I agree. When you quote an expert, you are basically giving your audience a second-opinion. It’s also easy to insert quotes into your presentations. Just like with the funny story above, Google “Quotes about ________” (insert your topic).

Make sure that the quotes that you add are short and easy to remember, though. A lot of speakers will put long quotes on a PowerPoint slide and call that a supporting point. This will most likely fall flat in front of a group, though. No one wants to read a long quote. In addition, if you read it to them, it will sound strange. You will get better results inserting a couple of easy-to-remember quotes that you can tell your audience verbally. Throughout the day, we began to take the original presentations and add more ways to jazz each of them up a bit. So, at lunch, this marketing person went to a 7-11 and also to a competitor and bought a sandwich from each as a sample. The deli sandwich from her store was beautiful and fresh. The sandwich from the competitor was one of those where a sandwich was cut diagonally into two triangles and shoved into a triangle plastic box. She passed each around the room. Everyone agreed that the triangle sandwich was awful, and by contrast, she likely won a few audience members over to the fresh sandwich that her company made. A good sample can be very compelling.

Another example is when I’m teaching classes about how important it is to narrow down your content to three to five main points. I often name drop other professional speakers who also agree with this idea. For instance Slide Genius, Presentation Magazine, and big training companies like the Dale Carnegie Organization and the AMA all believe in some form of the “Rule of Three” in a presentation.

Notice that in each of the examples above, I’m not quoting any of the sources, I’m just saying that each of the sources agrees with the statement that I’m making. Of course, if any of the listeners in your speech want to verify the claim, it is easy to do with a Google search. That is what makes this so powerful. It allows the inner Sherlock Holmes in your audience members to come out and do their own investigation. When they do, they find that you were right on the money.

One of my clients was competing to win a contract for a five-year project. Their competitors designed slideshows about how great they were. This group wanted to do something different. They created just a single visual aid. It was a 20-foot board with a timeline of the entire project. They broke the project into time periods and told stories about how the project would proceed through each period. It worked very well.

On a different project, the team was trying to build a high-tech science center on the campus of the University of Texas. My client had worked with hundreds of universities on building projects, but, at that time, they had only done a single project where the guidelines for indoor temperature, humidity, etc. were so exact. They had a photo of this building that looked like something out of Epcot. It had an aluminum, glass, and mirror exterior. It was a beautiful building. But the UT campus is right in the middle of downtown Austin. The campus is very Gothic in nature. (Think stone pillars and gargoyles.)

One of the architects took a sketchbook and a pencil down to the campus. He just started sketching things that he liked about the current campus architecture. He did this just to bring back some ideas to the team. But the sketches were so good, that they became a part of the final presentation. The sketches stole the show. They were much more interesting than the static PowerPoint slides.

Never underestimate the entertainment value in any presentation.

Let me repeat that because it is so, so important…

Most speakers think that if they just give their audience the knowledge and content without sounding like an idiot, they have succeeded. However, think about Ferris Bueller’s teacher. “Anyone? Anyone?” If you aren’t interesting, your audience will often be distracted from your content. So, it is important to add some flair or showmanship to your speech to capture and hold the audience’s attention.

Obviously, if you add in a few of the other seven items, you will have a more interesting delivery. But the key is to think to yourself, “ How can I make this presentation content more interesting? ”

I had a class member who was a line supervisor for Amgen Pharmaceuticals. One of his main jobs was quality control of the cancer drugs that were being created on his line.

During his presentation, he asked us, “Have any of you ever seen a million dollars?” Of course, we all shook our heads no. He continued by sprinkling a few granules of sugar (from a packet from the coffee bar at the back of the room) onto the table in front of him.

He said, “If that much contaminant gets into our drug line, we lose a million dollars worth of product.” It was a really dramatic way to make his point, and we all remembered it.

Regardless of Which (or Any) of These Ideas that You Use, Do Something to Make Your Presentation More Interesting.

The ideas that I’ve covered in this list are nor exhaustive. In fact, some of these ideas may spark creativity in other areas where you can add more impact to your presentation. The most important thing to remember is that you don’t want to just do what everybody else is doing. Make your speeches a little different. Make them a little more interesting. If you do, your audience will love you.

Never underestimate the power of great communication. It can help you land the job of your dreams, attract investors to back your idea, or elevate your stature within your organization. But while there are plenty of good speakers in the world, you can set yourself apart out by being the person who can deliver something great over and over. Here are a few tips for business professionals who want to move from being good speakers to great ones: be concise (the fewer words, the better); never use bullet points (photos and images paired together are more memorable); don’t underestimate the power of your voice (raise and lower it for emphasis); give your audience something extra (unexpected moments will grab their attention); rehearse (the best speakers are the best because they practice — a lot).

Make Your Speech All about the Audience

What's the key to a winning speech? It's all about connection.

The key to delivering a successful speech is showing your audience members that you care about them. You don’t want listeners to view you as a salesperson pitching a product. You want them to see you as a leader who has their best interests at heart.

The good news is that you don’t need to be a mind reader to build a strong connection with the audience. Instead, you can focus on analyzing the audience, using inclusive pronouns, referencing the present, and highlighting the benefits.

Analyze the Audience

Before you can lead your audience, you must know your audience. You must figure out what your audience members care about and why they should listen to you. The best way to gather this information is to conduct an audience analysis.

To begin this process, consider asking the event organizer about the people who will be in attendance. What do they hope to learn? How can you help them achieve their goals? You also can search the Web for recent news stories or social media posts to learn more about the group’s interests and priorities. Once you understand what your listeners care about, you can tailor your message to their specific needs.

Every semester, I challenge my students to conduct an audience analysis to make their speeches resonate with their peers. One student described his classmates as a small global gathering that includes young and old, female and male, undergraduate and graduate students. “To say we are united by public speaking is too broad; the class includes both those who fear [public speaking] and those who relish it,” wrote the student. “We are united specifically by our belief that it is important.”

This analysis is effective because the student is able to connect his own beliefs with the audience’s beliefs. The student acknowledges the tremendous diversity of the audience, but doesn’t dwell on it. Instead, he focuses on what unites everyone in the room — the belief that public speaking is important.

Remember to conduct a thorough audience analysis — even when you’re pressed for time. The information you gather will help you determine how to get and keep your audience’s attention.

Use Inclusive Pronouns

One of the easiest ways to bond with your audience is to use inclusive pronouns like we , our , and us instead of you and your . As Shel Leanne points out in the book,  Say It Like Obama: The Power of Speaking with Purpose and Vision , these words help to “send the message that the speaker and those listening are on the same team, in the same boat, facing the same fate.”

I often use inclusive language when telling my students about upcoming speech assignments. When students express concern about delivering a speech, I say: “I know speaking in public can be nerve-racking, but we’re all in this together. We’ve prepared for this moment for the past few weeks, so I know we have what it takes to deliver amazing speeches.” Although I personally may not deliver a speech, I want my students to know that I am on their side. Using inclusive language helps me demonstrate that I care about my students and understand what they are facing.

There is a big difference between saying, “ You  must solve this problem” and “ We  must solve this problem.” The first statement makes the audience responsible for solving the problem; the second implies that the speaker will work  with  the audience to solve the problem. Don’t tell your listeners what they should do. Instead, use inclusive language to explain what you all can accomplish together.

Reference the Present

Another way to connect with your audience is to reference the present. Although listeners may think about the past and future during your speech, they will spend most of their “thinking time” trying to link your ideas to their current needs and challenges. Think about the issues your audience currently faces and find ways to address those issues during your speech.

Let’s say you are invited to give career advice to a group of college seniors preparing for end-of-semester exams. What could you say to make the students listen to you? Here is one possibility:

I know you’re looking forward to finishing your finals so you can hang out with your friends and enjoy the summer. I was a college student not too long ago. I know how it is. But I hope we can talk for just a few minutes about one simple question: “What’s next?” Today, I want to offer some suggestions to help you use what you’re studying to land a great job.

This introduction is compelling because it connects the topic of your speech to the students’ current, primary concern—studying for finals. Initially, the students may not want to think about their postcollege plans, but they will be more apt to listen once you demonstrate that you “know how it is” and you’re willing to help.

Highlight the Benefits

A final technique is to highlight the benefits of supporting a particular idea. According to Nick Morgan, author of  Before You Open Your Mouth: The Keys to Great Public Speaking , speakers must keep their audience members’ needs top of mind:

Audiences begin speeches asking “why” — why should I care, why is this important … If the speaker is successful—and it’s a million to one shot against — the audience will end up asking “how” — how do I implement this idea, how do I make this my own … That’s the speaker’s job: take the audience from “why” to “how.”

Let’s say you are speaking to a group of colleagues about volunteering at a local homeless shelter. Everyone knows that helping the homeless is important. Nevertheless, you are more likely to make your message resonate if you emphasize the specific benefits of volunteering. You could say:

I invite you to join me at our local shelter to prepare lunch for some of the homeless people in our community. This is a perfect opportunity for us to get to know one another and do something to make us feel good about ourselves. I’m pretty sure we’ll laugh a lot as we figure out how to run the kitchen!

In this example, the speaker highlights the benefits of participating, rather than emphasizing that volunteering at the shelter is the “right thing to do.” Who wouldn’t want to have a great time while serving the community?

Your listeners will pay attention if you make your speech all about them — so be sure to keep the audience at the forefront of your mind. If you maintain an audience-centered approach, your listeners will reward you with appreciation and applause.

The 8 Key Elements of Highly Effective Speech

…and why your words barely matter.

I’d like you to take a moment to experience the following sentence, taken from a recent article exploring the nature of human consciousness: “Neuroplastic mechanisms relevant to the growing number of empirical studies of the capacity of directed attention and mental effort systematically alter brain function.”

Exciting? Hardly! In fact, most of the words you read barely register in your brain, and most of the words you speak barely register in the listener’s brain. In fact, research shows that words are the least important part of communication when you have face-to-face conversations with others. So before you utter another word to another person, memorize this list of the 8 key elements of highly effective speech:

  • Gentle eye contact
  • Kind facial expression
  • Warm tone of voice
  • Expressive hand and body gestures
  • Relaxed disposition
  • Slow speech rate
  • The words themselves

Effective communication is based on trust, and if we don’t trust the speaker, we’re not going to listen to their words. Trust begins with eye contact because we need to see the person’s face to evaluate if they are being deceitful or not. In fact, when we are being watched, cooperation increases. [1] When we are not being watched, people tend to act more selfishly, with greater dishonesty. [2]

Gentle eye contact increases trustworthiness and encourages future cooperation, [3] and a happy gaze will increase emotional trust. [4] However, if we see the slightest bit of anger or fear on the speaker’s face, our trust will rapidly decrease. [5] But you can’t fake trustworthiness because the muscles around your mouth and eyes that reflect contentment and sincerity are involuntary. Solution: if you think about someone you love, or an event that brought you deep joy and satisfaction, a "Mona Lisa" smile will appear on your face and the muscles around your eyes will soften.

The tone of your voice is equally important when it comes to understanding what a person is really trying to say. If the facial expression expresses one emotion , but if the tone conveys a different one, neural dissonance takes place in the brain, causing the person confusion. [6] The result: trust erodes, suspicion increases, and cooperation decreases.

Researchers at the University of Amsterdam found that expressions of anger, contempt, disgust, fear, sadness, and surprise were better communicated through vocal tone than facial expression, whereas the face was more accurate for communicating expressions of joy, pride, and embarrassment . [7] And in business, a warm supportive voice is the sign of transformational leadership , generating more satisfaction, commitment, and cooperation between other members of the team. [8]

You can easily train your voice to convey more trust to others, and all you have to do is slow down and drop your pitch. This was tested at the University of Houston: when doctors reduced their speaking rate and pitch, especially when delivering bad news, the listener perceived them “as more caring and sympathetic.” [9] Harvard's Ted Kaptchuk also discovered that using a warm voice would double the healing power of a therapeutic treatment. [10]

If you want to express joy, your voice needs to become increasingly melodic, whereas sadness is spoken with a flat and monotonic voice. When we are angry, excited, or frightened, we raise the pitch and intensity of our voice, and there’s a lot of variability in both the speed and the tone. However, if the emotion is incongruent with the words you are using, it will create confusion for the listener. [11]

Gestures, and especially hand movements, are also important because they help orchestrate the language comprehension centers of your brain. [12] In fact, your brain needs to integrate both the sounds and body movements of the person who is speaking in order to accurately perceive what is meant. [13] From an evolutionary perspective, speech emerged from hand gestures and they both originate the same language area of the brain. [14] If our words and gestures are incongruent, it will create confusion in the listener’s brain. [15] Our suggestion: practice speaking in front of a mirror, consciously using your hands to “describe” the words you are speaking.

Your degree of relaxation is also reflected in your body language , facial expressions, and tone of voice, and any form of stress will convey a message of distrust . Why? Your stress tells the observer’s brain that there may be something wrong, and that stimulates defensive posturing in the listener. Research shows that even a one-minute relaxation exercise will increase activity in those parts of the brain that control language, communication, social awareness, mood-regulation, and decision-making . [16] Thus, a relaxed conversation allows for increased intimacy and empathy. Stress, however, causes us to talk too much because it hinders our ability to speak with clarity.

When you speak, slow down! Slow speech rates will increase the ability for the listener to comprehend what you are saying, and this is true for both young and older adults. [17] Slower speaking will also deepen that person’s respect for you, [18] Speaking slowly is not as natural as it may seem, and as children we automatically speak fast. But you can teach yourself, and your children to slow down by consciously cutting your speech rate in half. A slow voice has a calming effect on a person who is feeling anxious , whereas a loud fast voice will stimulate excitement, anger, or fear. [19]

Try this experiment: pair up with a partner and speak so slowly that … you … leave … 5 … seconds … of … silence … between … each … word. You’ll become aware of your negative inner speech that tells you that you should babble on endlessly and as fast as possible. It’s a trap, because the listener’s brain can only recall about 10 seconds of content! That’s why, when we train people in Compassionate Communication, we ask participants to speak only one sentence at a time, slowly, and then listen deeply as the other person speaks for ten seconds or less. This exercise will increase your overall consciousness about the importance of the first 7 elements of highly effective communication. Then, and only then, will you truly grasp the deeper meaning that is imparted by each word spoken by others.

But what about written communication, where you only have access to the words? When it comes to mutual comprehension, the written word pales in comparison to speech. To compensate, your brain imposes arbitrary meanings onto the words. You, the reader, give the words emotional impact that often differs from what the writer intended, which is why so many email correspondences get misinterpreted. And unless the writer fills in the blanks with specific emotional words and descriptive speech – storytelling – the reader will experience your writing as being flat, boring , dry, and probably more negative than you intended.

The solution: help the reader “paint a picture” in their mind with your words. Use concrete nouns and action verbs because they are easier for the reader’s brain to visualize. Words like “sunset” or “eat” are easy to see in the mind's eye, but words like “freedom” or “identify” force the brain to sort through too many conceptual frameworks. Instead, our lazy brain will skip over as many words as possible, especially the abstract ones. When this happens the deeper levels of meaning and feeling will be lost.

Public Speaking Success: Three Ways to Make a Speech More Interesting

The good news is that there are a few ways to make a speech more interesting and they simply require a little extra planning up front. So let’s look at three things we can do to make a speech more interesting.

1. Research your audience:

You’ve probably heard it a million times, but spending a little bit of time trying to get to know your audience will help you tremendously when you give your speech. Just like in conversation, when you know more about the people you’re talking to, you can speak to their needs more easily. And when you speak to your audience’s needs, you engage them better.

As part of your speech preparation , ask the following questions about your audience:

  • Why are they gathered together?
  • What are they hoping to gain by listening to the speech?
  • What common interests do they have?
  • What are some recent events that the audience is interested in?

If you’re unable to answer these questions, try asking the person who invited you to speak. You can also get some good information by working the room prior to your talk, but keep in mind that you’ll have limited time to work with what you learn. What you’re looking for are things to relate the key points from your speech to. Just like you want to state your qualifications during a job interview in a manner that interests the company, you want your points and examples to resonate with your audience. If you’re speaking to a corporate audience, try to relate your topic to that company’s culture, products or industry. If you’re speaking to an organization, tie your points into the organization’s events and activities.

2. Paint a picture:

Many speakers make the mistake of presenting raw data such as statistics in a manner that the audience can’t relate to. They say things like “you’ll increase sales by 50%” or “600,000 people are suffering from this ailment.” Numbers are especially difficult for people to conceptualize so here are some examples of ways to describe numbers:

  • Saying that taking a particular action will increase sales by 8.5% is less effective than saying that it’s like giving you an extra month’s worth of revenue each year.
  • Instead of saying 400,000 people die from a certain disease each year, say that it’s like two 747 jets full of people crashing every day.

Along the same lines, be descriptive about the things you’re talking about. Don’t describe just what you want the audience to imagine visually, touch upon all five senses. Talk about the sounds, the tastes and the smells. Include how you feel, both inside and out. Maybe you’re describing your first visit to a big city so you talk about the sounds of cars scrambling through traffic, the smell from a nearby hotdog vendor or the feeling of the hot sun on your neck. The big caveat is to not overdo it and get into every detail on something that is only a small part of your talk.

3. Tell a story:

It’s great to give people useful information during your talk, but if you’re simply reciting advice, it’s likely that the audience will tune out. Instead, try to tell a story or a series of stories to illustrate each point. Each story should be relevant to the point you’re trying to make and should not be overly elaborate. The basic formula is that your story should show the audience that taking the action you suggest will provide them with a result that they want. In other words, you’re illustrating your point.

For example, a commencement speaker might want to explain that toughing it out in the early part of your career will lead to success later on. The speaker can simply say “it worked for me” and then move on to the next point, but that’s not exciting. Instead, he or she can talk about the long hours, the financial struggles and the tight schedules that he or she experienced. Perhaps there’s a story about falling asleep at his/her desk one night and not waking up until the next morning. Or maybe there’s a story about ducking the landlord to get another few days to pay the rent. These stories drive the point home since the audience can visualize the speaker asleep at a desk or hiding behind a curtain to avoid the landlord.

The level of detail depends on the situation. Major points can be backed up by more elaborate or multiple stories where smaller points can be backed up in a sentence or two. Leave out parts of the story that are irrelevant to your point and if you can use a short story to make one of your important points, go for it.

All in all, making a speech interesting really just takes a little creativity and some work. You may need to experiment with different techniques to figure out what works best for you. Some people are naturally good at stories while others are quick to make connections between their talks and the audience’s situation. Lastly, keep in mind that there is such a thing as a dull audience and audiences that have just consumed food, alcohol or have already endured several hours of talks may have a difficult time being interested in any talk.

Great blog on how to make speeches interesting to audiences. I like the suggestions. I’d add one point, inspired by the story: pay close attention to the time of day. Audiences have shorter and shorter attention spans as the day wears on, so vary your speech accordingly. If you are the after-dinner speaker, follow Ronald Reagan’s rule: 12 minutes max, less if the audiences has had alcohol.

18 Ways to Make Your Presentation More Interactive

It can be difficult to hold your audience’s attention for the entire presentation. According to a  Prezi study , half of the respondents said they did something other than listen during a co-worker’s presentation, including:

  • Sending a text message (28%)
  • Checking emails (27%)
  • Falling asleep (17%)

An interactive presentation is much more likely to keep your audience’s attention and build rapport with them, and there are a few simple ways to achieve this, from live polling to asking questions throughout.

This article explores several different effective strategies for making the audience feel fully involved in your presentation and keeping your audience’s eyes away from their smartphones.

Why involve your audience?

Listening to a presentation for any length of time can be a difficult process. If you don’t involve the audience, they’ll start to play with their phones, talk to colleagues and generally lose track of what you are saying. Once this happens and you start seeing that the audience would rather be somewhere else, you’ll start feeling anxious and might try to speed up the presentation.

Engage your audience with your presentation

To engage a  large audience  fully, the presentation needs to be energetic, purposeful and staged, as if it is a direct conversation between both you and your audience. That way, they’ll absorb your ideas and insights and they’ll have learnt something in an enjoyable way.

1. Plan from the audience’s perspective

Before you start  writing your presentation , think about these points:

  • What are the most interesting parts in my topic?
  • How much will the audience know about my topic? What level do I target it at?
  • Which members of the audience will most likely be disinterested?
  • How can I help them learn and understand my topic?
  • What is the size of the audience?

You can do this by researching the event or conference, investigating other speakers at the event and even contacting the organisers to find out more about the demographic.

By asking these questions about your audience and identifying answers, you are starting to think about your audience’s interests and needs. Remember, the aim is to give the impression that your presentation has been planned according to your audience’s specific interests.

2. Use an easy-to-follow structure

When building your presentation, focus on giving it a structure which people can easily follow. Start by introducing the core concepts and goals, then elaborate on the various points in a bit more detail, draw logical conclusions and leave your audience with a clear takeaway message. You want to flow naturally from one part to the next like you are telling a big story chapter by chapter.

3. Get the audience immediately involved

You audience will come to your presentation in a range of different moods. Try using a simple ice-breaker to re-energise them and get them focussed on your presentation.

For example, ask people to stand up and introduce themselves to their neighbours, or have them identify two or three questions they would like to hear addressed during your presentation. By starting with an ice-breaker, you show your audience that your talk will be interactive and require their participation.

The audience’s attention drops to zero after just 10-15 minutes of your presentation. To get their attention back, take a break from your presentation from time to time and interact with your audience. Ask for their questions and answer them during your presentation. This will help clear up any confusion the audience might have.

When planning your presentation, identify opportunities in your material for your audience to ask questions. If you’re not comfortable breaking the flow of your presentation, mention that you’ll be taking  questions at the end  so the audience can prepare some questions.

Asking rhetorical questions as you move through your presentation involves your audience by stimulating their own thought processes. This technique also helps move between sections of your presentation as it establishes a clear transition from one point to another.

If you’re comfortable with taking questions throughout your presentation, use a tools such as  Slido , which allows your audience to ask questions anonymously at any time, so even shy people can participate in the discussion.

Watch how the presenter tries but initially fails to get the audience to interact with the presentation. Notice how he encourages them to get involved and eventually they do join in.

5. Use storytelling to make it more memorable

Since our early ancestors, stories have always been a huge part of human culture and civilisation. Storytelling is the most universal way to captivate your audience’s attention, no matter where they are from or what they do for a living.

Stories are much more engaging and memorable than lists of facts and figures, but you wouldn’t think so looking at the majority of presentations (particularly academic ones).

People automatically tune in when you  start telling your story  because they want to know what happens next. A popular storytelling technique is when you present the status quo and then reveal an improved path to that end goal.

Think of your presentation as one arching narrative. As we mentioned earlier, give it the proper structure with a clear beginning, middle and end. Introduce conflict and provide a powerful resolution that reinforces your key messages.

6. Use non-linear presentation software

Instead of flipping through slide after slide, you can show the relationships between your ideas and give your audience the “big picture” view of your topic. Try letting your audience drive the presentation by laying out all of your main points, and then let them choose which topics they want to go to. Your audience will get a truly custom presentation based on their interests, which they will appreciate and more easily remember.

7. Add in a short video

Billions of hours of YouTube are consumed each month and advertisers have identified videos as having a high  retention rate  for users. However very few presentations ever use videos to engage with their audience.

Find a short video clip that reinforces your story or explains a concept better than words can. You can either embed the video directly into your presentation software or include a link to an external website. Just make sure you test your method on the day of the presentation and have a backup on a USB just in case you need it.

8. Invite people onto the stage

If you’re preparing a particularly long presentation, consider having other people to come on stage and talk for a bit. This will help you narrate the story and make the whole presentation more interactive.

Steve Jobs never pulled off the entire presentation by himself; he always invited several speakers, including designers, partners, and other executives, to help him introduce their latest product. Of course, this technique should always be arranged with your colleagues in advance.

9. Poll the audience

Polls are similar to quizzes in that they engage the audience during the presentation. Polls encourage participants to think not only about your questions but also about their answers. Moreover, live polls help create mental breaks, so your audience can regain attention and stay focused throughout your presentation.

By including everyone in answering the question, you also create a group experience that leaves the audience feeling like they all have been part your presentation.

10. Use (appropriate) humour

Some of the best speeches and presentations in the world feature plenty of humour. No matter the subject, a great speaker will use natural charisma, humour and language to convey their points and get the crowd excited about what they are saying.

A great example of building rapport with the audience through the use of humour is Barrack Obama talking about the government building Iron Man.

Another example is when  Morgan Spurlock  offers individuals the opportunity to buy the rights to name his TED talk—which he refers to again at the end, where he reveals the title. He peppers the entire presentation with humorous commentary that nonetheless supports his point.

Create relevant jokes or find a way to bring out the humour in your subject, and your audience will be much more engaged and more likely to remember your words.

11. Practice your delivery, again and again

Practicing is the most important part of delivering an interactive presentation. You’ll need to practice where to use live quizzes, when to accept questions, which points to emphasise with body language and many more. There are several options for practicing:

  • In front of a mirror  – great for seeing and improving your body language, however it can be distracting to what you are saying.
  • To friends or colleagues  – a useful way to get feedback on your presentation, try and action the feedback straight away to improve on it. You can also give the person some key areas to focus their feedback on if you believe you are weaker in those areas.
  • Virtual reality  – practice in realistic  public speaking environments , whether it be in a virtual conference room or boardroom. Receive feedback on your speech with voice analysis technology.

With all three of these, you’ll want to work on your tone of voice, accent, pauses between sentences and facial expressions. The most important thing is to talk slowly and loudly enough to be heard and understood clearly.

12. Try and relate to the audience

Make comparisons to events from everyday life that most people are more than familiar with. By making things look simple, not only will you help your audience get a better understanding of the subject by enabling them to visualize the information more clearly, you will also draw a connection between you.

After all, you are all just regular people with similar experience, you just happen to be performing different roles at the moment.

13. Strong body language (position, posture and gesture)

Non-verbal communication plays a large part in how we construct meaning, so it makes sense to consider how to use it in your presentation. You can make things more interesting for your audience by using  your body language  to enhance what you’re saying.

Body language goes beyond reinforcing your messaging – it’s useful from a biological standpoint. As discussed in her  body language TED talk , Amy Cuddy’s research found that using ‘assertive’ body language released testosterone and reduced cortisol in both men and women, thereby increasing confidence and decreasing stress.

An effective presenter pays close attention to the physical relationship with her/his audience. If you stand hidden behind an overhead projector or stand too far away from your audience, they will not develop a bond with you and this will limit the effectiveness of your presentation.

Your posture will also dictate levels of audience involvement. If you’re too relaxed and sit slumped in a chair to deliver your talk, the audience might drift away. Find a comfortable but purposeful position in relation to your audience and adopt an upright sitting or standing posture that allows for movement and gesture.

Audiences respond well to the physical energy and enthusiasm being conveyed by a presenter, and thus the use of clear and controlled gestures will greatly enhance your presentation. Gestures that are open and reach out to your audience serve to extend your presentation to them and thus help them feel more involved.

  • Use hand gestures when delivering key points
  • Use calm, deliberate movements when highlighting certain information
  • Keep arms and legs uncrossed

14. Maintain eye contact with all sections of the audience

Making eye contact is one of the most  powerful techniques  for involving your audience. If used well, eye contact can serve to make your address much more personal and thus more effective. If eye contact is avoided, the presenter can appear to be nervous and unconvincing.

It is important to share eye contact with all members of a small audience or all sections of a large audience. Avoid making eye contact with just the people you know, taking particular care not to deliver your entire presentation to the person who’s assessing your work. Remember that you will need to involve the whole audience if you are to make an effective presentation.

If you are nervous, eye contact can be very difficult to establish and maintain. Remember that some eye contact is better than none and that you should try to build your confidence over time.

15. Use live quizzes to better understand your audience

Live quizzes are a great way to understanding your audience better get them engaging with the material.

For example, if you’re giving a presentation on autonomous vehicles, you could ask questions such as:

  • When do you think autonomous vehicles will become mainstream?
  • Are you concerned by safety issues?
  • If someone is injured or killed by the car, who is to blame?

These will surely create some interesting results which you, as the presenter, can talk about and discuss.

16. Use physical props if possible

You don’t need to be giving a product demo to use props during your presentation. Props are a great way to help the audience visually picture what you are talking about. While talking through your presentation, you can refer to the prop at certain points to highlight your point or make it clear to the audience.

Kenny Nguyen  does this will in his TEDx talk on ‘The Art of Saying No’. He refers to the “sword of yes” and “shield of no.” Naturally he picks up a sword and shield from the table to help demonstrate his points.

Another great example is when  Jill Bolte Taylor  brings a real human brain on stage during her TED talk to explain to what happened to her when she had a stroke. She touched the audience with this demonstration and left the audience in complete awe.

17. Extend your usual vocal range

Your tone of voice, your volume, and other vocal aspects affect how people listen and hear your message.

Julian Treasure’s  TED talk on ‘How to speak so that people want to listen’ is all about this, and at the end offers several tips ‘in our toolbox’ for how to master the use of voice, from changing your speaking pace to speaking in a different pitch.

18. Use language and literary techniques

Your use of language has a huge influence on the way you engage your audience. It’s important to use language your audience understands and is familiar with.

Avoid using language that is too formal or informal, too technical or too simplistic depending upon the nature of your talk and the knowledge base of your audience. Pitching your presentation at the right level can be a challenge but it is very effective for making the audience feel involved.

There are various  literary techniques  you can use, such as the Power or Three, to give greater impact to your message.

Involving your audience is essential to making an impact. Your presentation should pull them in, get their attention and stimulate their thoughts and understanding. This can be done in a number of ways.

The way that you plan your presentation will be critical in terms of using language and ideas that your audience will understand. You must also ensure that there is sufficient time for questions and discussion. The way that you deliver your presentation should create a bond with your audience.

Your use of eye contact, body language, spoken words and energy should  communicate effectively  and enthusiastically with all areas of the room, thus ensuring that the audience receives positive messages about you and your material.

As a speaker, whenever you make a general statement of the way things were all of the time or most of the time , the 2-step formula that will immediately make your speech much more interesting is this:

  • Give a sample example
  • At the end of your sample example, let your audience know, “And this is how it was all of the time.”

That way your audience will be able to feel how it was for you and they will realize that, as with any sample, there are likely many more similar situations that occurred.

While giving a speech, your focus should not be limited to delivering the message; but also engaging the audience. If you are unable to grab the attention of your audience;  you will fail at accomplishing the objective of the speech. 

Your speech should be such that it should convert the people from only hearing the speech to listening to the speech as well. A speech should be such that people remember it even after you have stopped speaking. Your words should be memorable and create an impact on the listeners. 

Now, you may be wondering how you can do that?

Don’t worry! I will be sharing some actionable steps through which you will be able to make your speech more interesting. 

1) Break your speech into short parts 

In the same way, your entire college/school syllabus is categorised into different subjects, similarly, you should break your speech into different segments. Doing this will ensure that you have a focused audience. It also makes it easier for the audience to absorb the crucial takeaways from your speech. 

Your speech should be arranged like a musical song, where each part has its tune, tone, and attitude.

2) Practice your speech like a performance

Suppose you need to deliver a speech at a corporate event. So, what will you do? You will research the topic, write down important points, and write the speech. So, is the task done? Not at all!

You need to prepare your speech as well. After writing the speech, you need to practice it like a performance. Practice the speech as you are preparing for a dance or a singing competition. 

3) Talk in the language of your audience 

When you give a speech, try to understand your audience. Try to understand what the level of your audience’s understanding is. Suppose you have to address a group of freshers and then a group of senior executives. Your words, manner, and delivery will be different in both cases. 

So, if you want your audience to connect with your speech, you need to understand your audience. 

4) Share personal stories

Some people are hesitant to tell strangers about their personal lives and experiences. A well-crafted narrative, on the other hand, is one of the most powerful promoters for a memorable speech. Sift through your recollections for meaningful, heartwarming, or humorous situations that relate to the point you’re trying to make. Personal stories allow the listener to identify with you and put themselves in your shoes. People are far more likely to remember your tiny personal tale and link it to the purpose of your speech than the other way around.

5) It is important to maintain a good posture.

Never slouch in front of your audience.  It appears weak, and your audience might perceive it as a lack of self-confidence. It will inevitably dilute your message. Keep your shoulders back and stand up straight. . Make sure you’re dressed in a way that hides any uneasiness. 

Always ooze confidence! 

6) Your ending matters

End your speech with a quote, a pop culture reference, or maybe some joke! A speech that lacks finality and conclusiveness will be perceived as sloppy and not worth remembering. An effective speech conclusion helps assure long-term memorability and audience response to your message.

And the last tip? 

Leave some room for improvisation!

Don’t restrict yourself to the prepared script only. Try to gauge the expectations of the audience and make spontaneous changes. Enjoy the process and experiment as and when required! 

I always end my speech with a catchphrase!

Learn how you can use Copilot Studio to build your own copilot, available on multiple channels, designed for your audiences, and tailored specifically to your business processes and workflows.

In November, we introduced Microsoft Copilot Studio , a conversational AI platform that allows you to customize Copilot for Microsoft 365 and build your own copilot.

Copilot for Microsoft 365 offers AI assistance to create, find, and ask for information across Microsoft 365 apps and provides a Copilot chat available across several employee experiences like Microsoft Teams, Windows, and Bing. However, sometimes you may want generative AI assistants that can reach users on multiple channels outside of those, like embedding on your internal websites, mobile apps, and social channels. You may want to design individual AI assistants that can serve employees, customers, and partners. Or you might want a custom copilot that you can tailor to specific roles and functions, where you can control the orchestration of your large language model using the dialog manager for managed topics with specific workflows.

When you create your own copilot with Copilot Studio, you are building intelligent chat experiences using ready-made large language models, a dialog manager, 1200+ data connectors, and more within a low code SaaS. These custom copilots are AI assistants that help humans with complex cognitive tasks using your organization’s knowledge, connectors to LOB applications, and your own custom topics. For example, a copilot for IT support, a copilot to help your customers choose the right product, or even help your suppliers track the status of orders.

How Copilot Studio works

Let’s talk through the steps to building your own copilot. You can start by logging in to Copilot Studio which will spin up all of the required services for you so it’s ready for building in a matter of minutes.

Imagine you wanted to create a custom copilot to serve customers on your website, for example assisting with product knowledge questions and order management.

First, start by grounding your copilot in your data. Using generative answers , you can enable multi-turn chat over your organizations real-time data—from local files to SharePoint sites, from public websites to data in your own custom backends creating the ability to chat over a wide set of topics within minutes. For this scenario, you would use your public website including your product information.

For critical topics such as account management, which involves handling customer details, you can design the specific conversational flow that you want Copilot to follow. You have the option to use visual authoring or natural language to design these prioritized topics before proceeding to generative AI. For instance, consider a topic that collects user details, authenticates the user, and interacts with your order management systems following a specific sequence of steps. Another example of a managed topic is discounting, where responses may involve legal and compliance matters, and therefore, you provide the managed response.

With generative actions , you can now provide a list of plugins to the copilot, selecting from 1200+ data connectors like SAP, Workday, Salesforce etc, and these will be dynamically executed to help the copilot take action. This allows copilot to effortlessly handle complex queries that were unforeseen or not previously constructed.

For developers that want more custom development, you can use Azure models and services with Copilot Studio. This hybrid approach of low code with custom pro code integration  allows you to bring custom language models , Azure OpenAI on your data , knowledge bases , image generation with DALL-E, telemetry, and more into your Copilot Studio copilot.

When you’re ready, you can publish your copilot to multiple channels which can be internal or external facing to interact with users across different platforms, such as websites, Microsoft Teams, social apps, mobile apps, Azure Bot Service channels and more. You can also escalate the conversation to 1st party Dynamics 365 and 3rd party tools like Genesys, LivePerson, Salesforce and ServiceNow when the copilot requires human assistance.

Once the copilot is live, be sure to review the copilot performance with the built-in analytics dashboard that helps makers monitor key metrics, evaluate performance, and find new copilot topics. Secure and manage your copilot with governance and control features with the central admin center to protect copilot data with data loss prevention policies, role-based access control, environment management and more.

These are just some of the foundational steps to getting started, but there are many other features you can include in your copilot.

How Copilot Studio will evolve in the future

When you build custom copilots using Copilot Studio today, you are designing chat-based experiences to support users with knowledge discovery, such as finding answers to their queries, and task/business process completion, such as calling APIs and following workflows.

We are continuously enhancing the capabilities of Copilot Studio in the upcoming months through several key areas of focus:

  • Generative AI knowledge sources– Generative Answers currently supports several data sources to ground your Copilot. Today, you can chat over unstructured data by providing your URLs and data sources. We are expanding both the number of sources and sizes over time. Learn about the existing capabilities today .
  • Multi-modality – You can design powerful text-based Copilots today, and even create copilots optimized for speech , which can be used with Dynamics 365 or Interactive Voice Response (IVR) ISVs. Over time, we will provide even more ways to interact with your chat-based experiences.
  • Generative AI availability – Copilot Studio is available across several regions, languages, and data centers which we are expanding here .

What else can you do with Copilot Studio

Copilot Studio offers features that can be consumed both within your custom copilots and Copilot for Microsoft 365 via plugins, such as 1200+ data connectors, workflow design, and generative answers all through the low code authoring canvas. The difference is in the channel and audience in which the copilot/plugin is consumed.

If you have invested in Copilot for Microsoft 365 today, you may look to use Copilot Studio to bring in your data outside of Copilot for Microsoft 365 into the Copilot chat, design custom workflows or help control the conversation for specific topics. You would achieve this by designing plugins in Copilot Studio which is included in the Copilot for Microsoft 365 user license for customization of Copilot for Microsoft 365 only. Custom copilot development requires a standalone license . There is no dependency to purchase Copilot for Microsoft 365 to make your own custom copilot.

With Copilot Studio in Copilot for Microsoft 365, you can create plugins for various transactional scenarios. For example, if you want to know how much travel budget is left for the rest of the quarter, you can design a plugin to query a SAP connector to retrieve the information. For sales data, you could ask “What are the sales targets for the fiscal?” querying a data source like Salesforce or Dynamics 365, or even query HR data in Workday and ask questions like “How many vacation days do I have left?”.

And the best part is, you only need to build your plugin once, and it can be reused across your organization after being approved by IT in the admin center.

Copilot Studio provides you with the platform to build a copilot for your specific needs, for your industry, department, with your data. These custom copilots can cover Business to Employee (B2E) Business to Business (B2B) and Business to Consumer (B2C).

In October 2022, amid a flurry of media appearances promoting their film “Tàr,” the director Todd Field and the star Cate Blanchett made time to visit a cramped closet in Manhattan. This closet, which has become a sacred space for movie buffs, was once a disused bathroom at the headquarters of the Criterion Collection, a 40-year-old company dedicated to “gathering the greatest films from around the world” and making high-quality editions available to the public on DVD and Blu-ray and, more recently, through its streaming service, the Criterion Channel. Today Criterion uses the closet as its stockroom, housing films by some 600 directors from more than 50 countries — a catalog so synonymous with cinematic achievement that it has come to function as a kind of film Hall of Fame. Through a combination of luck, obsession and good taste, this 55-person company has become the arbiter of what makes a great movie, more so than any Hollywood studio or awards ceremony.
