How I wrote my PhD thesis in three months

But writing my PhD thesis had to be different, I told myself when I could finally see the finish line. I couldn’t afford to procrastinate . My PhD scholarship was about to expire, I didn’t have the money for a prolonged stay in the UK, and I didn’t want to be on the island anymore. So, I decided I would leave Cardiff in three months, bought a one-way ticket back home, and then opened the folder “PhD stuff” on my laptop. It was thesis o’clock.

Was I mad? Writing a PhD thesis in three months? Others have done it, so it wasn’t impossible. But sure, X is a great writer, Y had a job waiting for him, and was there anything Z couldn’t do? I wasn’t X, Y, or Z, but I couldn’t waste a second on doubting myself. I had all the materials for my dissertation, so it was only a matter of putting everything together.

Here’s how I wrote my PhD thesis in three months (the distilled version, without the doubts, tears, desperation, frustration, panic, revision fatigue, proofreading mania, and so on). I hope you can use some of these tips to speed up your thesis writing process.

Gathered and organized all the materials

I had the literature review, two papers accepted for publication, some reports, and most of the figures , tables, and appendices that would go into my thesis. I started by organizing all the materials I had and completing the missing bits.

Created an outline

Creating an outline for my doctoral dissertation was easy, as I had had three years to think about what it would include. Once I got the outline approved by my thesis advisor, I was ready to start writing.

I could not emphasize more how important it is to create a detailed outline of a PhD thesis. Once you have it, you cannot feel lost on your thesis writing journey. So, all the time you use for creating an outline, revising it, and getting it approved by your thesis advisor will be well worth it.

Wrote the core chapters

My two peer-reviewed papers became the core of my thesis. Writing these two chapters based on my publications was relatively easy, and it gave me momentum.

The third core chapter was harder to write than the previous two. I needed to turn my research into a coherent whole, instead of simply turning a paper into a chapter.

I started by creating a detailed chapter outline. Then, I copied and pasted under each bullet point all the material I wanted to use—figures, tables, maps. Next, I summarized my ideas and then turned each one into a paragraph. Finally, I tied all the paragraphs together using transition sentences. I didn’t stop to worry about repetitions, awkward language, and typos at this point.

Wrote the two easy chapters

Completing the “Geological Setting” and “Data and Methodology” chapters was easy, as I had used this information for presentations and posters throughout my doctoral program. Writing these chapters gave me a confidence boost—the bulk of my thesis was done, or so I thought at the time.

Wrote the introduction

Based on the literature review I already had, I started drafting my introduction, perhaps the most difficult chapter of my thesis. I had too much information and it was poorly structured. But after a lot of rewriting and revising, I managed to create a chapter draft.

Wrote the discussion

No doubt, this was the hardest part of writing my PhD thesis . The discussion had to be the common thread of my three core chapters, which were pretty disconnected to begin with.

I started doing a lot of brainstorming and struggling to draw connections between otherwise disparate ideas. I had to read many papers and books again and look up new information.

At this point my stress levels soared and no place seemed quiet enough to allow me to concentrate. Working from home was out of question, as there were too many distractions (read “snacks and comfortable places to sleep on”). So, instead, I decided to arrive at the office very early and write as much as I could during the quiet hours of the morning. By noon I had usually made good progress, so I would go for a brisk walk to clear my mind. In the afternoon I focused on tasks that demanded little brain power, such as reference formatting.

One more thing I did while I wrote my discussion chapter was not checking my email till after lunch. It’s incredible how much progress I made when I didn’t allow myself to be distracted by new-email notifications.

Wrote the conclusion and abstract

Completing these two parts of my thesis was easy once I had everything else ready.

Revised and edited my PhD thesis

Revising was far more painstaking than I had imagined. I don’t remember how many revision rounds I did, but they were quite a few.

At this point I started having doubts; I could almost picture myself failing my PhD examination. But after the editing stage, my confidence was back. It was a decent thesis, I thought, though it was far from perfect. But it had to be good enough—I was running out of time.

Proofread my PhD thesis

This stage was quite enjoyable, though not as enjoyable as writing thesis acknowledgments . I had fixed the most blatant errors during the editing stage, so proofreading was relatively easy. But as self-proofreading is not foolproof, some errors will remain in my thesis forever.

Formatted the document

I had used MS Word and had many figures and tables, so putting the document together was a hassle. My laptop kept crashing because of the size of the file, and working with styles in Word was a nightmare. Completing this stage was more time-consuming than I had expected, but when it was done it was time to celebrate.

That’s how I wrote my PhD thesis in three months, but it would have been easier if…

I used a reference manager, chose a word processor other than Word, had my thesis professionally proofread, and socialized during these three months instead of living in automaton mode. And it would have been good to know writing always takes longer than you think. Trivial tasks in particular (such as formatting tables) can become time sinks if you don’t put a cap on the number of hours you are willing to dedicate to a task. Also, knowing the law of diminishing returns helps you limit the number of revision rounds you do.

A PhD thesis is a work of original research all students are requiured to submit in order to succesfully complete their PhD. The thesis details the research that you carried out during the course of your doctoral degree and highlights the outcomes and conclusions reached.

The PhD thesis is the most important part of a doctoral research degree: the culmination of three or four years of full-time work towards producing an original contribution to your academic field.

Your PhD dissertation can therefore seem like quite a daunting possibility, with a hefty word count, the pressure of writing something new and, of course, the prospect of defending it at a viva once you’ve finished.

Beginning your PhD thesis

The first stage of your PhD thesis will usually be the literature review . We’ve already written a detailed guide to what the PhD literature review involves , but here’s what you need to know about this stage of your PhD:

  • The literature review is a chance for you to display your knowledge and understanding of what’s already been written about your research area – this could consist of papers, articles, books, data and more
  • Rather than simply summarising what other scholars have said about your subject, you should aim to assess and analyse their arguments
  • The literature review is usually the first task of your PhD – and typically forms the first part or chapter of your dissertation

After finishing your literature review, you’ll move onto the bulk of your doctoral thesis. Of course, you’ll eventually return to the lit review to make sure it’s up-to-date and contains any additional material you may have come across during the course of your research.

PhD thesis research

What sets your PhD thesis apart from previous university work you’ve done is the fact that it should represent an original contribution to academic knowledge . The form that this original contribution takes will largely depend on your discipline.

  • Arts and Humanities dissertations usually involve investigating different texts, sources and theoretical frameworks
  • Social Sciences are more likely to focus on qualitive or quantitative surveys and case studies
  • STEM subjects involve designing, recording and analysing experiments, using their data to prove or disprove a set theory

Depending on the nature of your research, you may ‘write up’ your findings as you go, or leave it until the dedicated ‘writing-up’ period, usually in the third year of your PhD. Whatever your approach, it’s vital to keep detailed notes of your sources and methods – it’ll make your life a lot easier when it comes to using references in your dissertation further down the line.

PhD thesis vs dissertation

It’s common to use the terms ‘thesis’ and ‘dissertation’ interchangeably, but strictly speaking there is a difference in meaning between them:

  • Your thesis is your argument. It’s the conclusions you’ve arrived at through surveying existing scholarship in your literature review and combining this with the results of your own original research.
  • Your dissertation is the written statement of your thesis. This is where you lay out your findings in a way that systematically demonstrates and proves your conclusion.

Put simply, you submit a dissertation, but it’s the thesis it attempts to prove that will form the basis of your PhD.

What this also means is that the writing up of your dissertation generally follows the formulation of your doctoral thesis (it’s fairly difficult to write up a PhD before you know what you want to say!).

However, it’s normal for universities and academics to use either (or both) terms when describing PhD research – indeed, we use both ‘thesis’ and ‘dissertation’ across our website.

PhD thesis structure

Having completed your initial literature review and conducted your original research, you’ll move onto the next phase of your doctoral dissertation, beginning to sketch out a plan that your thesis will follow.

The exact structure and make-up of your doctoral thesis will vary between fields, but this is the general template that many dissertations follow:

  • Introduction – This sets out the key objectives of your project, why the work is significant and what its original contribution to knowledge is. At this point you may also summarise the remaining chapters, offering an abstract of the argument you will go on to develop.
  • Literature review – The introduction will generally lead into a write-up of your literature review. Here you’ll outline the scholarly context for your project. You’ll acknowledge where existing research has shaped your PhD, but emphasise the unique nature of your work.
  • Chapters – After you’ve finished introducing your research, you’ll begin the bulk of the dissertation. This will summarise your results and begin explaining the argument you have based on them. Some PhDs will also include specific chapters on methodology and / or a recreation of the data you have developed. Others will develop your argument over a series of stages, drawing on sources and results as relevant.
  • Conclusion – The dissertation will end with a final chapter that pulls together the different elements of your argument and the evidence you have provided for it. You’ll restate the significance of your project (and its all-important original contribution to knowledge). You may also take the opportunity to acknowledge the potential for further work or opportunities to apply your findings outside academia.
  • Bibliography and appendices – At the end of your thesis, you’ll need to include a full list of the books, articles and data you’ve referenced in a bibliography. You may also need to provide additional information in the form of an appendix.

How long is a PhD thesis?

The length of a PhD thesis varies from subject to subject, but all are far longer than those for undergraduate or Masters degrees. Your university will usually set an upper limit – typically between 70,000 and 100,000 words, with most dissertations coming in at around 80,000 words.

Generally speaking, STEM-based theses will be a little shorter than those in the Arts, Humanities and Social Sciences.

Different universities (and departments) will have different policies regarding what counts towards the PhD thesis word count, so make sure you’re aware what is expected of you. Check with your supervisor whether references, the bibliography or appendices are included in the word count for your dissertation.

How many chapters should a PhD thesis have?

There’s no hard and fast rule for the numbers of chapters in a PhD thesis, but most will have four or five chapters (in addition to the introduction and conclusion). This is the sort of thing you’ll discuss with your supervisor when planning out your research.

Writing up your PhD thesis

Once you’ve conducted your research and settled upon your thesis, there’s only one thing left to do: get it down on paper. Appropriately enough, this final part of a PhD is often referred to as the ‘ writing up period ’.

This is when you produce the final dissertation, which will be submitted as the basis for your viva voce exam. The nature of this task can vary from PhD to PhD.

In some cases you may already have a large amount of chapter drafts and other material. ‘Writing up’ therefore becomes a process of re-drafting and assembling this work into a final dissertation. This approach is common in Arts and Humanities subjects where PhD students tend to work through stages of a project, writing as they go.

Alternatively, you may have spent most of your PhD collecting and analysing data. If so, you’ll now ‘write up’ your findings and conclusions in order to produce your final dissertation. This approach is more common in STEM subjects, where experiment design and data collection are much more resource intensive.

Whatever process you adopt, you’ll now produce a persuasive and coherent statement of your argument, ready to submit for examination.

PhD thesis feedback

Your supervisor will usually give you feedback on each chapter draft, and then feedback on the overall completed dissertation draft before you submit it for examination. When the thesis is a work-in-progress, their comments will be a chance for them to make sure your research is going in the right direction and for you to ask their advice on anything you’re concerned about. This feedback will normally be given in the form of a supervisory meeting.

Although your PhD supervisor will be happy to give you advice on your work, you shouldn’t expect them to be an editor – it’s not their responsibility to correct grammatical or spelling mistakes, and you should make sure any drafts you submit to them are as error-free as possible. Similarly, they won’t be willing to edit your work down to fit a particular word count.

Finishing your PhD thesis

When you’ve finished the final draft of your doctoral thesis and it’s been approved by your supervisor, you’ll submit it for examination. This is when it’s sent to the examiners who will conduct your viva.

Submitting your thesis involves printing enough copies for your examiners and the university’s repository. Don’t leave this until the last minute – printing multiple copies of a 300-page document is a substantial undertaking and you should always allow enough time to account for any possible glitches or issues with the printing process.

Your viva will usually take place within three months of submitting your thesis. You can find out more in our dedicated guide to the PhD viva . After your viva, your examiners will give you a report that confirms whether or not you need to make any changes to your thesis, with several different potential outcomes:

  • Pass – You’ve received your doctoral qualification!
  • Minor corrections – These are usually fairly small edits, tweaks and improvements to your thesis, which you’ll be given three months to implement
  • Major corrections – For these substantial changes, you may have to rewrite part of your dissertation or complete extra research, with a six-month deadline

Most PhD students will need to fix some corrections with their thesis (hopefully not major ones). It’s very rare for a dissertation to be failed.

Once you’ve made any necessary changes to your thesis, you’ll submit it one last time (usually electronically).

If you have plans to publish all or part of your work, you may want to request an embargo so that it won’t be visible to the public for a certain time. 12 months is a fairly standard time period for this, although you may want to ask for a longer embargo if you know that you want to turn your thesis into a book or monograph.

8 Rules to write a PhD Thesis

Rule 4: make a phd timetable.

A PhD thesis can not be written in one week. Get this through your head. It is hard, maybe even the hardest thing you have to do during your PhD. It is going to be a painful task for most of you (it was for me). So schedule it in a proper time-wise manner. Do not wait until it’s just two weeks before the deadline to start writing. Here is a proposal: make a document with your PhD plan . Write down in that document the important things that need to be done in the last six months of your PhD, preferably in some chronological order. 3 Examples of things to write can be submission of papers, finishing data analyses or other leftover work, writing the thesis, preparing for the defence, sending some important emails, etc. Allocate at least two months of your time for the writing of the thesis . That’s a minimum proposed time frame and it might be far from ideal for you. Time equals money as they say, and that’s definitively the case for the PhD. So you might not want to spend too much of your time in thesis writing. On the other hand, you surely don’t want to underestimate the time that is required for such a colossal task. Therefore, you need to make a well-balanced estimate and plan your thesis writing accordingly. How can then someone derive such an estimate ?

For starters, you need to understand that the exact amount of time that is necessary to finish the thesis writing is hard to predict. The reason for this is that during such a large time period, your life is going to be influenced by a lot of factors. Some of these factors are uncontrollable and there is no way to prepare for them (the phenomenon also simply known as “ life happens ”). Some other factors are directly related to the practical task at hand and can thus be more easily predicted and regulated to your advantage. Using this knowledge, you can make a rough calculation of how much time it will take to write your PhD thesis. I personally think three factors are of significant importance to derive such an estimate. First, the format of the thesis , i.e. a paper-based thesis or a monograph, the latter of which will surely require more time to finish. Second, your personal writing speed , measured in the amount of chapters that you will be able to write on average in a specified time period (usually a week). Third, the number of chapters you need to write. Choosing the format of the thesis should be fairly obvious, based on common practices in your research field, the regulations of your academic institution and the existence or not of published PhD work (papers). Moreover, you should already have a pretty good estimate on the amount of total chapters, based on the modular way of constructing your PhD story as was explained in Rule 3 . Then all that is left, is for you to make an educated guess of your writing speed. The combination of the aforementioned three factors will then help you make a realistic estimation of how long the PhD thesis writing will take.

Let me share with you my personal experience on this matter. My thesis was paper-based. Following the rules in the section During writing , I was writing one to two thesis chapters per week. These were chapter drafts, so definitely not polished material. Therefore, my minimum writing speed was around one chapter per week . Continuing, I had a total of eight chapters to write + the abstract (derived from my initial story structure), which let’s say was equivalent to approximately nine chapters. Worst case scenario, I write one chapter per week, so a total of nine weeks are required. Best case scenario, I write two chapters per week, so a total of five weeks are required (rounding it up). Chapter size plays a huge role as you can probably guess. The proposed estimate of two months time is somewhere between five and nine weeks and closer to the second (the maximum of the two). So, eight weeks, equal to two months, sounded like a good deadline for my writing project. In the end, I finished the thesis writing in seven weeks, which was one week before the deadline. That included also reviewing the edits and comments from my supervisor and several rewrites. The important thing to remember here is that the calculation of your thesis time frame is going to be a personal rough estimate . Therefore, using an average writing speed of one chapter per week without further thought is justifiable (see Rule 7 on how to have more control over this). To summarize, my advice is to 1) calculate the number of chapters you are going to write 2) directly translate that number to weeks and 3) round it up to months. 4

Responsibly follow the time schedule you set up for yourself and be aware to not procrastinate on your thesis writing. This has also been stated more empirically as the notion that “ work expands to fill the time available for its completion ” (Parkinson’s Law). Procrastination can lead to unpleasant and stressful days before the thesis submission, that anyone would gladly dispense with. I have seen people doing rewrites, last minute additions, or otherwise work that could have been done a week or so ago, if properly scheduled. I have heard of people literally running to submit a printed copy in their respective department one hour before the deadline. Doesn’t sound too good to me. It’s a million times better to be prepared and follow your time plan religiously . Try to schedule your thesis writing in an anticipatory manner. This will happen when unfortunate scenarios that you can personally deal with, are managed to a satisfying degree. See also related discussion in the Epilogue .

Make a PhD timetable and allocate a realistic time frame for your thesis writing.

Of course you can make such a plan document from the start of your PhD. I just want to stress here the importance of including in this document what needs to be done during the last stages of your PhD. ↩︎

Remember to round up the resulting number to months! A basic arithmetic example is appropriate here. If you have a total of \(11\) chapters, the time required to write them down would be calculated as follows: \(\frac{11 \text{ chapters }}{1 \text{ chapter/week }}=11 \text{ weeks } \approx 12 \text{ weeks }\) (closest multiple of \(4\) ), which is equal to \(3\) months, assuming that \(1\) month is equal to \(4\) weeks. ↩︎

Thesis/dissertation writing need not be a multi-month ordeal that makes you pull your hair out and roll up into a fetal position. The trick is to get a head start , set goals and deadlines, and work steadily—not feverishly—toward that ultimate satisfaction of handing your magnum opus to the graduate school. The first three sections of this article are devoted to ways that you can get way ahead of the curve from the very beginning of your graduate program—BEFORE push comes to shove.

1.) GET STARTED RIGHT AWAY— YES, REALLY .

NEWS FLASH: you can start working on your thesis or dissertation almost from the moment you decide on a lab/advisor .

In the beginning, there were papers …

The starting point for any newbie graduate student is to read boatloads of relevant papers so that you can learn your advisor’s repertoire of experimental techniques or areas of interest, what has been done so far in the field, what questions remain to be answered, and where your research will contribute.

Keep in mind that these seminal papers will be heavily integrated into your thesis or dissertation:

a) The introduction, in which you give all the pertinent background to set the stage for your research and make everyone on your committee (and beyond!) understand why it’s important

b) Data chapters, where previously published data lend validity to your findings, or are at least taken into consideration as you interpret your data

Let’s back up. How do you find these papers? Hopefully, your advisor will provide you with a few of the original papers that got the ball rolling. Find out what papers cite them . You can perform Boolean searches in Pubmed and Google Scholar (great tips explaining how to do this can be found at Boolean.pdf ).

Note that in Pubmed, you will need to go to “Advanced Search,” where the builder constructs the Boolean search for you (Figure 1). Pubmed offers another great strategy: you can set up citation alerts that notify you via e-mail every time one of these pivotal articles is cited. Pubmed has a tutorial on how to do this here: myncbi.html . You can control how often you receive these alerts, or adjust later based on how inundated your inbox becomes.

Google scholar offers a similar citation alert service. Go to Google Scholar, http://scholar.google.com/ , and click on “Alerts” (see Figure 2). From the next screen, click “Create Alert” (Figure 3). You can set up alerts based on Boolean searches (Figure 4), or by author . Also, since many principal authors have varied interests, you can customize by using a combination Boolean/search-by-author approach (Figure 5). Enter your e-mail address, and you’re good to go.

ORGANIZING your boatloads of papers…

Let’s back up again. Realize that unless you are a genius, you will probably have to revisit these nuggets of wisdom several times during your graduate career, particularly when you have a better grasp on the research. Also, unless you are a genius, you will find yourself wondering, “What was that paper that explained________?” This is where being organized will save you TONS of time.

I am a big fan of saving paper and not printing out reams of articles to be read and then stuffed into filing cabinets . I highly recommend a citation management program, such as Endnote . Find out which program your advisor uses (see if he or she will let you install the program on your computer). Some departments even offer this software free of charge. Not only are all of the citations in your library searchable, but you can also file them into folders based on the subject matter (Figure 6).

As you do your literature search, you download the citations into your citation manager. Most e-journals have a “download to citation manager” link. Google Scholar also recently added a very nice “Cite” function that lets you import citations directly into your citation manager (Figure 7).

You can also search PubMed from within Endnote, which saves you several steps (Figure 8). In addition, the program has a lovely feature called Cite-While-You-Write that links with Microsoft Word. No more the parenthetical “ need citation !” statements in your text. With the CWYW feature, you can pull up all of the papers in your Endnote library that pertain to your text, and with the click of one button in Word—voilà! Citations inserted (Figure 9)! You can format the bibliography later, when your behemoth is completely written—yet another convenient, automatic feature.

2) Intermediate documents: the thesis/dissertation proposal and grant applications

Think of your thesis or dissertation proposal and any grant applications as being a big first step toward the first chapter of your final document: the introduction. Preparation of these documents entails a thorough review of pertinent literature to set the stage and explain the rationale for the research you are proposing. So by this logic, you should have taken a very large bite out of the first chapter of your thesis or dissertation by the time you take your preliminary exams.

3) Methods: you do them every day, why not take the time to write them up?

In the STEM fields, theses and dissertations require a chapter devoted to methods. You have your own set of experimental and/or statistical techniques that you presumably learn from your advisor, then troubleshoot and tweak based on your specific needs. You know how you write detailed notes on the conditions of each experiment every time you do them in your lab notebook? (RIGHT?!) This is all information that you can take even an hour per week to write up in your thesis document. Check out the previous papers from your advisor to get ideas on wording, and then re-work it so it’s your own (citing relevant papers, of course). By the time you actually for-real start writing your thesis or dissertation, your methods chapter can be practically done already!

4) After the greenlight…careful planning and sticking to a schedule!

You’ve received the greenlight to “start” writing your thesis or dissertation from your committee. Now what? Well, you have a good chunk of the intro done already, right? Your chapter 2 is practically done as well! Be sure to check out the deadlines not only for getting your document to your committee, but also for depositing it with the graduate school. Wouldn’t it stink to defend your thesis in April, but not graduate until December because you missed the deadline?

Now, I will tell you a huge time-saving tip . Before you start (well, continue) writing, find a colleague who has recently turned in their thesis or dissertation and still has their final word document kicking around . Ask your colleague for permission to use their document in the following way: you are not going to copy anything in that document… EXCEPT THE FORMATTING.

You know the part where the clerk at the grad school pulls out the ruler and measures your margins, page number position and other random stuff while you hold your breath? All of that will already be in your colleague’s word document. Why re-invent the wheel? Just use the document as a template—delete ALL of the text and leave the margins and other formatting alone. (Of course, check over everything carefully before you deposit your document!) Anything you’ve written up to this point can easily be pasted into the template.

Next, agree upon deadlines : “I’ll have chapter 1 to you by________.” If you have been working ahead on your document and your reference library as described above, it should take you about a week to finish up chapter 1 (your introduction) and chapter 2 (methods). Can you do a chapter per week for each of the remaining chapters? Put the deadline in your calendar, and stick to it. Then, based on how much time you are still expected to spend in the lab, decide a set number of hours per day that you will spend on nothing but writing.

I would suggest asking your advisor for blocks of time to hole up at the library, or wherever it is that you do your best work . Then do it. You will be working weekends, no doubt, but try to work steadily and avoid all-nighters. Adjust as necessary—you may need to have an additional meeting with your advisor to request more time away from lab.

Do have a colleague read your document installments before you give them to your advisor . Run spell check and do all the basics before you offer up your baby to the red pen of death. If you really struggle with writing, or if you are not a native English speaker, there are services out there that will clean up your document on a by-the-hour basis. Spare your advisor the frustration of correcting simple errors.

Now, a caveat.

Just because you have a deadline that you are sticking to like an embedded tick does not mean that your advisor will adhere to similar deadlines in getting you edits and feedback . Many advisors, bless their hearts, are procrastinators (erm…busy with grant deadlines, writing their own papers, editing, and other important stuff that advisors do). Don’t sweat it… the ball is now in your advisor’s court, and you will now move steadily on to the next installment.

Which is due by __________in your calendar.

3) BACKUP, BACKUP, BACKUP!

And this time I do mean “backup”—as in your document. There is NO excuse for losing your thesis or dissertation . You should have MULTIPLE copies saved: on your computer, in Dropbox, on an external hard drive, etc. These copies should be clearly marked with dates in case you have to revert back to a prior version. They should also be marked after being edited by your advisor or others.

4) The final weeks

This will be a stressful time unless you are extremely lucky. It usually goes something like this: “Move this section to page 89.” Then two days later: “Put it back where it was.” Your advisor is stressed too—so try to take everything in stride.

If at all possible, try to get your thesis printed off for your committee a day or two in advance . This allows a cushion for the inevitable printer meltdown or copier jam. In my case, I got my final edits at 11 pm the night before my dissertation was due. Luckily, there weren’t a lot of changes to make, and there were no printer fiascos. I finished the edits by midnight and had the whole thing printed off by about 2 in the morning. Although I won’t say that I wasn’t completely stressed out and about to melt down myself…

You want your dissertation to look nice for your committee and to be easy for them to handle and write in . I’m a fan of bindings—I used three ring binders with pockets so that I could also include a CD with a copy of the document. But that’s not for everybody. Spiral bindings are just as good, but again, require planning because you’ll have to take your stack of documents somewhere like FedEx Kinkos. Even though it can be like herding cats to track down all the members of your committee, try to personally deliver your documents to them—not only for security’s sake, but to remind them of who you are.

I kid. Sort of.

5) After the defense

You may have loads of changes to make to your thesis or dissertation based on your committee members’ comments . You feel elated and relieved to have your defense over with. After the effects of the all-night post-defense bender have worn off, try to work diligently on the edits so that you don’t run up against the grad school’s deposit deadline. Make an appointment for a pre-check of your document to catch any formatting errors well in advance of the deadline.

Once you have deposited your thesis or dissertation with the graduate school (congratulations!), investigate how many bound copies you need. Most departments require a bound copy, as will your advisor. Then you need one, of course, and then there’s your parents…

University towns usually have at least one book bindery in addition to services on campus. There are online services as well—but be careful to check their ratings. You generally have to figure up the number of color-copy and high-resolution pages you have versus regular black and white. You send this estimate along with a digital copy of your dissertation and your selections for binding color, lettering, etc. There is something deeply satisfying about finally holding that beautifully bound book—that YOU wrote—in your hands at last.

In summary, it is possible to write your thesis or dissertation in under a month with good preparation, organization, and planning . The end result makes it all worthwhile. Keep in mind that if you move on to a postdoc or any other position that requires writing papers and grants, these same strategies apply.

Rule of Three: advice on writing a PhD thesis

PhD students sometimes get the same bad advice on writing their thesis. I call this advice the Rule of Three . Typically, they get told that their thesis:

  • Will take 3 months to write
  • Should have 3 results chapters
  • Should be 300 pages

These bits of advice have one thing in common: they are all wrong.

  • If you have been organised (see below), it should not take 3 months to write a PhD thesis. It certainly shouldn’t involve leaving the lab 3 months before your hand-in date to write up.
  • Theses can have one results chapter or they can have more. How many chapters depends on your project, and your results. Trying to make three results chapters out of one chapter ends up in a weak or overlong thesis.
  • A thesis is like a piece of string and it will be as long as it needs to be. Aim for brevity and not producing a magnus opus (see below).
Disclaimer: what follows is some different advice. As with all “advice”, your mileage will vary. It is written for the people in my lab but likely applies to UK PhD students doing biomedical research.

Rule 1: aim for a thesis that is good enough

Who will read your thesis? Two people. Your examiners. OK, some parts – such as the Methods section – will be useful to future lab members (although with electronic lab notebooks this function is becoming redundant). Maybe your thesis will be downloaded by someone from the repository, but essentially, it will only be read by your examiners.

How long does an examiner spend reading your thesis? A few hours. One day maximum. They simply have no more time. Do you really want to spend three months of your life writing something that will be read for just a few hours by two people?

It’s for these reasons that spending too much effort writing a perfect thesis is a waste of time. It just needs to be good enough.

As well as being just good enough, it only needs to be long enough . A big mistake students make is to produce a really long thesis because they think that that is what theses should be (rule of 3). What happens is the examiner will receive the thesis, look at how many pages there are, subtract the bibliography, and their heart will sink if it is too long.

You might now be wondering: is writing a thesis a waste of time?

No, because you have to do it to get your PhD.

No, because you learn important writing skills. You also learn how to assemble a large document (it’s often how students learn to use Word properly or up their LaTeX game). It’s good training for writing papers and other technical documents down the line. Employers know this when they hire you.

But that is about it. So you just need to write something that is good enough to pass.

Rule 2: prioritise papers and the thesis will follow

Papers are the priority. They are more useful to you and to your PI. But this advice isn’t motivated by self-interest. If you go into the viva and the work in your thesis is already peer reviewed and published, it’s harder for the examiners to criticise it. At least, they will not approach your thesis with the question: is this work publishable? This is one criteria for passing your PhD, so demonstrating that it is publishable means you are (almost) there.

This was the one bit of advice I received when doing my PhD and it is still true today. OK, it is harder these days to get a first author paper published before you submit your thesis. However a preprint on bioRxiv before you begin writing will help you to prepare your thesis and will still tick the publishable box.

How long should it take to write your thesis?

There is tension here because you are at your most useful in the lab as you near the end of your PhD. One week of labwork now is worth one month (or more) earlier in your PhD. You are most valuable to your lab/PI/science/career at this point and keeping working in the lab will yield more rewards. But it won’t get your thesis written.

The first bit of writing is busywork and can be done around lab work. “Deep writing” and reading does need time away for most students.

If you have only collected data in the lab and not analysed it, if you’ve not presented your work very often, if you are disorganised… yes, it will take you a full three months to write your thesis.

All the folks in my lab are encouraged to get figures ready, analyse as they go and they also give regular talks. It should not take anyone in this position three months away from the lab to write their thesis.

Agreeing a timeline with your PI for when you begin writing is really important. Regular deadlines and a commitment to timely feedback from your supervisor make thesis writing easier. The discussion needs to be based on facts though. Often students want to budget a lot of time to writing, because of the rule of 3 or because they believe they are “bad at writing”. It helps to see some evidence. Writing draft chapters earlier in the PhD – which is a requirement at some universities – can reveal difficulties and weaknesses.

Reality check

If you hear the rule of 3 from everyone and your supervisor is giving you different advice. It might be time for a reality check. Have a look at past theses from the lab. How long were they? How many chapters? Information is good.

You can see that all theses are fewer than 300 pages in length, many substantially so. Four have three chapters and two have two. Although looking closer, two of the theses with three chapters use a results chapter as an expanded methods chapter.

Ultimately, the thesis is your work but you will get input from your supervisor. Regardless of what is written here or how many people tell you about the rule of 3, your supervisor will have their own ideas about how your thesis should be. Agreeing a sensible plan with them is the way to get started productively.

Getting started

This is not a comprehensive guide but in order to write a good enough thesis, you first need a plan.

  • Make a figure list. This should be every single figure you can think of. You can cross off ones you don’t need later if they don’t fit or are insignificant.
  • Plan the narrative. There is usually more than one way to put together the figures to make a thesis. Be prepared for this to change after you start writing! Sometimes the writing process reveals ways in which the narrative should be rearranged.
  • How many results chapters? Start with the idea that you will have one. Does it need dividing? If yes, then what are the titles of the two chapters? If you have difficulty titling them you may need to split to a 3rd.

Now you have a plan. It’s time to get going.

Set some goals – but make them small. Having a goal of “I am going to complete my thesis” is too demoralising. You need to feel like you are making progress constantly to stay motivated. Break it down into smaller chunks. “I will finish this chapter by next Friday”. “I will write the cloning section this morning and then go for a walk”.

Write the materials and methods first . It’s the easiest bit to write because it is all technical writing with little wordcraft required. You can fit it around labwork. In fact, it is easier to write whilst in the lab because you can look up all the stuff you need. Importantly, it gets over the “blank page syndrome”.

Next get your figures together . This should already be done if you have been organised.

Then write the figure legends . You already have the title for each figure from your plan. All you need to do is describe each panel. Again, quite low energy writing required for this task.

Now write the results sections ! This is the same way that we put papers together. The results parts of the thesis are more extended but in principle you will guide the reader though the figures that you’ve made. Remember, you already have the legends written. So you are already partly on your way.

Time to regroup . At this point you can refine your plan for the introduction and check the rest of your plan still makes sense. Now is the time for some deep writing and reading.

Elements to include in a 3-year PhD timeline

What to include in a 3-year PhD timeline depends on the unique characteristics of a PhD project, specific university requirements, agreements with the supervisor/s and the PhD student’s career ambitions.

For instance, some PhD students write a monograph while others complete a PhD based on several journal publications. Both monographs and cumulative dissertations have advantages and disadvantages , and not all universities allow both formats. The thesis type influences the PhD timeline.

The most common elements included in a 3-year PhD timeline are the following:

The example scenario: Completing a PhD in 3 years

Many (starting) PhD students look for examples of how to plan a PhD in 3 years. Therefore, let’s look at an example scenario of a fictional PhD student. Let’s call her Maria.

In order to complete her PhD programme, Maria also needs to complete coursework and earn 15 credits, or ECTS in her case.

Most PhD students start their first year with a rough idea, but not a well-worked out plan and timeline. Therefore, they usually begin with working on a more elaborate research proposal in the first months of their PhD. This is also the case for our example PhD student Maria.

In fact, in real life, many PhD students spend four years full-time to complete a PhD based on four papers, instead of three. Some extend their studies even longer.

The first year of a PhD programme can be overwhelming. The success of a dissertation in many fields depends on the polish, iterations and revisions the research has undergone. So, what you do, what habits and routines you set up in the first year, will make a difference to the result at the end.

The first year is also crucial for learning – not least because neuroplasticity wanes as one grows older (as does the amount of time before the defence ). First-year doctoral students might be exempt from research-related events such as conferences, brown-bag seminars and faculty talks, yet there is no time for complacency.

Here are insider tips for making the most of the first 12 months. 

Start writing as soon as possible

Do not let provocative articles that explain how to write a PhD dissertation in three months delay the start of your writing. Unless you are John von Neumann or Paul Erdős (which you are not), it is impossible to write a proficient thesis in three or even six months.

  • What is your academic writing temperament?

Your early writing does not have to be grandiose or purposeful. It can begin with any thought related to your topic of study. In applied sciences, a good starting point is describing an output table or interpreting a few plots in simple language, as most applied research articles include a Discussion section where findings are explained in layman’s terms. If your work is more theoretical, any attempt at a derivation or a proof is valuable. Even a well-crafted email to your adviser can become the foundation stone. Generate as much material as possible, and you will have plenty to choose from for the thesis.

Iterations take time and effort. Reflection and re-evaluation are essential for shaping one’s ideas.

Give yourself the earliest opportunity to pick up the language appropriate for academia by receiving criticism and suggestions on your writing. Your first research poster will probably look amateurish, and your first empirical analysis will likely yield mixed conclusions – but this is not a cause for concern. Babies learn to walk by trying, falling, getting up and trying again.

Remember that chapters are not the endgame

Your PhD should reflect a deeper understanding of the subject, and this does not come overnight. It results from pumping large volumes of information into one’s head and allowing it to roam among the neurons.

Attend conferences, seminars and courses outside the university to hone your skills because the chapters are not the final goal. Presentations at informal seminars in front of one’s colleagues are a reliable way to build horizontal networks with postdocs, other students and specialists.

Keep a research diary

Document your methods, results and ideas in a research diary. If you are not writing the thesis in your native language, jot down ideas in your preferred language. A notebook of ideas is invaluable during meetings with your supervisor. It is easier for them to give feedback on clearly written statements.

Communication with your supervisor, positive or negative, can be a part of the research diary. It often takes extra effort to prove to a professor that their ideas need refinement. Reinforce your points with plots, tables and other printed material that will help you cast your mind back after a couple of years. Professors may lag behind the state of the art if the subject is outside their research interests – read the best practices in the field, take notes and share them during discussions.

Back up your work

Always make backups, even after small steps, because old versions and old results are valuable if you need to retrace your train of thought. The most convenient option is setting up a trustworthy cloud synchronisation service that automatically saves everything you write and stores multiple versions. If you do not trust those providers, synchronise your working folder with an external storage device every week or set up a self-hosted home cloud. Remember the 3-2-1 principle: have three versions of your data – two on different physical media and one on the server of your choice.

Work in small increments 

List small tasks for each day and set deadlines for yourself. It is normal to work harder on some days and make less effort on others. The flexibility of a PhD researcher’s job allows you to get the most out of your rushes of inspiration.

Punctuate stints of work with exercise breaks. Health directly impacts the clarity of thinking, so set a timer to stretch out and do sit-ups every hour (for example). There might be swimming pools, gyms or sports classes nearby. Student groups often organise collective events (like hiking or yoga) and provide free tickets for cultural events.

What to do when motivation flags

Other academic activities on campus may be more engaging than writing the thesis. With summer schools, conferences and workshops, it is easy to lose track of time and neglect your work. Writer’s block is another reason to postpone writing . Certain PhD students focus on teaching, believing that their foremost duty is to be helpful teaching assistants or exam invigilators.

Everything takes time, even if one considers Hofstadter’s law , which is why we present a list of tips on what to prioritise to free up time that would otherwise be wasted on non-thesis-related tasks.

  • Write in plain text and do the formatting last. 
  • Get a distraction-free plain-text editor that autosaves your input and restores it, even after a power outage.
  • Type long passages instead of hand-writing to eliminate the need for retyping.
  • Create figures using preferably free and open-source software; avoid relying on Microsoft Office.
  • Use specialised software like JabRef or Zotero to arrange bibliographies and citations.
  • Do not tolerate software quirks. Demand the right to install open-source tools from your IT team without needing support tickets.
  • Do not try to solve bureaucratic or logistical problems outside your competence; there are non-research university personnel for those.

Writer’s block or frustration can result from stress. Being stuck at a certain point and without the courage to move forward is not uncommon in any job, including research positions. Should the stress pile up to the extent that it causes physical or mental unwellness, contact a healthcare provider and do not hesitate to book an appointment with a psychologist.

One possible remedy for writer’s block is switching to literature review. Prior reading is essential for smooth writing. The more you learn, the more you can say about the subject. Alternatively, you may try to process measurement data, prove a lemma, create a plot or engage in any other part of research that does not involve writing out words.

Finally, get enough sleep (at least on average). Force yourself to stop working in the evening and go home. If the crickets start chirping when you are still at your office, it is a sign to clock off.

Know How to Structure Your PhD Thesis

In your academic career, few projects are more important than your PhD thesis. Unfortunately, many university professors and advisors assume that their students know how to structure a PhD. Books have literally been written on the subject, but there’s no need to read a book in order to know about PhD thesis paper format and structure. With that said, however, it’s important to understand that your PhD thesis format requirement may not be the same as another student’s. The bottom line is that how to structure a PhD thesis often depends on your university and department guidelines.

But, let’s take a look at a general PhD thesis format. We’ll look at the main sections, and how to connect them to each other. We’ll also examine different hints and tips for each of the sections. As you read through this toolkit, compare it to published PhD theses in your area of study to see how a real-life example looks.

Main Sections of a PhD Thesis

In almost every PhD thesis or dissertation, there are standard sections. Of course, some of these may differ, depending on your university or department requirements, as well as your topic of study, but this will give you a good idea of the basic components of a PhD thesis format.

  • Abstract : The abstract is a brief summary that quickly outlines your research, touches on each of the main sections of your thesis, and clearly outlines your contribution to the field by way of your PhD thesis. Even though the abstract is very short, similar to what you’ve seen in published research articles, its impact shouldn’t be underestimated. The abstract is there to answer the most important question to the reviewer. “Why is this important?”
  • Introduction : In this section, you help the reviewer understand your entire dissertation, including what your paper is about, why it’s important to the field, a brief description of your methodology, and how your research and the thesis are laid out. Think of your introduction as an expansion of your abstract.
  • Literature Review : Within the literature review, you are making a case for your new research by telling the story of the work that’s already been done. You’ll cover a bit about the history of the topic at hand, and how your study fits into the present and future.
  • Theory Framework : Here, you explain assumptions related to your study. Here you’re explaining to the review what theoretical concepts you might have used in your research, how it relates to existing knowledge and ideas.
  • Methods : This section of a PhD thesis is typically the most detailed and descriptive, depending of course on your research design. Here you’ll discuss the specific techniques you used to get the information you were looking for, in addition to how those methods are relevant and appropriate, as well as how you specifically used each method described.
  • Results : Here you present your empirical findings. This section is sometimes also called the “empiracles” chapter. This section is usually pretty straightforward and technical, and full of details. Don’t shortcut this chapter.
  • Discussion : This can be a tricky chapter, because it’s where you want to show the reviewer that you know what you’re talking about. You need to speak as a PhD versus a student. The discussion chapter is similar to the empirical/results chapter, but you’re building on those results to push the new information that you learned, prior to making your conclusion.
  • Conclusion : Here, you take a step back and reflect on what your original goals and intentions for the research were. You’ll outline them in context of your new findings and expertise.

Tips for your PhD Thesis Format

As you put together your PhD thesis, it’s easy to get a little overwhelmed. Here are some tips that might keep you on track.

  • Don’t try to write your PhD as a first-draft. Every great masterwork has typically been edited, and edited, and…edited.
  • Work with your thesis supervisor to plan the structure and format of your PhD thesis. Be prepared to rewrite each section, as you work out rough drafts. Don’t get discouraged by this process. It’s typical.
  • Make your writing interesting. Academic writing has a reputation of being very dry.
  • You don’t have to necessarily work on the chapters and sections outlined above in chronological order. Work on each section as things come up, and while your work on that section is relevant to what you’re doing.
  • Don’t rush things. Write a first draft, and leave it for a few days, so you can come back to it with a more critical take. Look at it objectively and carefully grammatical errors, clarity, logic and flow.
  • Know what style your references need to be in, and utilize tools out there to organize them in the required format.
  • It’s easier to accidentally plagiarize than you think. Make sure you’re referencing appropriately, and check your document for inadvertent plagiarism throughout your writing process.

How long does it take to write a PhD thesis?

My short answer is 68 days, but please read the detail below…

As a PhD supervisor I have often been asked ‘How long do you think it will take me to write up my thesis?’ My answer always begins ‘It depends…’ We then continue the conversation with an audit of material already drafted that may contribute (in edited format) to the final thesis. These include the initial literature review from the first year transfer report, and posters, conference papers and journal articles presented and/or published from the on-going work.

For example third year PhD student John Mowbray , who is currently based within the Centre for Social Informatics (CSI) at Edinburgh Napier University , has a strong basis for his literature review chapter in the form of a conference paper delivered at CoLIS 2016 , which is due to be published in full in Information Research later this year. Similarly John’s fellow student Frances Ryan has already published an account of research design for her study. This paper will underpin the writing of her methods chapter.

Then we consider less formal sources, such as any discussions or debates that the student has documented publicly elsewhere, for example in blog posts. See, for instance Lyndsey Jenkins ‘ recent thoughts about the importance of research domain at http://lyndseyjenkins.org. These may well contribute to a section of Lyndsey’s methods chapter when she comes to write up her work in 2018.

The students also have ‘non-public’ material about their work that will be adapted for their theses. These include interim reports for their supervisors and/or other stakeholders. For example, last semester CSI PhD student Iris Buunk wrote a report on some of the empirical work that she has conducted for the body that gave her access to survey respondents. Handwritten ideas and remarks kept in notebooks over the course of PhD registration are also very valuable ‘private’ resources.

Once we have completed this audit, the challenge of transforming all the work completed to date into an 80,000 word thesis appears not to be so great – but of course, it still all needs to be done!

Records from writing up my own PhD have also recently served as another source for answering questions about preparing the main output of the doctoral study. I undertook my PhD part-time over a period of just over four years while working full-time. Throughout this period there were weeks when I could not progress my work at all. This was largely due to other commitments in intensive periods related to teaching such as the marking season towards the end of each semester. There were other times when it was much easier to devote myself to my PhD. For example, I took annual leave in University vacation time for this purpose (rather than went away on holiday). To guard against losing track of my PhD at times when I was too busy to devote any time to it I kept detailed notes of my progress. As a result of this, I know exactly how much time I spent writing up each chapter for the final version of the thesis. Although all PhD theses are different, the proportion of time on each type of chapter may be helpful to those who have resolved to submit their theses in 2017.

In total it took me 68 days to write up my thesis (NB 68 to write up the work, not 68 days to complete the PhD!) This is the equivalent of approximately 14 working weeks, assuming a five day week. It needs to be borne in mind, however, that I was a part-time student. In practice the writing up was done over the last seven months of the four and half years in which I worked on the entire doctoral study.

The largest portion of the writing-up time – around three quarters – was spent on the two chapters that related the findings of my research, and about a fifth on the discussion chapter. My literature review took very little time to write up (just 5 days) because I had already presented much of it in published form. The methods and conclusions chapters did not take very long either (3.5 and 2.5 days respectively) largely because their content was straightforward. My introductory chapter was very short at a page and a half and was thus drafted in just a couple of hours.

As might be deduced from the time allocations given above, I found the results and discussion chapters most heavy-going. The former was due to the quantity of empirical data to convert into a fluent account of the findings, and the latter because of the intellectual challenge of expressing the meaning of the findings and how the outcomes of my study represented an original contribution to the domain. However, once these two elements were ‘cracked’ it was a relatively easy task to pull all the other chapters together.

If you are reading this blog post as a PhD student in the later stages of your work, I would advise you to be prepared for the long haul of writing up your results and the discussion chapters, and ensure that you allocate a high proportion of your write-up time to these accordingly. It is also worth noting that I found that the closer I came to the target of completing my write-up, the more important it was for me to avoid other distractions. You cannot control for all of them (for example, illness), but I would caution against getting actively involved in anything that will take you away from your PhD at this intensive stage, such as planning a big event (for example, a major holiday, a house move, or a family wedding) or starting a new job.

If you are still in the early stages of your doctoral study, my first piece of advice is to plan your conference participation and journal paper publishing activity with the final thesis in mind. Be selective and strategic so that you prioritise engagement in external events that are valuable to the completion of your thesis and/or your future career. Each piece of work that you present externally should progress your study by encouraging you to write-up as you go along (for example in the form of a poster, a set of slides, a full paper), defend your ideas in person within your academic community, seek feedback on work completed to date, and solicit advice on the later stages. You should also be documenting any thoughts or ideas that may be valuable to writing up in a format that make sense to you, whether this be in a set of handwritten notes or in a more public format such as a series of structured blog posts.

I am planning to write a thesis in three months. How to be more organised towards writing and get the first draft ready in three months? Has anyone written the first draft of the thesis in three months or so?

I have some writing done already as I have published some conference and workshop papers.

  • 1 There’s no one-size-fits-all answer; it’s totally dependent on your specific circumstances, psychology, and work habits. If you’re typically good at working fast under pressure, and have already done most of the research for the thesis, then it’s definitely possible (I wrote almost all my thesis in the last 3 weeks before the deadline, following 6 months of complete writer’s block). If you’re not so experienced at writing quickly under pressure, or if the research isn’t sufficiently prepared, then this is a bit of a gamble and will need more discipline. Make an outline and a schedule, then follow the schedule. Include time for revision and feedback in your schedule.

If you know all the content already, the writing can be done much faster than that. In my field, it is only necessary to write about 90 generously spaced pages, so three months is less than a page a day. In more verbose fields, your thesis need not be more than 500 pages, so that's an achievable 6 pages a day.

The real problem is when you do not know the content you need to write - that part we cannot help with here.

I wrote my thesis in 10 days. Granted, I was well published before, so 3/4 of it was a cut and paste.

This was 90s so I had to use lab computer for typing. Went in at night and typed. Then did a morning run, ate breakfast and slept. Avoided distractions from lab group.

Avoided complicated LaTex and just did it old school. Even xeroxed in figures versus fancier drafting program. Did individual chapters to correspond to papers. Picked easiest endnote system (by chapter). I think I even did individual files by chapter because Word got complicated trying to do multichapter work.

At the end of the day, it's pass fail. Just get it done.

  • 2 @chepner: Depending on your country, field, grading system, employer, and the grade difference, it might. For example, if I were to higher people with a PhD in my field from Germany and they got the lowest or second-lowest passing grade for their thesis, this would at least make for a question in the job interview. –  Wrzlprmft ♦ Commented Jan 6, 2019 at 17:58

  • 2 @DDuck using sensible document preparation practices, differences of basic format should be a complete non-issue to address. In LaTeX, it's a matter of changing some header declarations to denote a different desired arrangement. In Word, it's a matter of using page and text styles in a disciplined manner, rather than manually doing things like bolding and centering each heading. –  Phil Miller Commented Jan 6, 2019 at 20:45

Having done this myself, one thing I did was work at certain desks in the stacks at my college library that happened to have metal walls. This acted as a Faraday cage, blocking all wifi and cell phone signals. It was very helpful for focus, while a the same time allowing me to easily access the internet if I needed to look up a paper simply by standing up and walking out of the work area. You may not have something similar, but the key issue of removing easy distractions like phones and especially the internet is very important.

Similarly, I would suggest not using your personal laptop to do this--it's another way for distractions to creep in. You'll want something that can download papers, compile TeX, and pretty much nothing else. You may be able to get a loaner laptop from your department for work purposes or get an old used laptop for cheap.

I also heavily relied on copy and paste from my previous papers, and even some of my advisor's papers. Obviously the sections from my advisor's papers had to be rewritten, but it gave me a complete draft, which was a big change psychologically. Having a complete document that needs lots of revisions is way different from having an incomplete document, even if the amount of work left to do is similar.

One last thing--keep a regular sleep schedule that gets 8 hours of sleep and involves waking up before 8. This is something grad students are notoriously bad at, but you'd be amazed at how much better you feel.

  • Thanks. I think getting the first draft by copy and pasting the papers is a great idea. At least, this will give a big picture and then revising them to smooth out the transitions between chapters will get the whole thing in a good shape. Initially, I was thinking to go chapter by chapter, but now I think I will get the first draft by copypasting and then revising chapter by chapter. I found spending at least some time (a few hours/week) with a 'writing group' of people similarly in need of a focus on writing to be very helpful. We booked a conference room, took turns bringing in coffee and snacks to share, and set a common timer for when we'd take breaks. Even without any mutual accountability (we were all in totally separate fields, working on our own theses and papers), the shared goal was a strong force to keep us focused and averse to our own distractions.

Procrastinated and now I have 1 month to write my thesis

I majorly screwed up, I've had massive problems with anxiety/procrastination and focus around schoolwork since high school and my thesis that I could've been working on since January (original due date was May, I got it extended to stay a student for longer and do another internship), and I need to defend it by the end of September and turn it in 10 days before the defense minimum. The requirements aren't crazy as it has to be 40 pages and I'm not collecting data, I'll use secondary data.

I'm also working currently so I don't have unlimited free time. But now I'm getting seriously worried the task isn't possible. I feel like I need to go into hardcore mode and spend all free time working on it. The task just seems so insurmontable (thus the anxiety that's gotten me into this place) and I'm terrified of failing and not being able to graduate.

Does anyone have any suggestions? I know it's easy enough to say "just get started" but I've been trying to tell myself this/people have been telling me for months....

Consider the following discussion. A student tells me, “I have so much going on right now. I’m trying to write this dissertation, take care of my mom and raise my kids. I’m giving to everyone else and have nothing left to write.”

“Thanks for sharing,” I respond. “Have you reached out to your adviser to discuss what is happening and see what resources you might be able to access?”

“My adviser said they will meet with me when I have a document ready for them to review. They are too busy,” the student says. “I’ve just been struggling in silence and don’t know what to do.”

This conversation highlights the reality for many doctoral students—they may experience hardships in silence. The doctoral journey is an interesting experience during which students are provided structure through coursework and then, once they enter the dissertation phase, that structure is removed. They usually are in a position where they have to manage everything themselves.

As faculty members, we try to provide the space of intellectual curiosity for our students and allow them to explore their dissertation topics. However, while we want students to be independent, our practices can signal that we are not available to support them when they need it. What are some strategies that we should consider implementing to support our students who too often struggle in silence? Below are three that I have implemented in my chairing process.

Create an environment where students can share. Students want to meet our expectations and standards. Yet in efforts to not burden us, some students may choose not to reach out to us when they are experiencing challenges. In some instances, they also do not come to us due to the fear—and, at times, the reality—that they will face adverse consequence for doing so. While that can occur during the coursework phase, it is even more common when students are writing their dissertations, because they believe they must be independent scholars and figure everything out on their own.

To combat those situations, we as dissertation chairs must first create an environment where students can feel comfortable to share what they are going through. One simple way to foster that type of relationship is to first ensure that you make time to meet regularly with your advisees. While that may seem to be an obvious practice, I often hear from doctoral students, like the one in the opening vignette of this article, that they find it challenging just to get on their chair’s calendar. That can unintentionally signal to them that we as faculty members are not available. As a faculty member, I know we have many demands on our time. To support my students, I have dedicated times each week when students can meet with me as needed. Making the time consistent on my calendar allows me to ensure other activities do not get in the way of meeting with students. To be more efficient, I created a special Calendly meeting link that has time slots open for students to schedule.

Programs should also have regular faculty meetings to discuss student academic progress, along with any well-being challenges such as mental health and/or life challenges. Sometimes a student is more comfortable talking with a faculty member who is not on their dissertation committee, and having such conversations can provide a space for all faculty members to learn what is going on and potentially troubleshoot before a student’s difficulties gets worse.

Choose your words with care. As dissertation chairs, our words hold significant power with our advisees. Those words become even more important when our students are experiencing personal and/or professional challenges. To illustrate this point, I offer you one word that, when used, can be a trigger for students: concern.

Students have told me that if we use the word “concern” when talking with them, it signals something is drastically wrong with what they are doing. So if I am relaying information—especially feedback—to students, I ask myself the following before I speak:

  • Is what I need to share truly a concern? For example, some students receive a concern comment when minor or moderate editorial changes—grammar, syntax, formatting and the like—are needed. While those must be fixed, they don’t usually rise to the level of concern that impacts the integrity of the study, a misalignment between the research questions and methodology.
  • Can I express my thoughts in a more detailed way rather than just expressing concern? In the example above, if I thought the student’s editorial work needed updates, I would explain that to them and provide examples on how the student can make the changes that I am requesting.

I am certainly aware that interpretation is important, but while students can take feedback from us on their work, I have learned to be reflective about what I say. It can influence their self-confidence, a key component for completing the dissertation process.

Understand your role is not a problem solver but solution facilitator. When I talk with other faculty members, some are quick to declare they are scientists, not therapists, so supporting their students’ distinct life challenges isn’t in their job description. I also agree that it’s not our role as faculty members to solve students’ problems for them. But we can provide a listening ear and, most of all, connect students to the various resources that can support them in their decision making.

For instance, a chair I know was advising a doctoral student who was communicative when writing their proposal and moved through the process fairly quickly. Then, after the student collected their data, the chair noticed that the student slowed down their progress and that when they met the student exhibited some uncharacteristic behaviors. Fortunately, the two had established a positive rapport, so the faculty member was able to learn that the student was unexpectedly taking on caregiving responsibilities for a sibling while experiencing some housing instability. In that case, the faculty member was able to connect the student with a campus resource for caregivers and, through it, the student was able to find housing support.

I know many faculty members are already engaging in the practices that I’ve suggested, but I continue to encounter doctoral students at the dissertation phase who are suffering in silence.
