You will have to prepare a number of materials for employers while looking for a job. One type of document is the cover letter, which is included with your resume when requesting a job interview. An effective cover letter is directed towards a specific position or company, and describes examples from your experience that highlight your skills related to the role.

You want to convince the reader that your interest in the job and company are genuine and specific. You also want to demonstrate ways that your experience has prepared you for the role by sharing a few brief stories that highlight your qualifications. This takes time and research; use the job description and the company’s web site or LinkedIn page to identify traits and skills the company values.

Cover letter structure and format

A cover letter should be no longer than one page with a font size between 10-12 points. Be sure to include your contact information and address it directly to the hiring manager, using their name. If you are not sure who to address the letter to, write “Dear Hiring Manager.” If the role you are applying for has a reference number or code, be sure to include it in your letter so that human resources is able to accurately track your application. The reference code is usually included

Introduction (1st paragraph)

  • State clearly in your opening sentence the purpose for your letter and a brief professional introduction.
  • Specify why you are interested in that specific position and organization.
  • Provide an overview of the main strengths and skills you will bring to the role.

Example : I am a second year master’s student in MIT’s Technology and Policy Program (TPP) writing to apply for a consulting position in Navigant’s Emerging Technology & Business Strategy group. After speaking with John Smith at the MIT career fair, I realized that Navigant’s values of excellence, continuous development, entrepreneurial spirit, and integrity align with the principles that guide me every day and that have driven me throughout my career. Moreover, I believe that my knowledge of the energy sector, passion for data analysis, polished communication skills, and four years of consulting experience will enable me to deliver superior value for Navigant’s clients.

Body (2-3 paragraphs)

  • Cite a couple of examples from your experience that support your ability to be successful in the position or organization.
  • Try not to simply repeat your resume in paragraph form, complement your resume by offering a little more detail about key experiences.
  • Discuss what skills you have developed and connect these back to the target role.

Example : As a graduate student in MIT’s Technology and Policy Program, I spend every day at the cutting edge of the energy sector. In my capacity as an MIT Energy Initiative research assistant, I use statistical analysis to investigate trends in public acceptance and regulation related to emerging energy technologies. Graduate classes in data science, energy economics, energy ventures and strategy, and technology policy have prepared me to help Navigant offer the expert services that set it apart from competitors. Furthermore, I will bring Navigant the same leadership skills that I used as the student leader for the MIT Energy Conference’s Technology Commercialization round-table, and as the mentorship manager for the MIT Clean Energy Prize.

Even before MIT, my four years of work experience in consulting—first at LMN Research Group and then at XYZ Consulting—allowed me to develop the skillset that Navigant looks for in candidates. As a science writer and policy analyst at LMN Research Group, I developed superb technical writing and visual communication skills, as well as an ability to communicate and collaborate with clients at federal agencies such as EPA and DOE. Closing (last paragraph)

  • Restate succinctly your interest in the role and why you are a good candidate.
  • Thank the reader for their time and consideration.

Example : I take pride in my skills and experience in several domains: critical thinking and analysis, communication, and leadership. I note that Navigant values these same ideals, and I very much hope to use my abilities in service of the firm and its clients. Thank you for your time and consideration, I look forward to speaking with you further about my qualifications.

Additional cover letter tips

  • Be sure that each cover letter is specifically tailored to the company you are writing to. Research the company to help you determine your approach. Check the company’s website and other resources online. You can also use MIT’s extensive alumni network through the Alumni Advisors Hub to seek first-hand knowledge, advice, and insight about the company.
  • Are you seeking a position in a field or industry that does not have an obvious parallel or connection to your academic training? Be explicit about why you are interested in that particular field, organization or job, and what value you bring. For example, if you are an electrical engineer applying to a finance or consulting position, highlight your quantitative skills and ability to problem-solve.
  • If you are applying for a summer job or internship and do not yet have any experience that is directly related to the position, focus on transferable skills that will add value to the role – leadership, communication, problem-solving, project management, etc.

Repeat your contact information (name, phone number, and email) at the end of the letter, just in case the employer needs it for quick reference.

Remember to keep your cover letter concise and focused. It should typically be no more than one page in length. How to write a good cover letter (with examples)

The best letters are unique, tailored to the job description, and written in your voice — but that doesn’t mean you can’t use a job cover letter template.

Great cover letters contain the same basic elements and flow a certain way. Take a look at this cover letter structure for ref erence while you construct your own.

1. Add a header and contact information

While reading your cover letter, the recruiter shouldn’t have to look far to find who wrote it. Your document should include a basic heading with the following information:

  • Pronouns (optional)
  • Location (optional)
  • Email address
  • Phone number (optional)
  • Relevant links, such as your LinkedIn profile , portfolio, or personal website (optional)

You can pull this information directly from your CV. Put it together, and it will look something like this:

Alternatively, if the posting asks you to submit your cover letter in the body of an email, you can include this information in your signature. For example:

2. Include a personal greeting

Always begin your cover letter by addressing the hiring manager — preferably by name. You can use the person’s first and last name. Make sure to include a relevant title, like Dr., Mr., or Ms. For example, “Dear Mr. John Doe.”

Avoid generic openings like “To whom it may concern,” “Dear sir or madam,” or “Dear hiring manager.” These introductions sound impersonal — like you’re copy-pasting cover letters — and can work against you in the hiring process.

Be careful, though. When using someone’s name, you don’t want to use the wrong title or accidentally misgender someone. If in doubt, using only their name is enough. You could also opt for a gender-neutral title, like Mx.

Make sure you’re addressing the right person in your letter — ideally, the person who’s making the final hiring decision. This isn’t always specified in the job posting, so you may have to do some research to learn the name of the hiring manager.

3. Draw them in with an opening story

The opening paragraph of your cover letter should hook the reader. You want it to be memorable, conversational, and extremely relevant to the job you’re pursuing. 

There’s no need for a personal introduction — you’ve already included your name in the heading. But you should make reference to the job you’re applying for. A simple “Thank you for considering my application for the role of [job title] at [company],” will suffice.

Then you can get into the “Why” of your job application. Drive home what makes this specific job and this company so appealing to you. Perhaps you’re a fan of their products, you’re passionate about their mission, or you love their brand voice. Whatever the case, this section is where you share your enthusiasm for the role.

Here’s an example opening paragraph. In this scenario, you’re applying for a digital marketing role at a bicycle company:

“Dear Mr. John Doe,

Thank you for considering my application for the role of Marketing Coordinator at Bits n’ Bikes.

My parents bought my first bike at one of your stores. I’ll never forget the freedom I felt when I learned to ride it. My father removed my training wheels, and my mom sent me barrelling down the street. You provide joy to families across the country — and I want to be part of that.”

4. Emphasize why you’re best for the job

Your next paragraphs should be focused on the role you’re applying to. Highlight your skill set and why you’re a good fit for the needs and expectations associated with the position. Hiring managers want to know what you’ll bring to the job, not just any role.

Start by studying the job description for hints. What problem are they trying to solve with this hire? What skills and qualifications do they mention first or more than once? These are indicators of what’s important to the hiring manager.

Search for details that match your experience and interests. For example, if you’re excited about a fast-paced job in public relations, you might look for these elements in a posting:

  • They want someone who can write social media posts and blog content on tight deadlines
  • They value collaboration and input from every team member
  • They need a planner who can come up with strong PR strategies

Highlight how you fulfill these requirements:

“I’ve always been a strong writer. From blog posts to social media, my content pulls in readers and drives traffic to product pages. For example, when I worked at Bits n’ Bikes, I developed a strategic blog series about bike maintenance that increased our sales of spare parts and tools by 50% — we could see it in our web metrics.

5. End with a strong closing paragraph and sign off gracefully

Your closing paragraph is your final chance to hammer home your enthusiasm about the role and your unique ability to fill it. Reiterate the main points you explained in the body paragraphs and remind the reader of what you bring to the table.

You can also use the end of your letter to relay other important details, like whether you’re willing to relocate for the job.

When choosing a sign-off, opt for a phrase that sounds professional and genuine. Reliable options include “Sincerely” and “Kind regards.”

  • Show, don’t tell . Anyone can say they’re a problem solver. Why should a recruiter take their word for it if they don’t back it up with examples? Instead of naming your skills, show them in action. Describe situations where you rose to the task, and quantify your success when you can.
  • Be honest . Avoid highlighting skills you don’t have. This will backfire if they ask you about them in an interview. Instead, shift focus to the ways in which you stand out.

Many people skip over the idea of writing a cover letter because they can be difficult to write, especially if you’re applying for your first job. This is a mistake! In fact, your cover letter is one of the most important parts of the hiring process and should be written to the best of your ability.

Why Are Cover Letters Important?

Your cover letter is one of the first impressions you will make on a company. Even if you already have a recommendation from a current employee, there will be people in the company who will read your resume and cover letter before you proceed to the next stage of the hiring process. And to those people, these documents will be their first impression. You know what people say, “first impressions stick.”

When you reach out to a company, you want to tell them a story about yourself and how you’re going to help them meet their goals. Your resume will outline your skills and past experience, sure, but your cover letter will back up what you’ve said in your resume and give you the opportunity to explore your interest in a certain position with more depth. 

Most importantly, your cover letter, which can take many formats, can be highly personalized for each company. This is a chance for you to tell them your story. 

What Is the Purpose of a Cover Letter?

The cover letter is still an expected attachment to a resume and serves as the first impression a candidate will make on a potential employer. Your cover letter gives you the opportunity to talk about why you’re interested in the position and how you would uniquely contribute to the organization. Everyone may use the same format for their resume—listing their skills, qualifications, and more—but in the cover letter, you can get more creative. You can talk about why you’re excited about the company and craft a convincing pitch that will make them want to talk with you again.

Over the last few years, there has been a perception that cover letters are no longer relevant. If you have a Twitter profile and a presence on LinkedIn or AngelList, why should you have a cover letter? Well, the truth is that employers still value a cover letter. If you don’t include a cover letter, a potential employer may pass on you before they get the chance to read about your skills in greater depth.

Your cover letter tells employers that you’re applying for a certain position. You may be able to get away with using the same resume for multiple jobs, but the cover letter should be unique to each position and company. You want to convince the company why you are the best person for their team. And you want to tell them why you want to work with their company more than any other. The more detailed you are, the better the impression you can leave on hiring managers and recruiters.

How to Format a Cover Letter

Before we get started on the contents of a cover letter, it’s important to understand how you should format the document. Here are a few tips on how to format your cover letter:

  • Use single line spacing for all text
  • Use double-space between each section
  • Include a one-inch margin on all sides
  • Align everything to the left side
  • Choose an easy-to-read font

How Long Should a Cover Letter Be?

Your cover letter—like a resume—should only be a single page long. The best cover letters are short, concise, and ideally under 300 words . You’ll only have the attention of a recruiter for a minute or two at best, and you want to impress them as soon as possible.

What to Say in a Cover Letter

Your cover letter should be all about the position you’re applying to and the company itself . Before you get started writing a cover letter, you should make sure you are aware of the needs of the company and their expectations for a candidate in the position. 

By doing some research in advance, you’ll find it easier to adapt your cover letter to the specific position you’re applying to. Recruiters will always value a personalized cover letter over one which includes generic text about why a candidate is “good.”

When doing research for your cover letter, consider the following questions:

  • Why is the company hiring someone new?

Does the company have an always-open application so they can hire the best talent? Do they need more people to help them scale? When it comes time to writing your cover letter, make sure you keep these things in mind. If the company is scaling quickly, you may want to talk about how you have experience in fast-paced work environments, for example.

  • What skills do they expect a new candidate to have?

What are they looking for in a new candidate? Do they need someone with skills in a particular technology? Do they need someone ambitious who can help them bring their ideas into reality? Answers to these questions are difficult to ascertain before actually talking with someone in the company, but you can’t write a cover letter without knowing what they expect.

Spend some time reading through the job description and take notes on what skills they expect applicants to have. Also, read over any materials on the company’s website such as their “about” page and their vision statement so you can learn more about their expectations and long-term goals. Doing this research will show companies you know what they’re all about, thereby indicating you’re passionate about a particular position.

How to Write a Cover Letter

Cover letters can be difficult to write because you need to write a new one for each position you’re applying to. However, there are a few tips you should keep in mind which will help optimize your cover letter writing process.

Expand on Your Resume

In your cover letter, you should go beyond your resume. It can be tempting to simply reiterate what you have said in your resume in more depth. But you shouldn’t repeat yourself in your cover letter. Instead, you should use your cover letter as an opportunity to discuss your experience in more depth . Write a sentence or two about how a past position helped you refine a specific skill that the employer is looking for. Customize the letter to show you have the requisite skills for the position. If you’re not sure where to start, you may want to ask yourself these questions:

  • How did you tackle one of the responsibilities you had in a past position?
  • How did you accomplish a specific milestone you mentioned on your resume?

Main Components of a Successful Cover Letter

Now, let’s get to the cover letter itself. There are three main parts in a cover letter:

  • The Introduction

Let’s break these down and explore each component in more depth.

  • Cover Letter Introduction

The first few sentences in your cover letter are key. If you include some generic and bold assertions about your skills, the recruiter may get bored and move on to the next candidate. But if you make your introduction impressive, they will want to read on further.

Your introduction should start with “Dear, [hiring manager name].” Make sure you include the name of the hiring manager or recruiter who is hiring for the position. If the company has a relaxed office culture, you only need to use their first name; if the employer is more traditional, use their first and last name.

The first paragraph should tell the company why you want to work with them . There are two things you could say in this paragraph—you believe in the company’s mission, and you want to work on the problems they are solving or, you want to work with their team. You should mention one of these facts and give a specific reason why. You’re interested in helping the company solve problems? Now you need to tell them why. 

Giving a specific reason shows the company you’ve tailored your cover letter to them and done some research about their company. Saying that you have applied because a friend told you about the company or because you saw a job opening sounds like you haven’t thought about the company in any depth—you just applied. When a company feels you are passionate about their vision or their team, they are more likely to reach out to you. They are always going to hire the person who wants to work for the company more than the person who would accept any job. Even subtle personal touches will go a long way in a cover letter.

  • Cover Letter Body

You’ve written a great introduction, and you now have the attention of the recruiter. What’s next? You have to tell them your story. The main body will be what a recruiter uses to help them decide whether to schedule an interview or file your application away.

The main body should be around three sentences —even if you are applying for junior or senior positions in tech. The goal of telling this story is to convince the company you meet all of their specifications. Tell the company about your knowledge of the technologies they are using or your past experience with a certain process they mentioned in the job listing. Whatever it is, make sure you tell them how you can help solve their problems better than everyone else . And always provide specific examples .

Let’s say the company is looking for a front end web developer who can help them speed up their app. You could say, “In my one-year tenure as an intern at Google, I used React.js to improve the speed of an internal landing page by 50ms.” 

Specific, concise, and easy to understand.

In this section, you should be sure to make links between your qualifications and the specific requirements for a position . Mention how your skills meet the requirements of a company. You should also be sure to keep your paragraphs short. If you are writing three sentences, you may split those up into two paragraphs. This will make it easier for the recruiter to read your cover letter and understand the most important information. The more personalized your cover letter is, the more an employer will feel that you’re passionate about the company and its vision.

If you’re struggling to figure out how to talk about your past experience, there are a few questions you should keep in mind. These questions will ensure you know how to articulate your past experience and present it as effectively as possible to a future employer. Ask yourself:

  • What projects did I work on?
  • How many users did my project have?
  • What big milestones did I achieve?
  • What use cases did I have to take into account?
  • What tools (i.e. GitHub, Confluence, CircleCI) and methodologies (i.e. Agile) did I use to work on this project?

You should end up with something like, “I was a core team member building X and leveraged tools such as CircleCI to create a new continuous integration process, which helped cut down our deployment time by 30%.” 

  • Cover Letter Close

The hiring manager is reading your cover letter. They are getting more interested in reaching out to you for an interview. Now, you need to close your cover letter effectively.

The first thing you should mention in your closing lines is a call to action: a specific statement that tells employers how they can reach out to you . You may decide to say, “If you are interested in talking with me further about how I can help Microsoft boost the efficiency of their Azure platform, reach out to me at [email address].” Again, this is specific, concise, and actionable.

Then you want to close with “sincerely” or “kind regards” and sign the letter with your full name . Optionally, you can include a phone number or another contact information below your name. After you’ve done that, your cover letter will be complete. You do not need to make your close complicated—it should be simple and tell hiring managers how to reach out to you in only a few words.

Here is an example of a cover letter that uses the above format. The letter states why a candidate wants to work for the company and gives them a specific example of how this candidate can help them achieve their goals. The letter is simple, concise, and actionable.

What Not to Include in a Cover Letter

The purpose of a cover letter is to tell your story to a prospective employer. You can tell them about yourself, your history, your knowledge, and more. Your cover letter gives you an opportunity to show an employer why you are a good candidate for a position and why they should hire you.

But many people feel compelled to include more information than they need to. Your cover letter should be short, to-the-point, and focused on how you can help a company achieve its goals. You don’t need to include every detail about your employment history. Keeping your cover letters short will make it easy if you apply for multiple positions and need to write many different letters.

Your cover letter should be formatted correctly and should be free of any spelling or grammar errors , as it will also implicitly showcase your writing and communication skills. If your cover letter includes obvious grammatical errors, an employer may question how much attention you pay to detail—a critical component of most jobs in tech.

Here are a few things you should avoid doing in a cover letter:

  • Making assertions which are not true. Employers will check the facts of a cover letter if they proceed with the interview process. Make sure your cover letter is truthful and accurately represents your skills. There are many people who have exaggerated their skills in a cover letter but were unable to meet the requirements when it came time for the interview.
  • Information not related to the job. Don’t include anything which is not directly related to the position for which you are applying. You only have a few hundred words to use when writing your cover letter—use them all effectively.
  • What you want. Don’t mention what you want to get out of the company. You should be pitching how you can help the company, not how they can help you.
  • Expressing too much interest in the job. Companies want to know you are interested in them. But talking too much about how you like the company may cause you to lose leverage when it comes time to negotiate a salary. You are pitching yourself and your abilities, not how much you like a company. Tell the company why you’re applying, but don’t go into too much depth about how you like X, Y, and Z about them.
  • Discussing the skills you don’t have. If a company posts a position looking for writing experience, don’t say something like, “Although I have a short track record of writing experience… [insert other unrelated claims]…” Keep your cover letter focused on what you can do. You are not expected to meet every requirement listed in a job description.

Tips for Writing a Great Cover Letter

Here are a few tips on how you can write a wonderful cover letter:

1. Personalize, Personalize, Personalize.

The main thing you should remember about this guide is that your cover letter should be personalized. It should be tailored to one specific company and one position . It’s easy to tell if a cover letter has been reused multiple times—they include generic statements, and the author doesn’t talk about why they want to work for a specific company. 

If you want to save time, you should consider making a template cover letter. You can then make a few changes for each company before you send the cover letter out. For example, you can keep your close and some of your main body the same; the main thing you would change is why you want to work for each company. This saves time while still allowing you to maintain a professional tone.

2. Include Some Statistics

Hiring managers like to see stats. Numbers show that you’ve had a quantifiable impact on an organization you’ve worked for in the past. For example, if you’re a front end developer, you could talk about how you improved the render speed of pages. Similarly, if you’re a DevOps developer, you could talk about how many servers you maintained in a cluster. Statistics are not necessary, but they do help illustrate how much of an impact you have made in the past.

3. Show Personality

Your cover letter should be yours . The resume you wrote will include lists of facts about you and your history. But your cover letter should be more free-flowing and showcase your human side to hiring managers.

Spend time researching the company’s culture, and try to adopt a similar tone in your cover letter. And, before you send it, read your cover letter aloud and remove anything which doesn’t sound like how you would speak.

4. Keep It Short and Simple

Of course, there are always exceptions to this rule. But your cover letter should be as short as possible . In one survey, more than two-thirds of employers said they prefer a cover letter that is half a page or, “the shorter the better”. The more wordy your writing is, the more difficult it will be for the hiring manager to take away the key points.

5. Review and Edit

As we mentioned earlier, you should run a spell check of your cover letter before you submit it. But don’t mistake a spell check for editing . Spend some time after you’ve written your cover letter to read it over and evaluate whether any changes need to be made. After a few reviews, you’ll most likely notice a few things you want to change or improve.

You can also reach out to a friend or family member and ask them to review your cover letter and make any suggestions for how you can improve the letter. Consider asking them, “Does this letter accurately showcase my skills?” and “Does this letter get you excited about me?” to make sure you have covered all your bases.

If you need some additional assistance, you can use tools such as Hemingway to help improve the tone of your work. Hemingway will highlight sentences that are too wordy and difficult to read, use passive voice, or use complex vocabulary when a simpler term would suffice.

6. Highlight Your Technical Skills

If you’re applying for a software development position, you should make sure you highlight your technical skills explicitly. Prospective employers will look at a cover letter for only a few seconds, or they may even have it parsed through an Automated Tracking System. Thus, you should spend time talking about the specific technical skills you’ve acquired so a recruiter can easily find out whether you have the skills you need to be a good fit for the job.

Mention any specific technologies you know and one major goal you met using that technology. For example, you could say, “At my previous job, I used Ruby on Rails and GraphQL to move from a REST-based architecture to GraphQL, which we found to be more efficient based on our business needs.” 

In this example, the candidate has spoken about how they know Ruby on Rails (a programming language), GraphQL (a data architecture tool), and how they have a good knowledge of REST (an API structure). If an employer is hiring someone who has these skills, this statement will really make the candidate stand out ahead of everyone else. 

7. Use Action Words

When you’re writing a cover letter, you should avoid using “buzzwords” or talking about specific skills that are not fully relevant to the job. Instead, you should use action words that showcase your involvement with particular projects. If you are a software developer, you may feel tempted to use words like “coded” or “developed” a few times in your cover letter because you have created a lot of applications. But you should try to introduce some variety into your cover letter.

Here are a few examples of action words you can use in your cover letter:

  • “I was a key collaborator on a tight-knit team…”
  • “Helped our team meet the project goal…”
  • “Created a new system to…”
  • “I managed a team of…”
  • “I helped create a new process…”

You should also try to include results-oriented words in your cover letter. These words help show that you have experience in yielding good outputs from your work and will show the extent of your responsibilities in your past experience.

A few words you may want to consider using include: redesigned, updated, implemented, produced, increased, streamlined, reduced .

What is a Cover Letter? (and Why It’s Important)

A cover letter is a one-page document that you submit as part of your job application (alongside your CV or Resume). 

Its purpose is to introduce you and briefly summarize your professional background. On average, your cover letter should be from 250 to 400 words long .

A good cover letter can spark the HR manager’s interest and get them to read your resume. 

A bad cover letter, on the other hand, might mean that your application is going directly to the paper shredder. So, to make sure this doesn’t happen, it’s essential to know how to write a convincing cover letter.

How does a good cover letter look, you might ask. Well, here’s an example:

Keep in mind, though, that a cover letter is a supplement to your resume, not a replacement. Meaning, you don’t just repeat whatever is mentioned in your resume.

If you’re writing a cover letter for the first time, writing all this might seem pretty tough. After all, you’re probably not a professional writer.

The thing is, though, you don’t need to be creative, or even any good at writing. All you have to do is follow a tried-and-tested format:

  • Header - Input contact information
  • Greeting the hiring manager
  • Opening paragraph - Grab the reader’s attention with 2-3 of your top achievements
  • Second paragraph - Explain why you’re the perfect candidate for the job
  • Third paragraph - Explain why you’re a good match for the company
  • Formal closing

Or, here’s what this looks like in practice:

How to Write the Perfect Cover Letter (And Get Hired!)

Now that we’ve got the basics out of the way, we’re going to guide you through the process of writing a cover letter step by step. 

Step #1 - Pick the Right Cover Letter Template

A good cover letter is all about leaving the right first impression.

So, what’s a better way to leave a good impression than a well-formatted, visual template?

Step #2 - Start the Cover Letter with a Header

As with a resume, it’s important to start your cover letter with a Contact Information section:

Here, you want to include all essential information, including:

  • Phone Number
  • Name of the hiring manager / their professional title
  • Name of the company you’re applying to

In certain cases, you might also consider adding:

  • Social Media Profiles - Any type of profile that’s relevant to your field. Social Profiles on websites like LinkedIn, GitHub (for developers), Medium (for writers), etc.
  • Personal Website - If you have a personal website that somehow adds value to your application, you can mention it. Let’s say you’re a professional writer. In that case, you’d want to link to your blog.

And here’s what you shouldn’t mention in your header:

  • Your Full Address 
  • Unprofessional Email - Make sure your email is presentable. It’s pretty hard for a hiring manager to take you seriously if your email address is “[email protected].” Whenever applying for jobs, stick to the “[first name] + [last name] @ email provider.com” format.

Step #3 - Greet the Hiring Manager

Once you’ve properly listed your contact information, you need to start writing the cover letter contents.

The first thing to do here is to address the cover letter to the hiring manager .

That’s right, the hiring manager! Not the overly popular “Dear Sir or Madam.” You want to show your future boss that you did your research and are really passionate about working with their team.

No one wants to hire a job seeker who just spams 20+ companies and hopes to get hired in any of them.

So, how do you find out who’s the hiring manager? There are several ways to do this. 

The simplest option is to look up the head of the relevant department on LinkedIn. Let’s say you’re applying for the position of a Communication Specialist at Novoresume. The hiring manager is probably Head of Communications or Chief Communications Office.

So, you do a quick lookup on LinkedIn:

And voila! You have your hiring manager.

Or let’s say you’re applying for the position of a server. In that case, you’d be looking for the “restaurant manager.”

If this doesn’t work, you can also check out the “Team” page on the company website; there’s a good chance you’ll at least find the right person there.

Here are several other greetings you could use:

  • Dear [Department] Hiring Manager
  • Dear Hiring Manager
  • To whom it may concern
  • Dear [Department] Team

Step #4 - Write an Attention-Grabbing Introduction

First impressions matter, especially when it comes to your job search.

Recruiters get hundreds, sometimes even thousands, of applications. Chances are, they’re not going to be reading every single cover letter end-to-end.

So, it’s essential to catch their attention from the very first paragraph .

The #1 problem we see with most cover letter opening paragraphs is that they’re usually extremely generic. Most of them look something like this..

  • Hey, my name is Jonathan and I’d like to work as a Sales Manager at XYZ Inc. I’ve worked as a sales manager at MadeUpCompany Inc. for 5+ years, so I believe that I’d be a good fit for the position.

See the issue here? This opening paragraph doesn’t say pretty much anything except the fact that you’ve worked the job before.

Do you know who else has similar work experience? All the other applicants you’re competing with.

Instead, you want to start off with 2-3 of your top achievements to really grab the reader’s attention. Preferably, the achievements should be as relevant as possible to the position.

So now, let’s make our previous example shine:

My name’s Michael and I’d like to help XYZ Inc. hit and exceed their sales goals as a Sales Manager. I’ve worked with Company X, a fin-tech company, for 3+ years. As a Sales Representative, I generated an average of $30,000+ in sales per month (beating the KPIs by around 40%). I believe that my previous industry experience, as well as excellence in sales, makes me the right candidate for the job.

See the difference between the two examples? If you were the hiring manager, which sales manager would you hire, Jonathan or Michael?

Now that we’ve covered the introduction, let’s talk about the body of your cover letter. This part is split into two paragraphs: the first is for explaining why you’re the perfect person for the job, and the latter is for proving that you’re a good fit for the company.

So, let’s get started...

Step #5 - Explain why you’re the perfect person for the job

This is where you show off your professional skills and convince the HR manager that you’re a better fit for the job than all the other applicants.

But first things first - before you even write anything, you need to learn what the most important requirements for the role are. So, open up the job ad and identify which of the responsibilities are the most critical.

For the sake of the example, let’s say you’re applying for the position of a Facebook Advertiser. You scan the job ad and see that the top requirements are:

  • Experience managing a Facebook ad budget of $10,000+ / month
  • Some skills in advertising on other platforms (Google Search + Twitter)
  • Excellent copywriting skills

Now, in this section, you need to discuss how you fulfill these requirements. So, here’s how that would look for our example:

In my previous role as a Facebook Marketing Expert at XYZ Inc. I handled customer acquisition through ads, managing a monthly Facebook ad budget of $20,000+ . As the sole digital marketer at the company, I managed the ad creation & management process end-to-end. Meaning, I created the ad copy , images, picked the targeting, ran optimization trials, and so on.

Other than Facebook advertising, I’ve also delved into other online PPC channels, including:

  • Google Search

Step #6 - Explain why you’re a good fit for the company

Once you’ve written the last paragraph, you might be thinking - I’m a shoo-in for the job! What else do I need to write? I’ll just wrap up the cover letter and hit that sweet SEND button.

Well, no. You’re not quite there yet.

The HR manager doesn’t only look at whether you’ll be good at the job or not. They’re looking for someone that’s also a good fit for the company culture.

After all, employees that don’t fit in are bound to quit, sooner or later. This ends up costing the company a ton of money, up to 50% of the employee’s annual salary . 

Meaning, you also need to convince the HR manager that you’re really passionate about working with them.

How do you do this? Well, as a start, you want to do some research about the company. You want to know things like:

  • What’s the company’s business model?
  • What’s the company product or service? Have you used it?
  • What’s the culture like? Will someone micro-manage your work, or will you have autonomy on how you get things done?

So, get to Googling. Chances are, you’ll find all the information you need either on the company website or somewhere around the web.

Then, you need to figure out what you like about the company and turn that into text.

Let’s say, for example, you’re passionate about their product and you like the culture of innovation / independent work in the organization.

You’d write something like:

I’ve personally used the XYZ Smartphone, and I believe that it’s the most innovative tech I’ve used in years. The features such as Made-Up-Feature #1 and Made-Up-Feature #2 were real game changers for the device. 

I really admire how Company XYZ thrives for excellence for all its product lines, creating market-leading tech. As someone that thrives in a self-driven environment, I truly believe that I and Company XYZ will be a great match.

What you don’t want to do here is be super generic for the sake of having something to write. Most job seekers tend to mess this one up. Let’s take a look at a very common example we tend to see (way too often):

I’d love to work for Company XYZ because of its culture of innovation. I believe that since I’m super creative, I’d be a good fit for the company. The company values of integrity and transparency really vibe with me.

See what’s wrong here? The example doesn’t really say anything about the company. “Culture of Innovation” is something most companies claim to have. 

The same goes for “values of integrity and transparency” - the writer just googled what the values for the organization are, and said that they like them.

Any hiring manager that reads this will see through the fluff.

So, make sure to do a lot of research and come up with good reasons why you're applying.

Step #7 - Wrap up with a call to action

Finally, it’s time to finish up your cover letter and write the conclusion.

In the final paragraph, you want to:

  • Wrap up any points you couldn't in the previous paragraphs. Do you have anything left to say? Any other information that could help the hiring manager make their decision? Mention it here.
  • Thank the hiring manager for their time. It never hurts to be courteous, as long as you don’t come off as too needy.
  • Finish the cover letter with a call to action. The very last sentence in your cover letter should be a call to action. You should ask the hiring manager to take some sort of action.

And now, let’s turn this into a practical example:

So to wrap it all up, thanks for looking into my application. I hope I can help Company X make the most out of their Facebook marketing initiatives. I'd love to further discuss how my previous success at XYZ Inc. can help you achieve your facebook marketing goals.

Step #8 - Use the right formal closing

Once you’re done with the final paragraph, all you have to do is write down a formal “goodbye” and you’re good to go.

Feel free to use one of the most popular conclusions to a cover letter:

  • Best Regards,
  • Kind Regards,

And we’re finally done! Before sending off the cover letter, make sure to proofread it with software like Grammarly, or maybe even get a friend to review it for you.

Does your cover letter heading include all essential information?

  • Professional email
  • Relevant Social Media Profiles

Do you address the right person? I.e. hiring manager in the company / your future direct supervisor

Does your introductory paragraph grab the reader's attention?

  • Did you mention 2-3 of your top achievements?

When you need to write a cover letter to apply for a job, it's sometimes the small things that can make a big difference. The closer to perfect your letter is, the better your chances are of impressing the hiring manager.

Follow these tips and techniques for sending a top-notch cover letter, and you will increase your chances of getting an interview.

Select the Right Type of Cover Letter

There are  several types of cover letters  that can be sent to employers and contacts. For example, there are traditional cover letters (also known as application letters ), which are written to apply for specific job openings. If you know some who can refer you for a job, you'll want to write a referral cover letter .

There are also letters of interest (also known as prospecting letters), in which you ask about possible job openings at a company. Cold contact cover letters are written to companies that haven't advertised job openings.

Be sure to choose a type of cover letter that reflects what you are applying for, why you are writing, and what you are requesting.

Go Beyond Your Resume

Your cover letter should not be just another version of your resume. Instead, this letter should provide specific evidence of what you will bring to the company .

For your letter, pick two to three skills or abilities you want to highlight. Then offer examples of times you demonstrated those traits.

For example, if you want to highlight your experience and skill tutoring children, provide an example of how you successfully tutored a student. You can include a particular teaching moment when you were particularly successful.

These examples are what will make your cover letter different from your resume.

Whenever possible, include numbers to show how you have added value to previous companies you worked for. In the example mentioned above, you might provide data on how your previous students’ grades improved while working with you.

If you are a recent graduate or otherwise do not have a lot of work experience, you can highlight some of your transferable skills in your resume. Provide evidence from projects, classes, volunteer work, etc. that demonstrates that you have these skills.

Write a Custom Cover Letter for Every Job

A hiring manager can quickly tell if you have written a generic cover letter that you use for every job. That is a quick way to get your application thrown out. Instead, take the time to customize your cover letter so it reflects your interest in the specific position and company you're applying to.

Target each letter to fit the specific job. The best way to do this is to  match your qualifications to the job :

  • First, look carefully at the job listing.
  • Second, select two or three skills, abilities, or experiences that the job requires that you know you have.
  • In your letter, provide examples of times that you demonstrated each of those skills.

Include  keywords  from the job listing in your cover letter as well. For example, if the listing says the ideal candidate has experience with “data-driven decision making,” you might include an example of a time you used data to make a decision or solve a problem.

Take the time to showcase your personality  and explain how you'd be a terrific fit for the position and the company.

It can be ​time-consuming to write a custom cover letter for each job you apply for, but it's important to take the time and effort. A custom letter will help the reader to see, at a glance, that you are a good match for the job.

Don't Point Out What You're Missing

Generally, don’t apologize for anything in your cover letter. There are some things you don't need to include in a cover letter . If you lack a required skill or degree, don’t mention it. That will only highlight what you don’t have. Instead, focus on highlighting the skills and experiences you do have, and explain how they make you a great fit for the job.

However, when you have recent gaps in your work history (within the past year or so), whether from being laid-off and out of work, taking time out from the workplace to spend with your family, traveling, going back to school, or for any reason, your cover letter gives you an opportunity to  explain an employment gap .

If you decide to mention this employment gap in your cover letter, do so very briefly, then quickly return to highlighting your skills and abilities.

Try to Find a Contact Person

It's not always easy to find a contact person to address your cover letter to, but it's worth spending some time trying. When it comes to cover letters, taking the time to get personal is really important. Find out as much as you can about the company and the  hiring manager .

Be sure to address your cover letter to the specific hiring manager who will be reading your letter. If you don’t know who that person is, check out the company website, or even call the company and ask.

If you can’t figure out who will be reading the letter, address your letter with the greeting, “Dear Hiring Manager.”

If you have any contacts at the company who referred you to the job or are willing to put in a good word for you, mention their names in the first paragraph of your letter. This is a great way to gain an employer’s interest. However, make sure you have checked with your contacts in advance and asked if they are willing to give you a referral .

Format Your Cover Letter Properly

It's essential for your first impression to be a good one, because that's a step towards getting an interview. You will want your cover letter to not only to include the proper information, but also to look polished and professional. Therefore, be sure to format your cover letter properly. If you are sending a physical letter, use business letter format. Include your contact information, the date, and the contact information of the employer at the top of the letter.

If you are sending your cover letter as an email , your format will be a bit different. You will also need to include a subject line that mentions your name and the job title.

A  cover letter should not be longer than a page (three to four paragraphs at most).

If your cover letter is a bit too long, you can adjust the margins to give yourself more space.

However, you want to have plenty of white space in your cover letter, so don’t make the margins too small.

Also include a space between your greeting, between each paragraph, and after your closing. This will add white space as well. No matter how you send your cover letter, be sure to pick a simple, readable font . 

Be Yourself and Show Your Personality

You want your cover letter to be professional, but you also should be clear about what you have to offer the employer—and that's you and your credentials. Professional doesn't mean that you have to use awkwardly formal language. Avoid phrases that don’t feel natural, like “Dear Sir or Madam,” or “I wish to convey my sincere interest in a position at your exquisite institution.” Instead, use clear, straightforward language.

Also avoid clichéd, overused phrases that hiring managers are sick of reading (“go-getter,” “team player,” etc.). Replace those phrases with power words like “initiated” and “collaborated.”

Take the time to review cover letter examples before you start writing your own letter to apply for a job. Examples can give you an idea of how to structure your letter, and what information to include.

While it is useful to look at templates and examples, be sure to change any letter sample to fit your own skills and abilities, and the position you are applying for.

Proofread and Edit Your Letter

Because hiring managers look at hundreds of applicants, a small typo can make or break your chances of getting an interview. Therefore, be sure to thoroughly proofread your cover letter(and all of your application materials, for that matter).

Read through your letter, looking for any spelling or grammar errors. Make sure you have the correct company name, hiring manager’s name, date, etc. in your heading.

Reading your letter out loud is a useful way to check for mistakes.

Consider asking a friend or family member to read your letter as well. Ask them to check for errors, but you can also ask for more general feedback. Ask whether or not your friend is convinced that you are a great fit for the job after reading your letter.

Follow the Instructions in the Job Posting

If the job posting says to include your cover letter and resume as an email attachment , attach Microsoft Word or PDF files to your email message. If the hiring manager says they want you to submit your materials using an online application system , don’t email or mail a physical application.

Are Cover Letters Necessary?

Do cover letters matter these days? It depends on who you ask.

Some recruiters love learning more about each job applicant, while others find the practice antiquated. So should you write one if it might not even be read at all?

Do I Need a Cover Letter ?

In most cases, yes—you should submit a cover letter with your resume.

While the cover letter has increasingly become a divisive topic among recruiters and job seekers , it's still often listed as a requirement on job applications .

But regardless, many recruiters still think cover letters are important.

According to a 2023 study by recruitment website Zippia , more than a fourth (26 percent) of recruiters "always read cover letters " and think they're an important component of the hiring decision. And almost half (45 percent) said that not including a cover letter could get your application rejected.

So in most cases, it's best to be cautious and include one.

In short, including a cover letter will almost never hurt your job search —but it can help.

Here's how:

  • It can help you stand out from the crowd . Recruiters read through countless resumes for just one role. If you have similar qualifications as other candidates, a cover letter allows you to showcase your personality and unique skills.
  • It shows you're willing to go the extra mile . Searching for a new job is already a lot of effort, so it may be difficult to rationalize writing a customized cover letter for each role. But the Zippia study found that 61 percent of hiring managers consider a customized resume (with a cover letter, portfolio link, etc.) the "number one tactic for applicants to boost their chances of getting a job."
  • You can address potential biases . In a perfect world, recruiters wouldn't count you out based on things like employment gaps or " job hopping ." Career coach Marlo Lyons recommends using your cover letter to "fill in any gaps" and provide context about these types of situations so recruiters don't get the wrong impression.

When You Should Include a Cover Letter

It's ultimately up to you whether you include a cover letter.

Octavia Goredema, career coach and author of Prep, Push, Pivot , says that the decision to submit a cover letter hinges on "where you are in your career journey and your personal career goals."

In addition to when it's a required part of the job posting, here are scenarios where it's in your best interest to submit one:

  • If someone referred you to the job : According to Goredema, "If you were referred to an opportunity by someone at the company or have a personal history that correlates with the role, a cover letter enables you to share that."
  • If you want to add additional information : Say the job you're applying to requires candidates to live on a specific coast. If you don't currently live in the area but are willing to relocate, mention that in your cover letter so you aren't automatically rejected based on your current location.
  • If you're changing careers : Goredema recommends writing one "if you're in the early stages of your career or making a professional pivot. A cover letter provides the opportunity to add additional context to the information included in your resume."
  • If you don't have any previous work experience : If you're new to the workforce, you may not have any applicable previous positions to include on your resume. Use your cover letter to highlight transferrable skills and explain why you think you'd still be a good fit.

Lastly, Goredema suggests that "if this is your dream job, a cover letter provides the space for you to explain with impact and highlight what you do best."

Debra Boggs, founder and CEO of D&S Executive Career Management, adds: "As long as a cover letter is well-written and error-free, it will never hurt your chances of winning an interview."

So the more important the role is to you, the more effort you should put in.

When You Shouldn't Include a Cover Letter

There are certainly times when you should send a cover letter with your resume—but are there times when you shouldn't send one in? Here are a few instances:

  • If the application platform doesn't have a space to upload one : If there isn't a space for you to attach your cover letter or other supporting documents, don't sweat it. This means that other applicants won't be able to send one either.
  • If the job posting doesn't require one : If the post specifically states that you shouldn't include a cover letter, it's not a trick. The recruiter likely doesn't plan to read it, so it's best to reserve your time for other job search activities .
  • If you aren't a strong writer : Lyons recommends forgoing a cover letter if you aren't a good writer and don't have anyone to help you. "The cover letter could be your first impression, and a badly written one—especially with grammatical errors—could make recruiters not want to screen you for the job."
  • If you don't have time : Strapped for time? Goredema suggests "[focusing] on your resume and the application requirements versus haphazardly throwing together a few sentences just to meet an application deadline."

What To Do When a Cover Letter is 'Optional'

"Optional" cover letters can feel like a trick. You want to show the recruiter you're interested in the role, but you don't want to waste your time if it isn't necessary.

Lyons recommends skipping the optional cover letter "if your resume and LinkedIn profile are complete and no further explanation is needed."

However, it can be helpful to write one if "your resume doesn't tell the whole story about you." (Think resume gaps or career changes.)

Goredema believes it can be helpful to include a cover letter, regardless of whether it's a requirement. "Why not take the opportunity? It may help you to stand out. Going the extra mile by sending a well-written, personalized cover letter can only work to your advantage versus working against you."

So it can be helpful to put in extra effort if you have more to add to your application. But you shouldn't include a subpar cover letter just for the sake of it.

7 Tips for Writing an Effective Cover Letter

Regardless of your feelings toward the now-controversial cover letter, you'll likely find yourself writing one for at least some of the jobs you apply to.

Here's how to draft one that actually grabs a recruiter's attention:

1. Keep Things Short

Lyons suggests writing "three to four paragraphs at most, with two to three sentences in each paragraph."

Goredema adds: "Avoid long rambling sentences and keep your letter concise to make it easy to read."

Even if a particular recruiter loves cover letters, they might sift through hundreds of applications to find the right candidates. So it's best to be brief.

2. Follow the Rules

Some recruiters will ask you to include a portfolio link, send the cover letter via email, ask you to answer specific questions, etc. Be sure to fully read the job post's requirements—you don't want to be counted out for failing to follow directions.

3. Don't Repeat Your Resume

Lyons cautions repeating information the recruiter already has access to. Instead, "Tell the story of you—something important that you did not cover on your resume and how that story connects to the current position."

Think of it as connecting the dots between your experience, skills and capabilities. Explain why you'd be a good fit for the role rather than repeating the skills section of your resume .

4. Use Active Voice and Action Verbs

With active voice, the subject of a sentence performs the action. Passive voice puts more emphasis on the object of the sentence.

Using active voice is more direct and straightforward. Plus, it helps keep things brief.

Aim to use active voice throughout your resume and cover letter. This will help you sound clear and confident.

Here's an example of passive voice, plus how to fix it to use active voice:

  • Passive voice : The treats were eaten by the dogs.
  • Active voice : The dogs ate the treats.

If you struggle with writing in active voice consistently, think about the action verbs you'd use to describe your skills and experiences.

For example, instead of "I was tasked with x," you could say, "I managed x."

5. Be Specific

Include specific examples (i.e., instead of "I'm a team player," allude to a situation where you were a team player). If you've ever taken a writing course, you've probably heard the advice "show don't tell." The same advice applies to your resume and cover letter.

You could say "I have marketing experience," but what does that communicate to the reader? Not much.

Be specific about your experience and accomplishments. Instead, say "I led a marketing campaign that increased quarterly newsletter sign-ups by 40%."

6. Proofread

Check your cover letter for grammar and spelling mistakes before submitting it to avoid a professional faux pas.

Use spellcheck or an external app like Grammarly, which is also compatible with web browsers.

7. Customize It

At best, a generic cover letter is boring or a little awkward. At worst, it can be unprofessional if what you wrote about has nothing to do with the job you're applying for.

Think about it this way: your cover letter might be the deciding factor between you and another candidate with the same skills and experience. So you want to grab the recruiter's attention.

You don't need to spend tons of time rewriting your cover letter for every job application, though. Here are a few things you can do to stand out:

  • Address the hiring manager or recruiter by name (you can sometimes find this information on the LinkedIn job post)
  • Include the company name and job title
  • Mention what you like about the specific company and its culture
  • Detail skills and experience specifically mentioned on the job post

Boggs advises to "create a template that you can easily customize to include the relevant skills and experience for each job and employer."

2. Use an appropriate greeting.

For some opportunities, a formal greeting is appropriate. In other situations, a more informal approach may be ideal. If possible, address the specific recipient. 

3. Provide an introduction.  

In the intro paragraphs, you’ll want to tap into three specifics:

Who you are.

Why you’re reaching out.

How you got this company’s information.

Feel free to vary the order of this information. Your LOI intro may be formal or more playful, depending on who you are and the organization you’re submitting to.

4. Dive into your strengths and company alignment.  

An LOI is created to clearly convey why you’re a good fit for the organization. In the body paragraphs of your letter, you’ll want to explain:

  • Your strengths.
  • What you do.
  • How those things would fit with the organization.

5. Guide the conversation into the future.  

All LOIs end with a call to action, which is one of the things that differentiates it from a letter of interest or a cover letter. Map out potential next steps so it’s easy for the reader to take action. It could include:

A request to schedule a meeting.

Making a specific pitch.

Encouraging the recipient to send a follow-up email.

6. Write a thoughtful conclusion .

Conclude your LOI by reiterating your interest in the company. Make sure to thank the recipient for their time, too — there wasn’t a job opening request, so they took time out of their day to read your letter.

If you’re sending your LOI because of an internal referral, be sure to reference them within the letter.

I have a wine service background and a Wine & Spirit Education Trust (WSET) Level 3 certification. I’m passionate about Italian wines — Nebbiolos are my favorite! Jackson says you’re a fan, as well. My passion for Italian wines, combined with my experience, make me a great candidate for Italiano Wine Bar if you’re ever in need of an extra hand. In this letter of intent, Jennifer leverages an internal connection. This is a great way to earn a few extra points when explaining how you know about the business. Beyond that, Jennifer’s experiences align well with the work that the wine bar does.

What I like:  This letter of intent does a great job of personalization, weaving through the internal connection perfectly in a few different spots. A referral is a powerful aid to incorporate into an LOI, and Jennifer did a great job dropping hints of her connection.

Making a Pitch

Dear Elise, My name is Mark Morgan, and I’m a freelance graphic designer with a passion for bold marketing materials. I found your marketing company while on LinkedIn the other day, and I would love to collaborate with you in the future. As I read up on your company, I discovered a lot of similarities between my work and your organization. I, too, advocate for bright and forward advertising, and creating smart and attractive ads is my specialty. While I noticed you don’t have any posted project needs at this time, I was browsing your offerings and saw an opportunity to bolster your products. Your “Full-Stack Ad Copywriting” package covers strategy and copy, but it doesn’t offer graphic design. I’d love to bring my skills to the table to supplement your product. What I like:  In this letter, Mark is making a pitch. He still covers the bases of a great LOI — discussing his strengths and alignment with the brand. But instead of just calling for a meeting, he makes a pitch that is specific to the organization. This provides value to the recipient and makes Mark look like a strong collaborator.
