How to Make a “Good” Presentation “Great”

A strong presentation is so much more than information pasted onto a series of slides with fancy backgrounds. Whether you’re pitching an idea, reporting market research, or sharing something else, a great presentation can give you a competitive advantage, and be a powerful tool when aiming to persuade, educate, or inspire others. Here are some unique elements that make a presentation stand out.

  • Fonts: Sans Serif fonts such as Helvetica or Arial are preferred for their clean lines, which make them easy to digest at various sizes and distances. Limit the number of font styles to two: one for headings and another for body text, to avoid visual confusion or distractions.
  • Colors: Colors can evoke emotions and highlight critical points, but their overuse can lead to a cluttered and confusing presentation. A limited palette of two to three main colors, complemented by a simple background, can help you draw attention to key elements without overwhelming the audience.
  • Pictures: Pictures can communicate complex ideas quickly and memorably but choosing the right images is key. Images or pictures should be big (perhaps 20-25% of the page), bold, and have a clear purpose that complements the slide’s text.
  • Layout: Don’t overcrowd your slides with too much information. When in doubt, adhere to the principle of simplicity, and aim for a clean and uncluttered layout with plenty of white space around text and images. Think phrases and bullets, not sentences.

As an intern or early career professional, chances are that you’ll be tasked with making or giving a presentation in the near future. Microsoft PowerPoint is like a test of basic professional skills, and each PowerPoint is basically a presentation made of multiple slides.

Successful PowerPoints depend on three main factors: your command of PowerPoint's design tools, your attention to presentation processes, and being consistent with your style.

Keep those in mind as we jump into PowerPoint's capabilities.

Getting Started

1. open powerpoint and click ‘new.’.

A page with templates will usually open automatically, but if not, go to the top left pane of your screen and click New . If you’ve already created a presentation, select Open and then double-click the icon to open the existing file.

Creating PowerPoint Slides

3. insert a slide..

Insert a new slide by clicking on the Home tab and then the New Slide button. Consider what content you want to put on the slide, including heading, text, and imagery.

11. Try Using GIFs.

15. Embed multimedia.

PowerPoint allows you to either link to video/audio files externally or to embed the media directly in your presentation. For PCs, two great reasons for embedding are:

  • Embedding allows you to play media directly in your presentation. It will look much more professional than switching between windows.
  • Embedding also means that the file stays within the PowerPoint presentation, so it should play normally without extra work (except on a Mac).

If you use PowerPoint for Mac it gets a bit complicated, but it can be done:

  • Always bring the video and/or audio file with you in the same folder as the PowerPoint presentation.
  • Only insert video or audio files once the presentation and the containing folder have been saved on a portable drive in their permanent folder.
  • If the presentation will be played on a Windows computer, then Mac users need to make sure their multimedia files are in WMV format.
  • Consider using the same operating system for designing and presenting, no matter what.

16. Bring your own hardware.

Between operating systems, PowerPoint is still a bit jumpy. Even between differing PPT versions, things can change. The easiest fix? Just bring along your own laptop when you're presenting.

The next easiest fix is to upload your PowerPoint presentation into Google Slides as a backup option — just make sure there is a good internet connection and a browser available where you plan to present.

Google Slides is a cloud-based presentation software that will show up the same way on all operating systems.

To import your PowerPoint presentation into Google Slides:

  • Navigate to slides.google.com . Make sure you’re signed in to a Google account (preferably your own).
  • Under Start a new presentation , click the empty box with a plus sign. This will open up a blank presentation.
  • Go to File , then Import slides .
  • A dialog box will come up. Tap Upload.
  • Click Select a file from your device .
  • Select your presentation and click Open .
  • Select the slides you’d like to import. If you want to import all of them, click All in the upper right-hand corner of the dialog box.
  • Click Import slides.

When I tested this out, Google Slides imported everything perfectly, including a shape whose points I had manipulated. This is a good backup option to have if you’ll be presenting across different operating systems.

17. Use Presenter View.

In most presentation situations, there will be both a presenter’s screen and the main projected display for your presentation.

PowerPoint has a great tool called Presenter View, which can be found in the Slide Show tab of PowerPoint. Included in the Presenter View is an area for notes, a timer/clock, and a presentation display.

For many presenters, this tool can help unify their spoken presentation and their visual aid. You never want to make the PowerPoint seem like a stack of notes that you’re reading off of.

Use the Presenter View option to help create a more natural presentation.

Pro Tip: At the start of the presentation, you should also hit CTRL + H to make the cursor disappear. Hitting the “A” key will bring it back if you need it.

Presentations are an integral part of our workplace experience. Whether you’re presenting a project at an all-hands meeting or giving an informal presentation during a weekly check-in, presentations are a cornerstone of how we work.

Despite how often we give presentations, designing one can feel pretty daunting. After all, we’re under pressure to create something informative, to-the-point, and visually appealing — and we have to deliver it in front of an audience!

In this blog post, we’ll go over some basic principles of presentation design, including tips for designing a great presentation and layout designs you can use for your own work. By the end of the blog, you’ll have the confidence and ability to design presentations that shine.

  • Presentation design principles

Designing a presentation can feel overwhelming. When you have a lot to say but a short amount of time to say it, deciding what to include (and how to present it) can be a daunting task. Here are three principles to think about when you’re designing your next presentation.

Know your audience

Everything about your presentation — what you include, what you don’t, how to lay it out — will depend on your audience. As you start planning your presentation, ask yourself a few questions. Who is your audience? How much do they know about this topic? What is the context in which they’ll be listening to your presentation?

For example, let’s say you’re a content marketing manager giving a presentation about an editorial calendar. If you’re designing that presentation for a product marketer, it’s going to look and sound differently than if you were designing it for an engineer; you might choose to emphasize or explain different elements with fonts or graphics. Let your audience drive your design.

Employ a visual hierarchy

When you sit down to create a presentation, you have a lot of creative tools at your disposal. It’s easy to get carried away with colors, fonts, animations, and builds. That’s why it’s important to employ a visual hierarchy for each slide.

A visual hierarchy is how you choose to arrange the information on your slide so that its importance is immediately clear to your audience. Visual hierarchies impact your font sizes, titles, the colors and animation you use, whether your text is bold or italic, whether you use images, and more.

For your first slide in your deck, start by jotting down what you want people to get out of this part of your presentation. Then arrange the elements on your slide to emphasize those key points.

Design accessibly

It’s important to remember that not everyone in the audience will consume information in the same way. Some people are auditory learners, while others are more visual. Some audience members might have visual or hearing impairments. And some simply might not be able to see the presentation very well from where they’re sitting. An important part of designing good presentations is designing accessible presentations.

Fortunately, there are a couple of rules of thumb that can help you design more accessible presentations. For one, don’t use color as the only method for distinguishing information. That makes it harder for visually impaired participants to follow your presentation. Use bold typefaces, different fonts, or larger text to highlight that something is important.

In general, use large, simple, san serif fonts like Arial, Verdana, and Helvetica, and minimize the amount of text on each slide. When presenting charts or graphs, be sure to make the graphics as digestible as possible. In addition to showing the charts or graphs on a slide, take the time to explain them orally, as well. If your slides contain videos, make sure to caption them and describe the audio.

  • Tips for designing a great presentation

Now that you have a foundation, here are a few quick tips that will help you design your next presentation with ease.

Start by brainstorming

Before you even open up your design tools, it’s a good idea to begin with a quick brainstorm. Even if you already know what you want to talk about, use your brainstorming session to figure out specifically what you want your audience to come away with. Do some freewriting, bounce ideas off of your collaborators, or use a brainstorming technique like mind mapping, brain writing, or random word picker .

Treat your presentation like an essay

Remember those five-paragraph essays you used to write in high school? There’s a reason that format is so enduringly popular. It’s a clear, intuitive way for your audience to absorb information. Think of your presentation as an essay, with an introduction, a thesis, three to five supporting points, and a conclusion. That way, you’ll get right to the point, present your evidence, and wrap up efficiently.

Get creative with the visuals

Part of our goal when we design a presentation is to keep our audience engaged. Don’t be afraid to dress up your presentation with fun photos, icons, charts, and other visuals. Make sure your slides are easy to read but remember to have fun with it too!

Share your slide deck with collaborators for feedback

Just as you would with any project, gather feedback on your slide deck before delivering your presentation. Ask your teammates whether it’s clear, engaging, and easy to follow.

Practice your presentation in front of an audience

There’s no substitute for practice. To build your confidence and work out any snags in your presentation, be sure to do a practice run in front of an audience at least once before the real thing.

Types of presentations

What is the first step in designing an effective presentation? Knowing what the presentation is for, of course.

Presentations have different purposes. A quarterly presentation you are making for the investors of your dropshipping business will not be the same as an employee training slide. In the first case, your aim will be to inform and report, in the second case, the goal of the presentation is to educate. Depending on what you are trying to achieve, there are 5 types of presentations. Let’s take a look at each.

  • Informative - One of the most common presentation types, informative presentations aim to communicate important information with the audience and show new findings. Think of presenting company updates or planning a new project: informative presentations should be clear and straight to the point.
  • Persuasive - As the name suggests, the aim of this presentation type is to use important data to not simply inform the viewers, but to persuade them to take a specific action. Persuasive presentations are what you should show to potential investors when telling them about the user acquisition growth speed of your company.
  • Educational - Often confused with informative presentations, educational presentations are different because they aim to not simply inform, but to teach the viewers new skills and educate them about a new topic. Staff training slides or academic presentations are a great example of this slide type. You can go as far as making a tutorial video and including it in the slides, adding notes and key points next to it.
  • Inspirational - Often used by managers and team leaders, inspirational presentations aim to cause a spark and motivate employees to work harder. Presentations of this type usually have a highly emotional message the aim of which is to inspire viewers to take a particular action.
  • Problem-solving - This presentation type does a particularly good job at hooking the audience, as the key part of this presentation is the problem they are facing. Then, during the presentation, you are showing them how you are going to solve that problem. An example of this would be discussing how hard it is for large companies to hire qualified people by sharing statistics, then presenting your new HR automation tool and showing its benefits.

7 presentation design tips for beginners

Are you ready to jump into it? Here are 7 golden tips that will help you design presentation slides you can be proud of.

1. Outline your content and refine the key message

What is the first step in designing an effective presentation? You need to prepare your content and refine the key message. Try to understand what your audience wants to know, what they may already know, and what is more likely to keep them engaged. Then, keep this information in mind as you prepare your content for your presentation. What is the main takeaway from each slide?

Choose a working title and have a clear point for each of the slides. Understand what you want your slide to tell people. For example, instead of “Using hashtags for Instagram ” go with “Using hashtags for Instagram increases engagement by 12.5%.”

Keep your content specific and informative, but as concise as possible. Simplify your sentences, keep only the main point without writing an excessive amount of information on the slide. Below are two examples of a slide with the same information. Which one do you think is more readable?

2. Pick a framework

Now it’s time to pick the framework you are going to use to make your professional presentation design. Do you want to create a presentation from scratch, or go with something pre-built?

There are many terrific presentation design templates available online, on platforms like Canva, Visme, and Venngage. Still, you should never use a presentation template without editing it .

Changing the color scheme or fonts to match your brand may seem like a small detail, but it will greatly improve the overall impression of your presentation. It also helps to strengthen your brand identity (whether for a personal or business brand marketing ), and demonstrates professionalism and care.

Another important thing is not to limit your creativity to pre-built presentations. That’s why it’s also advisable to explore presentation designs on platforms, such as Behance, Dribble, and 99Designs.

Sure, most of these will have been done by professional designers, and may be a little challenging for beginners to recreate. However, understanding just how creative PowerPoint presentation design can be will help you shed your preconceptions and explore new creative routes.

3. Choose a color scheme and fonts

The best presentation design will be limited to a handful of options as too many colors will create chaos on your slide and make it harder for the readers to understand.

If you have a brand guide in place, it’s best to stick to colors and fonts used in your branding. However, remember that a PowerPoint presentation design is supposed to keep viewers engaged. So, even if your brand colors are soothing muted tones, a bright element here and there can work well to draw attention to the key messages.

4. Make it visual

Sharing your information only as texts and bullet points is a lazy way out. When you design presentation slides, consider how you can present information visually. This will help your audience understand and take in key messages faster.

A simple example of this is adding relevant icons instead of simple bullet points. Colored or outlined texts next to realistic and relevant photos make the presentation a lot more enjoyable and keep the viewers entertained.

Graphs and charts are a business presentation design staple. However, you can also think about different design elements that can be both surprising and effective. For example, a simple illustration instead of a dull stock photo will delight your audience and keep them engaged.

5. Pay attention to the layout

Your slide layout is the area where all of your presentation elements (photos, texts, icons, logo) are contained. Most presentation tools come with pre-built layouts you can use.

You can also create your own layout from scratch. In both cases, the main aim is to design a beautiful slide that doesn’t overwhelm the viewer. Include plenty of white space in your layout, don’t crowd it with too many text boxes and elements. If the elements are different, as they often will be, keep similar one close to each other. Keep your layout as clean and simple as you can.

6. Align and position

Nothing screams amateur more than jumping texts and layouts from slide to slide. Mismatching logos and design elements jumping here and there showcase a lack of professionalism and give an impression that you’ve put your presentation in a hurry. Not to mention that they are sometimes extremely annoying and distractive!

So, whenever you are working on your slides, always align and position them properly. No matter the presentation tool used, chances are, it will have an alignment tool.

Presentation software such as Keynote and Figma even offer an option to create background grids to help with the alignment. Below is an example of a slide, before and after aligning the texts and icons. Notice the difference?

7. Stay consistent

As you progress through the design of your presentation, it is essential that you stay consistent. No matter how many slides your presentation has, they are still part of one presentation. And you don’t always have to keep the same background color, or slide themes for this. Consistency in design can be achieved through design elements, color schemes, and similar illustrations.

Take a moment to look at these three slides. Although some of the slides seem to be styled differently from the rest, the color scheme of design elements holds the presentation together. It’s crucial to make sure that each one of your slides is visually connected to the previous one, to make sure your viewers don’t lose track of what you were saying.

PowerPoint Layout: Tips & Tricks Plus 6 Modern Ideas for Your Slide Layout!

A well-designed PowerPoint layout is essential for any presentation. Why? Simple: a visually interesting and coherent slide grabs your audience’s attention and makes you and your content look professional.

A good PowerPoint layout creates a common thread running through your presentation by coordinating design elements. This allows your audience to easily follow the content of your presentations without getting distracted, meaning your ideas come across clearly and you can deliver your message effectively.

Creating a PowerPoint layout is easy, and allows you to customize your presentations to best effect. In this article, we show you which aspects you need to pay attention to in order to guarantee a good slide layout.

PowerPoint Layouts: What exactly do they involve?

A PowerPoint layout basically contains important formatting, placeholders and positioning for your slide content. Using these guidelines, you can easily build a great presentation, inserting the images, text, and charts you need to persuade the audience of your ideas.

PowerPoint slide layouts pull together the design elements which are so important to a coordinated presentation: colors, fonts, backgrounds and effects are preset for you. They can of course be modified individually once you’ve decided on your layout, but setting them leaves you time to concentrate on the content you want to present, rather than fiddling with design. Here is an example of the design elements which might make up a slide:

Why use a PowerPoint Layout? The advantages

PowerPoint layouts help you build a presentation quickly and easily with preset placeholders, designs and positioning. Because the elements of your slides are already coordinated, you don’t have spend time trying to make your slides look uniformly professional, attempting to line up content perfectly, or messing about trying to balance different elements.

A PowerPoint layout means one thing above else: saving you time. And that‘s a huge advantage: the time you save can now be used to concentrate on the actual content of your presentation.

What’s more, using a preset slide layout makes you look professional. Your slides are coordinated throughout, letting your audience follow the thread of your arguments without getting distracted.

Creating PowerPoint Layout: Here’s how!

  • Open Microsoft PowerPoint.
  • Click Start , then in the Slides group, select Layout .

3. A window will open with a selection of slide layouts.

4. Choose the template which best suits your needs; you can use it as it is or change individual elements (see below).

Modifying a Preset PowerPoint Layout

So you like the layout you’ve chosen, but want to customize it by changing some of the elements? No problem. This is where the Slide Master function in PowerPoint comes in:

1. Select Slide Master in the View tab.

2. When the thumbnail area pops up, select the slide that comes closest to the layout you want.

(Tip: If you don’t like any of the layouts on offer, select Blank and make up your own layout with placeholders, etc. We’ve set out how to do this in the chapter “Nothing in the preset options appeals? Just create your own personal PowerPoint layout!” below.)

3. To change the layout, just read on:

Adding a Placeholder

Simply click Insert Placeholder in the Slide Master tab. Select the type of placeholder you want. Then decide where you want to put it on the layout, and drag the cursor to insert the placeholder.

Resizing a Placeholder

Select the slide on which you want to change the placeholder in the View tab in Slide Master , then click the placeholder. Click on a corner and drag (the cursor will change to a crossed arrow) until the placeholder is the size you want.

Changing a Placeholder’s Position

To move a placeholder, hover the cursor over it. Once the cursor changes to the double arrow, just click and drag to the right place.

Deleting a Placeholder

To remove a placeholder, select Slide Master in the View tab, and click on the slide containing the placeholder you want to remove. Select the placeholder in the layout and then press delete.

Rotating a Placeholder

Click on the placeholder; an arrow curving round in a circle will appear at the top.  Just click on that and drag it round to rotate the element any way you want.

Bring particular elements into the foreground, or send them to the background

Right-click on the element you want to highlight or mute, and a drop-down menu will open. Select either Bring to Front or Send to Back , and save.

When you’ve made the changes you want, click Close Master View in the Slide Master tab.

  • In Normal view, in the Thumbnails pane, select all the slides you’ve just revised. (To select multiple slides, hold down Ctrl and click to select the slides you want.)
  • Next, select Layout from the Home tab and select the layout containing the placeholders you just changed. This step finalizes the placeholder change by re-inserting the changed slide layout onto a final edited slide.

Duplicating a PowerPoint Layout

Once you’ve got a slide layout exactly to your liking, it’s easy to duplicate it so that you can use the same layout on multiple slides. This also applies to preset slide layouts, of course. Here’s how: In the View tab, click on the Normal option:

  • An overview of all your slides will now appear on the left. Right-click the slide whose layout you want to duplicate.
  • Then select Duplicate Slide in the menu that opens. A slide with an identical layout will appear.

Nothing in the Preset Options Appeals? Just create Your Own Personal PowerPoint Layout!

So you already know that using the preset slide layouts saves time and allows you to modify where needed, you really don’t like any of the preset slide layouts. No worries – you can create a custom layout that’s exactly what you need in just a few steps:

  • Select Slide Master in the View tab.
  • Slides with suggested layouts will now appear on the left.

  • Right-click on any of the options (don’t worry about it not being what you want; you can change what you need later) and select Insert Layout, or click on Insert Layout from the menu at the top.

  • Renaming the layout helps you to keep track and to find it later. To do this, right-click it again and select Rename Layout , then type in the new name.

  • Now you can start editing. Delete all the preset placeholders if you don’t want them, or leave some in and edit them (see above) – it’s up to you.
  • Insert the placeholders you want for your layout using the Insert Placeholders option. You can choose text, content, chart, or other layouts in the drop-down menu. After selecting a layout, drag the placeholder to the position you need. You can rotate it, resize it and edit it as shown in the paragraph “Modifying a preset PowerPoint layout” above.
  • Done with your editing? Then close the master view – select Close Master View in the Slide Master tab under Close .
  • Now save and close your presentation.
  • When you open the presentation again, you can now search for your personalized layout –  select the New Slide option from the Start menu under Slides . Just search for your renamed PowerPoint layout in the selection that opens..

Tip: If you want to use your layout in an existing presentation, you have to make a small detour. Open the relevant presentation and select the Browse for Designs option in the Design tab. You will find this under Designs when you open the drop-down menu to the right of the selection (see screenshot).

Save Your Personalized PowerPoint Layout as a Template!

Saving your layout as a template makes it really easy to use in future presentations.  Here’s how:

  • While in the layout, go to the File tab. This will take you to the PowerPoint start menu. 
  • Select Save As .

  • Find your template in C:\Users\<your username>\Documents\Custom Office templates.
  • Select the file type PowerPoint Template and save.

Next time you open PowerPoint, you can use your template by clicking New when you open PowerPoint, selecting Custom Office Templates , and clicking on Create once you’ve selected your individualized PowerPoint template.

Professional Design for Your Slide Layout: 6 PowerPoint Layout Ideas that will make Your Presentation a Real Eye-Catcher!

Persuading your audience of your ideas, so achieving your goals, and really standing out with your presentation, is so much easier with an excellent layout.  We’ve put together six professionally designed and effective PowerPoint layout ideas for you, illustrated with reference pictures of slides we’ve designed for clients:

1.      PowerPoint Layouts for Title Slides

Every presentation needs a title slide. Since this slide is always the first slide you present, and so the first slide that your audience sees – often as soon as they enter the presentation room – you need to design this slide for maximum impact.

In 2022, the trend for title slides is toward large-format images. When selecting your background image, be sure to choose one that will appeal to your audience right from the get-go. For example, go for a theme related to your topic or business. In this example, the steering wheel motif is appropriate for the automotive group GG:

Using large-format images doesn‘t mean missing out on a powerful headline.  This needs to stand out.

So either use an area of your image that is neutral, or opt for modern overlays or transparent designs. With the latter you bring some color into play, so you need to adjust the contrast to the background image to make your headline stand out effectively. Here are some examples:

Using overlays or transparent design allows you to create just the slide you need. You can use color gradients (see the GG Group title slide above), whole areas (see the Uni Per slide) or shapes (below). How you compose the slide that’s right for your presentation is completely up to you.

2.    PowerPoint Layouts for Agenda Slides

Your agenda slide reflects the content of your presentation and so it’s important to get it right. Info and tips about these in PowerPoint can be found in this article .

Agenda slide layouts can either be structured traditionally as a tabulated list, or presented as a process. Large-format images can make an impact here, too. You can use them either in portrait format or as a complete background. It‘s important to leave enough space to get your agenda points over. You can also use a grid as a guide for agenda layouts. To do this, take a look at the slide below. Here you see a three-part grid: 1/3 space for the agenda items, 2/3 space for the picture. (Or, for agendas with more points, in reverse (i.e. 1/3 image and 2/3 agenda).

This shows eight equally sized image boxes, going from left to right, in two rows. Obviously, you can customize the background image and layout to your exact needs.

3.      PowerPoint Layouts for Slides combining Images and Text

Layouts for image-text combinations are especially important in the body of your presentation. These can include bulleted lists, product presentations or even portfolios. What’s important here is how image and text interact within the slide.

One classic layout which works well is an image with your text underneath. An interesting modern variant on this is to put several images alongside each other, as below:

You can also use a grid as a guide for image-text combinations. In general, this works best with a three, four or five images. Using more than that means your slide will look cluttered and your content will be difficult to read.

5.      PowerPoint Layouts for Lists

When you want to present lists of items, bullet points are of course the classic choice, but increasingly people are choosing to visualize them as a process form, right up-to-date and attention-grabbing. The layout below, visualizing the process from left to right, makes your list easily comprehensible.

You can also make great use of a circular form; more and more people are moving away from the old rectangular box.

6.      Further Options for Image/Text Layouts

We’ve already covered image-text layouts above, but here are a few more ideas to make your presentations get noticed.

Option 1: Text on the left, image on the right

This option is a classic layout, as it works with the fact that English is read from left to right.  So your audience grasps the content first, then it’s reinforced by the image. This also makes your text easier to read, as the lines are shorter.

A simple way to create a well-designed presentation is to make sure all items on a slide are intentionally aligned. To do this, hold down Shift and select all the objects you want to include. Then choose Arrange in the options bar and apply Alignment Type .

17. Limit Punctuation

This isn’t the place for exclamation points. Emphasize your points (while speaking). Don’t enlist punctuation to do this for you. (Leave these at home!!!)

18. Avoid Over-Formatting Your Points

This PowerPoint presentation tip is simple. There’s no need to have every word of every bullet point capitalized, or to have all your bullet points in title case. If possible, drop bullets altogether. Again, the simpler, the better!

Delivery is probably more important than the actual content. Here’s how to become more aware of your own unique ticks, and how to present like a polished pro:

20. I’ll Say It Again, Rehearse!

Just do it. Again and again. Experiment with pauses, gestures, and body language. Practice around one hour for every minute of your speech.

21. Practice With a Timer

Consistency is key to an effective PowerPoint presentation. The timing should be similar (ideally the same) each time you rehearse. This one will especially pay off when it’s time to present in front of your audience.

22. Slow It Down

Many of the best speakers today intentionally speak slowly. You’ll have the chance to emphasize, appear more thoughtful, and make your information easier to digest.

23. Pause More Often

Like the prior tip, pausing more often allows your main points to be emphasized and gives time for information to sink in. You need to let key points breathe a little before rushing into the next section.

24. Record Yourself

Use your phone’s voice recorder. Assess and critique yourself. Consider:

  • Are your pauses too short or too long?
  • Are you speaking slowly enough? Too slow?
  • When you’re nervous, does your voice get high like the mice in Cinderella?

It’s always weird to hear your own voice recorded; don’t stress it. Use this as a time to adjust.

25. Choose Three Focal Points in the Room

If you stare at the same spot (or even creepier, the same person) the entire time, your presentation will be ineffective (and awkward.) People will be distracted by you, wondering what you’re staring at.

Try this: pick three points in the room (typically: left, center, right). Take time to direct your delivery toward each physical focal point in the room. Also, focus on the center when making your primary points.

26. Vary Your Sentence Length

This makes you sound more interesting, and it’s easier for your audience to follow. Think short and punchy. Or go long and complex for dramatic effect.

27. Modulate!

Don’t speak in monotone for your whole presentation. Be conscious of raising and lowering your voice tone. Otherwise, people will tune you out, and you’ll come across like the teacher in Charlie Brown.

28. Practice in Front of a Mirror

What you look like is as important as how you sound. Pretend you’re having a normal conversation, and allow your hands to move with your speech to emphasize your points. Just don’t get carried away! (I’m thinking Brene Brown or President Obama , not your Aunt Jamie after a few gin and tonics.)

29. Use “Present Mode” When Rehearsing

When you finally are ready to hit the Present button in PowerPoint, make sure you use the Present Mode option. This allows you (and only you) to view extra notes about each slide—just in case you forget something!

If possible, try doing a few real live test runs as a webinar or even at a local Toastmasters organization to get some feedback from a live audience.

There’s no reason that a presentation should be one-sided. Why not invert the format and ask your audience a question?

33. Lighten Up Your Mood

Tell yourself a joke or watch a funny video clip. Do this before the presentation, of course. Research concludes that happy people are more productive. More productive is more focused and able to perform better.

34. Remind Yourself to Take It Slow

When we’re stressed or nervous (or both), we tend to speak faster. Consciously, take yet another deep breath and remind yourself to take it slow!

35. Read the Room

Every presentation room has a temperature. It’s your job as a speaker to gauge it and tailor your presentation to it.

Here’s a great example. Layoffs are coming at a company, and you’re asked to speak to an audience. Even if the audience isn’t personally affected by the actions, you’ve got to consider the morale of the workforce.

Skilled speakers have a knack for reading the energy of the room and adjusting their presentation on the fly.

The last thing that group will want to hear is how strong the economy is and why the company is the best place to work. That doesn’t mean that you’ve got to align to their uncertainty, but don’t go too far against the grain while presenting.

Robert Kennedy III is a master of bringing energy and aligning a speech to the audience. Here’s his advice for adjusting:

“It can be hard to wake up a “dead” crowd but go for it. Most of all, don’t take their energy personally. Focus on serving them with every bit of your fiber then leave empty.”

37. Stop With the Sound Effects

Sound effects are distracting and outdated. In most cases, avoid them. Add audio or music to your presentation to inject interest or highlight an important point, but it’s something to take extra care with. If you insert audio, then make sure your use really connects with your audience and has a fresh approach. Otherwise, it’s best to leave it out.

38. Don’t Use Flashy Slide Transitions

Again, this is distracting and outdated. Use transitions and subtle animations in your PowerPoint presentation. But you need to take care and do it right .

39. Beware of Clip Art

This PowerPoint presentation tip shouldn’t even have to be said. But please, please don’t use clip art. Use professional graphics instead.

40. Don’t Be Afraid to Be Afraid

The fear of public speaking is a real one. Many beginners think that if they’re feeling nervous that a presentation won’t go well or succeed. That might lead them to cancel the presentation.

Here’s a tip from expert Sandra Zimmer, who leads The Self-Expression Center on conquering your fears before you take the stage:

“Get out of your head and into your body. I do this through a grounding exercise that really works to calm nerves and bring you present in the moment.”

If you think that public speaking fears aren’t normal, you might never give your award-winning presentation. So don’t be afraid to be afraid, and acknowledge it’s part of the process!

41. Don’t Read Directly During Your PowerPoint Presentation

If you spend your entire presentation looking at the screen or your note cards, you’re sure to lose your audience’s attention. They’ll disengage from what you’re saying, and your presentation will fall flat.

Reading from your paper or screen also makes it look like you’re not prepared. Many people do it, but no one should. As a general rule, only present something you know well and have, at least mostly, memorized the main points of.

But that’s why animations get an unfairly bad reputation. Use animations to create motion and hold an audience’s attention. Use them sparingly and on key elements on your slide, and you’ll capture that attention properly.

45. Stage Key Content With Animations

You just learned that animations should avoid being distracting. But there’s an important principle to using animations properly. It’s called staging content.

Staging content means that the content appears step by step. There’s nothing worse than overwhelming an audience with all your content at once. But when you stage content, bring it on step by step.

49. Use Presenter View

Remember that when you use the PowerPoint, you’ re the presentation. The slides are just there to reinforce what you’ve got to say and support your speaking points.

That’s why I always recommend using Presenter view. More often than not, you’re going to have several displays. Presenter view shows your content on your screen, while your presentation is displayed on another screen.

1. Dedicate each slide to only one topic

Just as it’s important for your slides to not be cluttered, it’s also important for your slides to be cohesive.

Keep each slide focused on just one topic. The topic of each slide should be clearly stated in the slide title.

This simple, straightforward slide pattern will help the audience follow along without any confusion.

Before jumping into the other tips, let’s set the foundation.

Even if you decide to ignore most of the other tips in this guide, don’t skip over this one. This is presentation design 101.

When you flip to a slide covered wall-to-wall with text, there’s a good chance your audience is going to think:

  • I don’t want to read all of that.
  • This presenter isn’t well-prepared.

In fact, a study published in Business and Professional Communication Quarterly found that anxious presenters tended to use more text on their slides, usually because they used their slides as speaking notes.

Instead of using a bunch of text, look for ways to present information visually charts and infographics .

4. Establish a visual hierarchy on your slides

When you flip to a new slide, your audience will be seeing it for the first time. Their eyes are going to naturally be drawn whatever the focal point on the page is.

The focal point is the most dominant area on your slide–the point that draws the most attention.

You can create a hierarchy of information on your slide by making the most important information the focal point of your slide. In most cases, the focal point will be the slide title, or a particular visual, or an important phrase or number.

There are a few ways you can create a visual hierarchy on your slides.

You can bold important phrases, like the word “Facebook” in this slide:

Icons also help to establish a reading order. They draw your eye from point to point. Placing icons beside headers and important points will make them stand out from the other information on the slide.

Icons can also be used to indicate where a new point begins:

Color selection can also be used to establish a visual hierarchy. Take a look at how the colorful blocks in this slide help to make the slide titles pop:

Your eyes are drawn first to the title text, then to the supporting information beside it.

5. Pick a visual motif that runs throughout your presentation templates

You can use visuals to pull your presentation design together and make it cohesive. Picking a visual motif will allow you to use consistent visuals throughout your presentation.

A visual motif is a repeated pattern, design, or image. In your presentation design, a motif can take many forms.

When it comes to infographic color selection , one of the simplest approaches is to use a consistent color motif (or color scheme). That could mean using one or two colors for all of your headers, background and borders.

6. Visualize data using charts and infographics

Replacing text with visuals is one of the best ways to prevent your slide design from becoming cluttered. Charts and infographics present information in an engaging, digestible way.

But I’ll give you a few ideas for some types of charts and infographics that work well in presentations.

If you want to visualize steps in a process, the history of something, or a roadmap, use a timeline.

This slide template uses a simple timeline with complementary icons to emphasize each date:

To create an infographic for geographic and demographic information , a map can make a big impact on your audience:

If you can, mix up the types of data visualizations you use. This will help prevent your audience from getting bored.

7. Create custom illustrations using icons to help tell stories

Custom illustrations are one of this year’s  biggest graphic design trends . They’re fun, quirky, and more exciting than a boring old stock photo.

Creating your own illustrations for social media graphics might seem like a costly and time-consuming undertaking. And it can be. But I’m going to offer you a hack:

8. Highlight important information using big, bold colorful text

Returning to the idea or focal points on your slide: emphasize a key number or phrase when creating a persuasive presentation using big, bold text in a contrasting color.

This will communicate to your audience that if they take away one thing from your slide, it should be that piece of information.

For example, this presentation template uses bright colored font in several sizes larger than the rest of the text to emphasize important numbers on each slide:

But you could also pick one color to emphasize key information with. That way, your audience will catch on to the pattern and look for that color in upcoming slides.

9. Alternate between different slide layouts to keep your audience engaged

You may be tempted to use the same slide layout throughout your entire presentation–either for consistency or because you’re not sure how else to design your slide.

The problem is, using the same slide layout over and over again won’t do much to excite your audience.

There are other ways you can create consistency throughout your presentation, while also using different slide layouts–like through a visual motif.

For example, this presentation template uses five different slide layouts. The consistent color scheme, image style and font style pull the presentation together.

To come up with different slide layouts, try dividing your slide into columns. This can make it easier to arrange the elements in your slide.

10. Add a progress tracker to your presentation slides

Creating a sense of forward movement will help keep your audience engaged.

Similar to how you would put the chapter title at the top of the pages in a book, you can track the progress of your presentations in your slides. This will let your audience know what stage you’re at in your presentation. Your audience will also be able to refer to the sections in your presentation more easily afterward.

The good news is you don’t have to be a professional designer to make professional presentations. We’ve put together a few simple guidelines you can follow to create a beautifully assembled deck.

We’ll walk you through some slide design tips, show you some tricks to maximize your PowerPoint skills, and give you everything you need to look really good next time you’re up in front of a crowd.

And, while PowerPoint remains one of the biggest names in presentation software, many of these design elements and principles work in Google Slides as well.

Let’s dive right in and make sure your audience isn’t yawning through your entire presentation.

1. Use Layout to Your Advantage

Layout is one of the most powerful visual elements in design, and it’s a simple, effective way to control the flow and visual hierarchy of information.

For example, most Western languages read left to right, top to bottom. Knowing this natural reading order, you can direct people’s eyes in a deliberate way to certain key parts of a slide that you want to emphasize.

You can also guide your audience with simple tweaks to the layout. Use text size and alternating fonts or colors to distinguish headlines from body text.

Placement also matters. There are many unorthodox ways to structure a slide, but most audience members will have to take a few beats to organize the information in their head—that’s precious time better spent listening to your delivery and retaining information.

Try to structure your slides more like this:

2. No Sentences

This is one of the most critical slide design tips. Slides are simplified, visual notecards that capture and reinforce main ideas, not complete thoughts.

As the speaker, you should be delivering most of the content and information, not putting it all on the slides for everyone to read (and probably ignore). If your audience is reading your presentation instead of listening to you deliver it, your message has lost its effectiveness.

Pare down your core message and use keywords to convey it. Try to avoid complete sentences unless you’re quoting someone or something.

3. Follow the 6×6 Rule

One of the cardinal sins of a bad PowerPoint is cramming too many details and ideas on one slide, which makes it difficult for people to retain information. Leaving lots of “white space” on a slide helps people focus on your key points.

Try using the 6×6 rule to keep your content concise and clean looking. The 6×6 rule means a maximum of six bullet points per slide and six words per bullet. In fact, some people even say you should never have more than six words per slide!

Just watch out for “orphans” (when the last word of a sentence/phrase spills over to the next line). This looks cluttered. Either fit it onto one line or add another word to the second line.

4. Keep the Colors Simple

Stick to simple light and dark colors and a defined color palette for visual consistency. Exceptionally bright text can cause eye fatigue, so use those colors sparingly. Dark text on a light background or light text on a dark background will work well. Also avoid intense gradients, which can make text hard to read.

5. Use Sans-Serif Fonts

Traditionally, serif fonts (Times New Roman, Garamond, Bookman) are best for printed pages, and sans-serif fonts (Helvetica, Tahoma, Verdana) are easier to read on screens.

Try to stick with one font, or choose two at the most. Fonts have very different personalities and emotional impacts, so make sure your font matches the tone, purpose, and content of your presentation.

6. Stick to 30pt Font or Larger

Many experts agree that your font size for a PowerPoint presentation should be at least 30pt. Sticking to this guideline ensures your text is readable. It also forces you, due to space limitations, to explain your message efficiently and include only the most important points. .

7. Avoid Overstyling the Text

Three of the easiest and most effective ways to draw attention to text are:

  • A change in color

Our eyes are naturally drawn to things that stand out, but use these changes sparingly. Overstyling can make the slide look busy and distracting.

8. Choose the Right Images

The images you choose for your presentation are perhaps as important as the message. You want images that not only support the message, but also elevate it—a rare accomplishment in the often dry world of PowerPoint.

But, what is the right image? We’ll be honest. There’s no direct answer to this conceptual, almost mystical subject, but we can break down some strategies for approaching image selection that will help you curate your next presentation.

The ideal presentation images are:

  • Inspirational

These may seem like vague qualities, but the general idea is to go beyond the literal. Think about the symbols in an image and the story they tell. Think about the colors and composition in an image and the distinct mood they set for your presentation.

With this approach, you can get creative in your hunt for relatable, authentic, and inspirational images. Here are some more handy guidelines for choosing great images.

Illustrative, Not Generic

So, the slide in question is about collaborating as a team. Naturally, you look for images of people meeting in a boardroom, right?

While it’s perfectly fine to go super literal, sometimes these images fall flat—what’s literal doesn’t necessarily connect to your audience emotionally. Will they really respond to generic images of people who aren’t them meeting in a boardroom?

In the absence of a photo of your actual team—or any other image that directly illustrates the subject at hand—look for images of convincing realism and humanity that capture the idea of your message.

Doing so connects with viewers, allowing them to connect with your message.

The image above can be interpreted in many ways. But, when we apply it to slide layout ideas about collaboration, the meaning is clear.

It doesn’t hurt that there’s a nice setting and good photography, to boot.

Supportive, Not Distracting

Now that we’ve told you to get creative with your image selection, the next lesson is to rein that in. While there are infinite choices of imagery out there, there’s a limit to what makes sense in your presentation.

Let’s say you’re giving an IT presentation to new employees. You might think that image of two dogs snuggling by a fire is relatable, authentic, and inspirational, but does it really say “data management” to your audience?

To find the best supporting images, try searching terms on the periphery of your actual message. You’ll find images that complement your message rather than distract from it.

In the IT presentation example, instead of “data connections” or another literal term, try the closely related “traffic” or “connectivity.” This will bring up images outside of tech, but relative to the idea of how things move.

Inspiring and Engaging

There’s a widespread misconception that business presentations are just about delivering information. Well, they’re not. In fact, a great presentation is inspirational. We don’t mean that your audience should be itching to paint a masterpiece when they’re done. In this case, inspiration is about engagement.

Is your audience asking themselves questions? Are they coming up with new ideas? Are they remembering key information to tap into later? You’ll drive a lot of this engagement with your actual delivery, but unexpected images can play a role, as well.

When you use more abstract or aspirational images, your audience will have room to make their own connections. This not only means they’re paying attention, but they’re also engaging with and retaining your message.

To find the right abstract or unconventional imagery, search terms related to the tone of the presentation. This may include images with different perspectives like overhead shots and aerials, long exposures taken over a period of time, nature photos , colorful markets , and so on.

The big idea here is akin to including an image of your adorable dog making a goofy face at the end of an earnings meeting. It leaves an audience with a good, human feeling after you just packed their brains with data.

Use that concept of pleasant surprise when you’re selecting images for your presentation.

9. Editing PowerPoint Images

Though you can drag-and-drop images into PowerPoint, you can control the resolution displayed within the file. All of your PowerPoint slide layout ideas should get the same treatment to be equal in size.

Simply click File > Compress Pictures in the main application menu.

If your presentation file is big and will only be viewed online, you can take it down to On-screen , then check the Apply to: All pictures in this file , and rest assured the quality will be uniform.

This resolution is probably fine for proofing over email, but too low for your presentation layout ideas. For higher res in printed form, try the Print setting, which at 220 PPI is extremely good quality.

For large-screens such as projection, use the HD setting, since enlarging to that scale will show any deficiencies in resolution. Low resolution can not only distract from the message, but it looks low-quality and that reflects on the presenter.

If size is no issue for you, use High Fidelity (maximum PPI), and only reduce if the file size gives your computer problems.

The image quality really begins when you add the images to the presentation file. Use the highest quality images you can, then let PowerPoint scale the resolution down for you, reducing the excess when set to HD or lower.

Resizing, Editing, and Adding Effects to Images in PowerPoint

PowerPoint comes with an arsenal of tools to work with your images. When a picture is selected, the confusingly named Picture Format menu is activated in the top menu bar, and Format Picture is opened on the right side of the app window.

In the Format Picture menu (on the right) are four sections, and each of these sections expand to show their options by clicking the arrows by the name:

  • Fill & Line (paint bucket icon): Contains options for the box’s colors, patterns, gradients, and background fills, along with options for its outline.
  • Effects (pentagon icon): Contains Shadow, Reflection, Glow, Soft Edges, 3-D Format and Rotation, and Artistic Effects.
  • Size & Properties (dimensional icon): Size, Position, and Text Box allow you to control the physical size and placement of the picture or text boxes.
  • Picture (mountain icon): Picture Corrections, Colors, and Transparency give you control over how the image looks. Under Crop, you can change the size of the box containing the picture, instead of the entire picture itself as in Size & Properties above.

The menu at the top is more expansive, containing menu presets for Corrections, Color, Effects, Animation, and a lot more. This section is where you can crop more precisely than just choosing the dimensions from the Picture pane on the right.

Cropping Images in PowerPoint

The simple way to crop an image is to use the Picture pane under the Format Picture menu on the right side of the window. Use the Picture Position controls to move the picture inside its box, or use the Crop position controls to manipulate the box’s dimensions.

To exert more advanced control, or use special shapes, select the picture you want to crop, then click the Picture Format in the top menu to activate it.

Hit the Crop button, then use the controls on the picture’s box to size by eye. Or, click the arrow to show more options, including changing the shape of the box (for more creative looks) and using preset aspect ratios for a more uniform presentation of images.

The state of AI in early 2024: Gen AI adoption spikes and starts to generate value

If 2023 was the year the world discovered generative AI (gen AI) , 2024 is the year organizations truly began using—and deriving business value from—this new technology. In the latest McKinsey Global Survey  on AI, 65 percent of respondents report that their organizations are regularly using gen AI, nearly double the percentage from our previous survey just ten months ago. Respondents’ expectations for gen AI’s impact remain as high as they were last year , with three-quarters predicting that gen AI will lead to significant or disruptive change in their industries in the years ahead.

Organizations are already seeing material benefits from gen AI use, reporting both cost decreases and revenue jumps in the business units deploying the technology. The survey also provides insights into the kinds of risks presented by gen AI—most notably, inaccuracy—as well as the emerging practices of top performers to mitigate those challenges and capture value.

AI adoption surges

Interest in generative AI has also brightened the spotlight on a broader set of AI capabilities. For the past six years, AI adoption by respondents’ organizations has hovered at about 50 percent. This year, the survey finds that adoption has jumped to 72 percent (Exhibit 1). And the interest is truly global in scope. Our 2023 survey found that AI adoption did not reach 66 percent in any region; however, this year more than two-thirds of respondents in nearly every region say their organizations are using AI. 1 Organizations based in Central and South America are the exception, with 58 percent of respondents working for organizations based in Central and South America reporting AI adoption. Looking by industry, the biggest increase in adoption can be found in professional services. 2 Includes respondents working for organizations focused on human resources, legal services, management consulting, market research, R&D, tax preparation, and training.

Also, responses suggest that companies are now using AI in more parts of the business. Half of respondents say their organizations have adopted AI in two or more business functions, up from less than a third of respondents in 2023 (Exhibit 2).

Gen AI adoption is most common in the functions where it can create the most value

Most respondents now report that their organizations—and they as individuals—are using gen AI. Sixty-five percent of respondents say their organizations are regularly using gen AI in at least one business function, up from one-third last year. The average organization using gen AI is doing so in two functions, most often in marketing and sales and in product and service development—two functions in which previous research  determined that gen AI adoption could generate the most value 3 “ The economic potential of generative AI: The next productivity frontier ,” McKinsey, June 14, 2023. —as well as in IT (Exhibit 3). The biggest increase from 2023 is found in marketing and sales, where reported adoption has more than doubled. Yet across functions, only two use cases, both within marketing and sales, are reported by 15 percent or more of respondents.

Gen AI also is weaving its way into respondents’ personal lives. Compared with 2023, respondents are much more likely to be using gen AI at work and even more likely to be using gen AI both at work and in their personal lives (Exhibit 4). The survey finds upticks in gen AI use across all regions, with the largest increases in Asia–Pacific and Greater China. Respondents at the highest seniority levels, meanwhile, show larger jumps in the use of gen Al tools for work and outside of work compared with their midlevel-management peers. Looking at specific industries, respondents working in energy and materials and in professional services report the largest increase in gen AI use.

Investments in gen AI and analytical AI are beginning to create value

The latest survey also shows how different industries are budgeting for gen AI. Responses suggest that, in many industries, organizations are about equally as likely to be investing more than 5 percent of their digital budgets in gen AI as they are in nongenerative, analytical-AI solutions (Exhibit 5). Yet in most industries, larger shares of respondents report that their organizations spend more than 20 percent on analytical AI than on gen AI. Looking ahead, most respondents—67 percent—expect their organizations to invest more in AI over the next three years.

Where are those investments paying off? For the first time, our latest survey explored the value created by gen AI use by business function. The function in which the largest share of respondents report seeing cost decreases is human resources. Respondents most commonly report meaningful revenue increases (of more than 5 percent) in supply chain and inventory management (Exhibit 6). For analytical AI, respondents most often report seeing cost benefits in service operations—in line with what we found last year —as well as meaningful revenue increases from AI use in marketing and sales.

Inaccuracy: The most recognized and experienced risk of gen AI use

As businesses begin to see the benefits of gen AI, they’re also recognizing the diverse risks associated with the technology. These can range from data management risks such as data privacy, bias, or intellectual property (IP) infringement to model management risks, which tend to focus on inaccurate output or lack of explainability. A third big risk category is security and incorrect use.

Respondents to the latest survey are more likely than they were last year to say their organizations consider inaccuracy and IP infringement to be relevant to their use of gen AI, and about half continue to view cybersecurity as a risk (Exhibit 7).

Conversely, respondents are less likely than they were last year to say their organizations consider workforce and labor displacement to be relevant risks and are not increasing efforts to mitigate them.

In fact, inaccuracy— which can affect use cases across the gen AI value chain , ranging from customer journeys and summarization to coding and creative content—is the only risk that respondents are significantly more likely than last year to say their organizations are actively working to mitigate.

Some organizations have already experienced negative consequences from the use of gen AI, with 44 percent of respondents saying their organizations have experienced at least one consequence (Exhibit 8). Respondents most often report inaccuracy as a risk that has affected their organizations, followed by cybersecurity and explainability.

Our previous research has found that there are several elements of governance that can help in scaling gen AI use responsibly, yet few respondents report having these risk-related practices in place. 4 “ Implementing generative AI with speed and safety ,” McKinsey Quarterly , March 13, 2024. For example, just 18 percent say their organizations have an enterprise-wide council or board with the authority to make decisions involving responsible AI governance, and only one-third say gen AI risk awareness and risk mitigation controls are required skill sets for technical talent.

Bringing gen AI capabilities to bear

The latest survey also sought to understand how, and how quickly, organizations are deploying these new gen AI tools. We have found three archetypes for implementing gen AI solutions : takers use off-the-shelf, publicly available solutions; shapers customize those tools with proprietary data and systems; and makers develop their own foundation models from scratch. 5 “ Technology’s generational moment with generative AI: A CIO and CTO guide ,” McKinsey, July 11, 2023. Across most industries, the survey results suggest that organizations are finding off-the-shelf offerings applicable to their business needs—though many are pursuing opportunities to customize models or even develop their own (Exhibit 9). About half of reported gen AI uses within respondents’ business functions are utilizing off-the-shelf, publicly available models or tools, with little or no customization. Respondents in energy and materials, technology, and media and telecommunications are more likely to report significant customization or tuning of publicly available models or developing their own proprietary models to address specific business needs.

Respondents most often report that their organizations required one to four months from the start of a project to put gen AI into production, though the time it takes varies by business function (Exhibit 10). It also depends upon the approach for acquiring those capabilities. Not surprisingly, reported uses of highly customized or proprietary models are 1.5 times more likely than off-the-shelf, publicly available models to take five months or more to implement.

Gen AI high performers are excelling despite facing challenges

Gen AI is a new technology, and organizations are still early in the journey of pursuing its opportunities and scaling it across functions. So it’s little surprise that only a small subset of respondents (46 out of 876) report that a meaningful share of their organizations’ EBIT can be attributed to their deployment of gen AI. Still, these gen AI leaders are worth examining closely. These, after all, are the early movers, who already attribute more than 10 percent of their organizations’ EBIT to their use of gen AI. Forty-two percent of these high performers say more than 20 percent of their EBIT is attributable to their use of nongenerative, analytical AI, and they span industries and regions—though most are at organizations with less than $1 billion in annual revenue. The AI-related practices at these organizations can offer guidance to those looking to create value from gen AI adoption at their own organizations.

To start, gen AI high performers are using gen AI in more business functions—an average of three functions, while others average two. They, like other organizations, are most likely to use gen AI in marketing and sales and product or service development, but they’re much more likely than others to use gen AI solutions in risk, legal, and compliance; in strategy and corporate finance; and in supply chain and inventory management. They’re more than three times as likely as others to be using gen AI in activities ranging from processing of accounting documents and risk assessment to R&D testing and pricing and promotions. While, overall, about half of reported gen AI applications within business functions are utilizing publicly available models or tools, gen AI high performers are less likely to use those off-the-shelf options than to either implement significantly customized versions of those tools or to develop their own proprietary foundation models.

What else are these high performers doing differently? For one thing, they are paying more attention to gen-AI-related risks. Perhaps because they are further along on their journeys, they are more likely than others to say their organizations have experienced every negative consequence from gen AI we asked about, from cybersecurity and personal privacy to explainability and IP infringement. Given that, they are more likely than others to report that their organizations consider those risks, as well as regulatory compliance, environmental impacts, and political stability, to be relevant to their gen AI use, and they say they take steps to mitigate more risks than others do.

Gen AI high performers are also much more likely to say their organizations follow a set of risk-related best practices (Exhibit 11). For example, they are nearly twice as likely as others to involve the legal function and embed risk reviews early on in the development of gen AI solutions—that is, to “ shift left .” They’re also much more likely than others to employ a wide range of other best practices, from strategy-related practices to those related to scaling.

In addition to experiencing the risks of gen AI adoption, high performers have encountered other challenges that can serve as warnings to others (Exhibit 12). Seventy percent say they have experienced difficulties with data, including defining processes for data governance, developing the ability to quickly integrate data into AI models, and an insufficient amount of training data, highlighting the essential role that data play in capturing value. High performers are also more likely than others to report experiencing challenges with their operating models, such as implementing agile ways of working and effective sprint performance management.

About the research

The online survey was in the field from February 22 to March 5, 2024, and garnered responses from 1,363 participants representing the full range of regions, industries, company sizes, functional specialties, and tenures. Of those respondents, 981 said their organizations had adopted AI in at least one business function, and 878 said their organizations were regularly using gen AI in at least one function. To adjust for differences in response rates, the data are weighted by the contribution of each respondent’s nation to global GDP.
